Before the course begins, you can use your University of Dayton email to communicate with students to send an introductory welcome email. You can access their email through the University of Dayton Porches. However, once the course begins it is essential to use the tools within Isidore to send all communication. This practice protects you in the event that students raise any questions about faculty communications. The documentation of all communication within the University System will protect you. Expectations for online faculty related to communication We encourage faculty to build rapport with students before the course begins. We recommend that you send a welcome email to your students before the term begins. You will share example welcome emails and craft one in the second training session. 2. Who is involved in creating SOEAPOnline programs? SOEAP Program Coordinators Even though you may be teaching online for SOEAP, you may not be part of the team that developed the course you are teaching. Each department has an appointed online program coordinator who acts as the liaison between SOEAPOnline and each academic department and oversees program efforts with Quality Matters. The program coordinator oversees the quality and consistency of all online programs within each department. They also assure that each program adheres to the SOEAPOnline Standards of Practice and Expectations. This person is an expert in the content who oversees the development of the curriculum for all courses within a program. The lead subject matter expert will bring in additional curriculum consultants – also departmental faculty members -­‐ to write curriculum as needed for a program. The program lead subject matter expert and curriculum consultants work with the online learning course development team to design and develop the online course content for all courses within a program. The course content is not in your courses and you do not have access to make any content edits. All content edits must be sent to soeaponline@udayton.edu. Minor fixes, such as broken links, wording changes, and incorrect page numbers, will all be modified by the online learning course development team on a case-­‐by-­‐case basis. Major curriculum change recommendations can also be sent to soeaponline@udayton.edu. However, these changes will be reviewed and approved by the program coordinator and the program lead subject matter experts for each department before changes are implemented. 4. Why can’t I make curriculum edits while I am teaching? SOEAPOnline is investing significantly in the quality and consistency of the online curriculum. All content in all of our online programs eventually will be approved by Quality Matters. You can read about the Quality Matters Program at http://www.qmprogram.org/new-­‐website-­‐welcome-­‐ page. Individual instructors do not have the discretion to change content that was purposefully created by the entire program development team. 5. What should I do if there is a broken link or minor edit in the course I am teaching? Links in courses are checked during quality assurance to make sure they are all working. However, links may break at any time during a course offering. You also may find the need for minor edits while the content is running. Please review the module content at least 1 week before it is being offered to check the content and links ahead of time. If you find a broken link or a minor edit such as a typo, email the (a) course name, (b) module requiring correction, and (c) the exact text required correction to soeaponline@udayton.edu. If there is a broken link and we need a replacement, you may forward a recommendation to soeaponline@udayton.edu 6. What are the key events for SOEAPOnline? SOEAPOnline sends online students an email about the beginning of the term along with a link to student FAQ. 2 weeks 2 weeks Online instructors will be notified of upcoming SOEAPOnline trainings. All instructors must complete the first two SOEAPOnline certification courses. The SOEAPOnline coordinates with the departments to identify evaluation release dates. All online course evaluations release at the same time. 4 weeks 3 weeks SOEAPOnline will work with Program Coordinators to identify program needs [major course revisions or new course development] for upcoming offerings. All new program needs need to be identified at least 12-­‐14 weeks before any new or updated course is offered to allow for enough time for design and development. Program Coordinators send a list of upcoming term courses to online unit. At least 6 weeks Key Event Deadline for course edits. Edits not turned in by the Program Lead Subject Matter Expert by this date will not be made in the courses. SOEAPOnline makes course edits and performs course term preparation. (e.g. course calendars and assignment dates are set). SOEAPOnline opens EDA internships and turns on their drop boxes. EDA Internship students are sent an email regarding EDA Internship orientations. A reminder is sent to students about the courses beginning and encourages them to login. 7. When are online course evaluations posted? The faculty teaching online will be notified of the course evaluation dates each term by the SOEAPOnline learning team. 8. Where do students access online course evaluations? There are directions for course evaluation access posted in every course for students. However, if there are questions, you can post these directions in a course announcement. 1. 2. 3. 4. 5. Open a web browser (preferably Mozilla Firefox or Internet Explorer). Navigate to http://isidore.udayton.edu. Login with your UD LDAP username and password. Remain on the ‘My Workspace’ tab and click on the ‘My Evaluations’ tool. A list of evaluations available for you to take will appear on the screen. Expectations for online faculty related to online course evaluations The following strategies are recommended to promote completion of online course evaluations: 1. Post a message to your students the day that course evaluations open. Explain to students the importance of course evaluations for the faculty member, academic department, and online program. 2. Midway through the access period, post a message reminding students that the course evaluations are open. Thank those who have completed the evaluation. 3. Post a final message to your students a few days before course evaluation access closes explaining that there are only a few days left to complete the course evaluation and restating the importance of completed course evaluations. 9. What are the standards of practice and expectations for SOEAPOnline students? • Participation: Students are expected to log into their courses a minimum of 3 times per week to check announcements, email messages, participate in discussions, and/ or take part in team assignments. • As soon as the course opens for the semester, students have 72 hours to contribute online. This time frame for an initial response permits instructors to verify which students are in the class for the term. • In courses with team assignments, students need to participate by the instructor’s deadline and abide by expectations outlined in rubric and/or timeframes set by group members in the execution of team assignments. Student participation is expected by mid-­‐module as well as later in the module. • General requirements for participation and expectations for frequency and quality of student interactions are provided in the course rubrics. It is important to “speak up” and let your voice be heard in online discussions! • Each student is expected to submit all assignments by the due date established by the instructor and time indicated on the Course Calendar. Late assignments are not accepted unless approved by instructor. • Each student must properly cite references using the APA format for any outside resources used in the completion of assignments. • Each student must meet the academic integrity and honesty standards governed by UD’s Graduate Bulletin, https://bulletin.udayton.edu/content.ud?v=30&p=3444&c=3502 10. What are standards of practice and expectations for SOEAPOnline faculty? • Instructors should ordinarily respond to student inquires within 48 hours Monday through Friday. Instructors must communicate with students if there will be delays in response time because of scheduling and travel conflicts or other unexpected events. • Depending on the nature of the assignment, Instructors must provide feedback and post grades within one week of due date. Instructors will communicate with students if there will be a delay in posting grades. • Because students may complete a great deal of their work during the weekend, instructors are encouraged to login once during weekends. However, if an instructor will be offline during the weekend, it is highly recommended that they login Friday afternoon and Monday morning. • EDT instructors are encouraged to complete a Student Concerns Form for any student whose performance is not meeting course expectations. Please send this completed form to soeaponline@udayton.edu. The form will be forwarded to the EDT program coordinator. 11. What are etiquette expectations for SOEAPOnline program students? These expectations will be posted in all courses that are Quality Matters Certified. Etiquette Expectations When taking an SOEAPOnline course, it is essential to remember the following points of etiquette regarding appropriate online communication between you, classmates, and your instructors. 1. Privacy and Confidentiality. Ask permission to share email addresses, images, or any other content or thoughts your instructors or classmates share within their online classrooms. Our goal at SOEAPOnline is to protect your privacy. 2. Language. It is easy to misinterpret language in written communication. As such, try to avoid using all capitals because it may be interpreted as SHOUTING. Avoid the overuse of jargon and symbols. We expect professionalism in written language 3. Behavior. We expect professionalism in all aspects of the online classroom. Students must demonstrate respect for classmates, guest speakers, and instructors all times. Behavior not in alignment with UD’s classroom code of conduct will not be tolerated and may be grounds for discipline, including dismissal from our online programs. http://community.udayton.edu/student/handbook/index.php 4. Material. Students cannot forward or use any of the material posted in classes outside of the course unless they receive specific, written permission from the instructor of classmate whose material they intend to post or use elsewhere. Copyright permissions have been granted for use of curriculum materials within the context of the course. Other uses may be in violation of copyright. In addition, forwarding of advertising, chain letters, jokes, or any inappropriate content to classmates or instructors is prohibited. Sharing and transmitting any pornographic material is strictly forbidden. 5. Proofread. It is important to proofread and double check to make sure that all your conveys your intentions. Read, Read, and Read again! Also, because spell check is readily available, use this feature. Communications: Students are encouraged to communicate with their instructors regarding circumstances that may affect their class participation or submission of work. All official communication that occurs once a term begins must take place within the Isidore platform. 12. What do I need to do to prepare to teach an SOEAPOnline course? 1. All instructors have an instructor information page indicating how they can be contacted, including preferred means of communication, along with brief biographies and images. SOEAPOnline will send out information forms to all new instructors via email. If instructors need to edit existing biographies, these edits should be submitted a week prior to the beginning of the term to allow sufficient time for changes. 2. The syllabus will not include instructor information. Instructor information will be posted on the instructor information page. Instructors cannot modify course syllabi. Approval must be made by program coordinators and program lead SME for each program to modify syllabi. 3. Course Calendars are posted and prepared by SOEAPOnline based on the academic calendar and input from the program lead subject matter experts. All instructors need to be able to review dates, download the course calendar and modify dates as necessary. 4. All courses that include an online test and/or quiz must adhere to the testing dates posted in the course calendar so that all students in all sections complete the test or quiz at the same time. The instructor should contact soeaponline@udayton.edu to make the necessary arrangements for students who miss the quiz or need additional time accommodations. 5. All instructors should review the “Assignments/Assignment Drop boxes” area for accuracy. These will be set up based on course calendar dates. All instructors need to be able to modify dates as necessary. 6. All instructors are responsible for posting announcements in their courses when necessary. 7. All instructors are responsible for setting up groups and for communicating to groups of students in courses. 8. All instructors should review the course content to become familiar with the course content and expectations. 9. Currently, all course curriculum content is available to students. However, all instructors have the flexibility to lock tools to create time restrictions. Instructors may create time and date restrictions through the “Assignment/Assignment Drop boxes” and “Discussions/Discussion Board/Discussion forums” tools. All Assignment/Assignment Drop boxes” are set up for instructors by the SOEAPOnline course design and development team. However, all discussion forums are unlocked by default. Depending on teaching preferences, instructors may choose to lock forums or they can leave them open. Locking forums prevents students from working ahead and can help foster building learning communities in a course. Discussion forums have to manually be locked and unlocked by the instructor. The training videos provide information on how to lock and unlock discussions. 13. What are the unique responsibilities of the program leand subject matter expert? • SOEAPOnline programs are developed by a collaborative team that includes the department program coordinator, program lead subject matter expert, and additional faculty curriculum consultants and members from the online learning course design team. All online SOEAPOnline curriculum and course design will be certified by Quality Matters. Consequently, all curriculum changes must approved by the lead subject matter expert and program coordinator. • Program lead subject matter experts, who are full time-­‐department faculty members, and additional curriculum consultants will be able to answer questions about the curricula of online courses and programs. 14. What are the minimum technical skills for faculty who teach online for SOEAP? Faculty must be able to use e-­‐mail and web browsers. If faculty need to update basic internet skills, face-­‐to-­‐face courses and individual consultations are available in the Learning Teaching Center on the ground floor of Roesch Library. Depending on your needs, you may contact the appropriate department http://community.udayton.edu/provost/aali/ltc/contact_us.php Many public libraries offer free computer courses ranging from beginner's classes to more advanced classes. The World Wide Web offers many free resources to learn how to use email and web browsers. Here is one example. http://www.bbc.co.uk/webwise/. 15. What are the software requirements for faculty who teach online for SOEAP? Faculty must have the following software downloaded on their computers. • Mozilla Firefox is the preferred browser when using Isidore. • Adobe Acrobat Reader to view PDF documents. • • Macromedia Flash is needed for some interactive content in the course. If faculty plan to do live synchronous sessions, they need to check their computer for compatibility with the conferencing software Blackboard Collaborate. You may need to download the recommendations provided by Blackboard. 16. Who do I call for technical help?
