Deposits due by Tuesday, April 1, 2014, for Show Drawing eligibility are non-transferable and non-refundable. In preparation for the Show Drawing, the Plan Approval Subcommittee meets by April 3, to (a) group blocks into like categories from the largest through smallest and (b) determine the block layouts according to space requests. The approved layout and the listing for blocks available in each category are emailed, faxed or mailed to all qualifying exhibitors two weeks prior to drawing. Exhibitors respond with a block preference. If agreement exists between exhibitors in a category, blocks are assigned prior to the drawing. If agreement is not obtained, exhibitors draw for space on May 7, within their category. 2. Companies submitting deposits after April 1 are not guaranteed space in the show. Companies submitting deposits after April 1 are placed on a waiting list by the date of deposit received. If space is not assigned by August 1, companies on our waiting list are refunded in full. 3. GIANT Center regulations prohibit food vendors competing with existing concession contracts. 4. INSURANCE VERIFICATION - With deposit, each exhibitor must provide PRVCA with a current certificate for Comprehensive General Liability Coverage, with $1,000,000 minimum protection as provided by the statue. PRVCA must be listed as additionally insured under general liability, in relation to show participation, on the certificate under “Description of Operations/Locations/Vehicles/Exclusions added by Endorsement/Special Provision.” With deposit, proof of Automobile Insurance is also required for any company or personal vehicle on the Hershey property. If a rental vehicle is used, a statement to that fact will satisfy this requirement. With deposit, proof of Workers Compensation Insurance, with limits of $100,000 each incident, $50,000 disease policy limit and $100,000 disease each employee, must be provided. There are two exceptions to the Workers Compensation requirement: 1. Canadian exhibitors 2. Any vendor that is self employed with zero employees; this exhibitor must submit a dated signed letter stating, “I am self employed with zero employees and therefore exempt for carrying Workers Compensation.” Exhibitors retaining subcontractors must ensure that subcontractors submit certificates of insurance as outlined for exhibitors. The exhibitor must submit the subcontractor’s certificate with their own certificate. Within 30 days of the Show, all insurance certificates must have an expiration date on or later than the last day of the Show. 5. To protect PRVCA and the continuity of participating manufacturers, potential exhibitors in Chapter 11 Bankruptcy, or any type of bankruptcy, must present a cashier’s check for the deposit and all space payments. Any exhibitor, whose initial deposit or space payment check is returned, loses all rights to participate in the drawing or to selected space. PRVCA retains the right to sell said space. 6. PRVCA is a PA Licensed Promoter, which saves each out-of-state vendor a $500 PA Dept. of Revenue transient vendor deposit. Revenue requires us to maintain listings of vendors who sell taxable goods and those who display products or services. If selling, we must collect PA Sales & Use Tax numbers and supply unregistered vendors a PA-100 application. Each exhibitor is required to supply us with this information. 7. BOOTH VENDOR SPACE: (suppliers, chassis suppliers, distributors, transport companies, insurance providers, lenders, campground/resort owners, after-market dealers and service companies) A. PRVCA MEMBERS - Must submit 20% deposit on the total show space balance, based on the total number of booths requested. B. PRVCA NON-MEMBERS - Must submit first year dues and 20% on the total show space balance, based on the total number of booths requested or elect to pay rates 150% times member rates. See Enclosed Membership Application for Dues Rates. C. Booth Vendors are not allowed to demonstrate or allow a consumer to operate any motorized rideable unit. SHOW DRAWING DEPOSITS continued 8. RV MANUFACTURER BLOCK SPACE: A. All RV manufacturer space is outside and is sold by the block. B. PRVCA MEMBERS - Must submit a 20% deposit on the total show space balance, based on the total number of square feet requested. C. PRVCA NON-MEMBERS - Must submit membership dues and a 20% deposit on the total show space balance, based on the number of square feet requested or elect to pay rates 150% times member rates. See Enclosed Membership Application for Dues Rates. D. EXHIBITOR will display merchandise only in the space provided by contract with the ASSOCIATION. Unauthorized display of merchandise in the parking lot or other areas adjacent to the GIANT Center is expressly prohibited. EXHIBITOR will display only vehicles that are model year 2015 or newer, except that an EXHIBITOR displaying 2015 model year or new vehicles may allot up to 20% of the EXHIBITOR’S total display area to display model year 2014 vehicles so long as the vehicle(s) are new and have not been titled. In the event that 20% of an EXHIBITOR’s display would be less than one unit, the EXHIBITOR may display one 2014 unit. A copy of the Second Stage Manufacturer Certificate of Origin for each motorized unit must be provided upon check-in. E. PA Law requires that vehicle manufacturers and manufacturer representatives doing business in PA be licensed. Call PRVCA at 888/303-2887 to assist with this relatively simple and inexpensive process. PA law permits PA licensed manufacturers and manufacturer representatives to sell wholesale, but not retail. Manufacturers with out a designated dealer from PA, NY, DE or WV may display only and post a sign referring consumers to their authorized dealer locations. F. Diesel Coaches on display must have an approved wheel chock design on a minimum of one axle. G. Exhibitors are required to exhibit within their display space. Steps and awnings may not extend outside of their contracted show space boundaries, with Park Model Drive exempt from this rule. H. Each manufacturer designated dealer is allowed to change-out one RV for a fee of $500 during the show. The unit must be taken out under PRVCA supervision on Friday morning during a PRVCA pre-approved time slot and replaced without disturbing any other display. PRVCA will not provide any equipment for the change-out and the display must be ready by 8:30 a.m. on Friday morning before show opening. I. Manufacturers must draw for their own requested space and may not pool space with any other manufacturer. Note: This rule is not intended to preclude a manufacturer from designating a dealer or other trusted individual as their official show drawing representative or the practice of multiple divisions of the same company exhibiting in the same block. 9. “SCRATCH AND WIN” GIFT – Industry Day Exhibitors (only) must submit a gift (one gift per display; $50 minimum; due with final payment) for our “SCRATCH AND WIN” game. Dealers / campground owners attending Industry Days love to win, with tickets we supply and you hand out. Gifts are displayed at the Information Booth with the sponsor’s name. Popular gifts include: sports memorabilia & equipment, small appliances, power tools, leather goods, gift baskets (food, wine, coffee, tea), gift certificates (L.L.Bean, Bass Pro, Orvis, Lowes, Applebee’s, etc.). Proxy selections will be based on the date the deposit was received. B. Proxy selection will follow the selection of those authorized drawing representatives present at the drawing. EXHIBITOR SPONSORED FUNCTIONS In order to provide for a quality Show and to be certain that all Exhibitors are focused on the needs of the entire industry, the Association must make and impose certain obligations upon all exhibitors. Exhibitor-sponsored functions within a fifty-mile radius of the show, including but not limited to seminars, shows, exhibitions, off-premise sales, rallies and meetings (with or without meals) are prohibited during all regularly scheduled hours of the show which include hours scheduled for staging, set up, trade and retail sales and/or tear-down. Exhibitor-sponsored functions are permitted during Industry Days Only, when such functions are scheduled to end no later than the opening hour of the show and are approved in writing, in advance, by Show Management, in its sole discretion. Exhibitors, who wish to hold functions at the show facility, must obtain prior approval from Show Management. When a function held on-site requires additional registration, security or other show service or personnel, the cost for additional services will be borne by the exhibitor. Exhibitors agree not to sponsor said functions or conduct any activities that would cause RV dealers, parts and accessory store owners, warehouse distributors, consumers and/or contractors to leave the show during regularly scheduled hours except as provided herein. Any breach of obligation under “EXHIBITOR SPONSORED FUNCTIONS” will result in suspension of show privileges for one year.
