Sir John Gleed School, based in Spalding,
Lincolnshire, is a co-educational secondary school with academy status. It was formed in
2012 following the merger of Gleed Boys’ School and Gleed Girls’ Technology College. The school gained academy status in January 2013.
and would enable the school to monitor printer usage across the establishment.
The school decided to retain its main offi ce copier, used primarily for reprographics; printing booklets and high volume classroom literature; and looked to the wider market to replace the rest of its printing and copying inventory. The school selected East Anglia’s
Eastern Business Systems (EBS) to source products that best suited its requirements.
The school’s printing and copying requirements increased signifi cantly once the individual schools had merged to form the new establishment. As a result, the school conducted an extensive evaluation of its printing and copying needs to assess the suitability of its legacy inventory of printers, scanners and copiers. It concluded an overhaul of its printing and copying hardware would benefi t the school in a number of ways – it would enable it to satisfy the increased demand for printing and copying
Anita Evans, Director of Finance and Operations, says: “We had a main copier along with another big copier in the staff quiet room. These were supplemented with lots of desktop printers in every classroom. There was no method for us to audit or control who printed what or to control how many consumables we were getting through. We wanted to change this setup to be able to monitor usage and remove many of the
maintenance costs associated with having so many diff erent printers throughout the school.”

John Gleed School selected Samsung products for all but one of its new models. “Legacy dictated the product used for the school’s main repro printer, but its classroom-based desktop printers were replaced with two diff erent Samsung A3 colour copiers, printers and scanners,” explains McCraith. its printing and copying requirements, feature a familiar Android tablet-style interface, enabling straightforward access to powerful printing options. It is also possible to install apps to further enhance the functionality of the printer.

A3 Multifunction Smart MX4 Series X4220RX devices and two Samsung A3 Multifunction
Smart MX4 Series X4250LX devices for two of the school’s higher volume environments.
These are satellite systems strategically placed to off er teaching staff easy access to A3 colour copying, scanning and printing. These models replace the large number of desktop printers previously used by the school, which were expensive to run and had no service contracts for consumables in place.”
“The school also took a small number of desktop copiers and printers – the Samsung
M4020 ProXpress laser printer and the
Samsung SL-C2670FW colour Multifunction printer – for the school’s administration staff and for within a couple of classroom environments,” adds McCraith.
He explains the reason Sir John Gleed School opted for the Samsung fl eet was largely down to “a combination of price and the fact the devices could be supplied from a local specialist. The school received dedicated account management and attention during the process of rolling out a solution meaning change for all users. We provided guidance to the school throughout this time.”
As the school’s Network Manager Martin Leggott explains: “The Android control panel really appealed for its ease of use. However, the printers are capable of a wide range of functionality and we were concerned this might initially be intimidating, especially when you’re used to a desktop printer. So we’ve decided to lock the screen down during the initial rollout to limit the printers’ functionality and ensure users don’t get too daunted by the devices.”
Going forward, Leggott is keen to explore the more advanced features off ered by the Samsung
Smart printers. “We’ve only had a brief look at some of the apps so far, but will investigate what’s on off er in more detail in phase two of the rollout.
First we need to decide how much control we want to give students. We’ll be keeping things tight for the fi rst few months and then see if there are any features we want to extend.”
The fi rst impression of staff to the new printers at the school has been very positive, says Evans:
“We had a training day when the devices were fi rst installed and people found them intuitive to use
– you only have to use them a few times before they become second nature. To be honest, we expected more complaints but staff have just got on with it and accepted the change.”

Evans says the printers have revolutionised the school’s awareness about how its printers are being used. “We can now print off reports about how each device has been used and charge departments internally depending on their usage.“
“This has worked quite nicely so far and has put the onus on diff erent departments to keep on track of their usage to limit their costs,” says
Evans. “Students have their own pin so we can monitor individual usage and ensure no one is printing too much.”
