Job Description: Customer Service/Front‐Desk: Provides front desk coverage for the Kansas State Board of Healing Arts. Answers multi‐line phone for the agency. Responds to call‐in and walk‐in inquiries within scope of knowledge or will direct inquiry to appropriate staff person. Acquires and maintains general knowledge regarding all areas of the agency so that callers can be referred to the proper person; and provides basic information to routine questions from callers, thus saving professional staff time. Independently maintains written procedures and processes for the front‐desk. Responsible for training staff that will back‐up front desk duties. Maintains visitor sign‐in log. Generates daily workload statistics report upon request. Ensures that requests for information are responded to in accordance with the Agency’s Open Record’s Policy. EMPLOYMENT OPPORTUNITIES POSITION: Senior Administrative Assistant Page 2 Agency Mail: Sorts all daily mail and provides a date stamp on all postal correspondence; and organizes bulk mailing including renewals, licensing acceptance letters, and wallet cards. Stamps mailed checks with the “Deposit Only”. Distributes correspondence to staff. Provides signature for all items from FedEx, USPS, UPS, and Certified Mail; logs the receipt of the item in a log book; and then notifies the appropriate staff member by e‐mail of the delivery. Contacts mailing companies for pick‐up of outgoing mail. Scanning and Administrative Support : Scans licensure application and renewal documents in keeping with agency records management process. Uploads scanned information into the agency’s database, assigns file name, and ensures that the documents have been uploaded correctly. Prepares and updates form letters, documents, routine correspondence, file folders, labels and envelopes from rough drafts, source documents or information provided. Examples include but are not limited to: routine orientation letters to committee and staff members; prepare hanging file folders; maintain correspondence files; various administrative and operational information files; and routine hiring and recruitment letters. Other duties as assigned by the supervisor. Minimum Requirements: One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency. Minimum Competencies: Must be proficient in Microsoft Office, organized, enjoy working with the public, experience with licensing software helpful, and have excellent written and oral communication skills. Type at least 35 wpm, and detail orientated. Preferred Criteria: A familiarity with Kansas Statutes and Kansas Administrative Regulations as they relate to State Government. Performance Standards: To be successful, the expectation is that a candidate will be able to competently perform the routine tasks of the position with limited supervision within six months of their start date.
