SIS Accomplishments
January 2013 – December 2013
Student Service Initiative

2013: SIS team members provided leadership and analysis for Admissions, Academic Advising,
System wide module/areas; completed business process redesign, collection of FTE “as is”, “to be”
data; participated in summarizing recommendations for BPR and Phase 3 report.

April 2013: Implemented FA SSI projects to improve processes for exit counseling, Clearinghouse
reporting, and FISAP.

December 2013: Programming work completed; testing underway on SR batch process for new
student term activation to run nightly; should be ready late Dec/early Jan. Investigating iOpus script
replacement strategies.

Future: Determine functional and technical resource needs to deliver high priority SSI projects.
Education Advisory Board – Student Success Collaborative

April 2013: Programming work to deliver the current and historical enrollment data is complete; the
extract provided 10+ years of enrollment history for IU (data goes back to the year 2000).

September 2013: Completed access procedures and security data feeds for the SSC dashboards.
IU-FLAGS

Student Retention and Success system provides data to support campus specific programs and
processes: Student Performance Roster, Business Intelligence & Reporting, Student Survey, Advising
Records
FLAGS Student Performance Roster

Future: Improve usability for faculty by providing means to import or automatically update
information from large classes, Oncourse, web-based course software.
FLAGS Business Intelligence (in progress)

In Progress/Future:

Develop dashboard environments and display for both Managerial and Operational reporting

Develop reporting/BI for pre-enrollment academic risk

Develop reporting /BI for Oncourse data

Develop reporting/BI for data collected via data mining: footprints and triggers


Future: Develop survey process to gather pre-enrollment ‘mindset’ risk data
FLAGS Advising Records (in progress)

August 2013: Advising Records: IU completed development of an academic advising dashboard
(workspaces) and appointment scheduling system integrated with our core SIS PeopleSoft system.
This system will allow advisors to use early alert system data along with other SIS data to better
manage the advisor student relationship. Pilot use on four IU campuses began on June 3.

Use of the IU Student Appointment Scheduler (SAS) will begin with the Financial Literacy
group the last week of August.

Fall 2013: Over 550 users were brought on to FLAGS Advising Records in alignment with their
business cycles throughout the Fall (250+ faculty users); Retired SIS Advising Contacts modification.

Planned 2014: Continue development of planned features (e.g. progress to degree data visualization
for advisors, integrations with career services & financial aid, web form/document creation,
reporting, planning, etc.)

Provide replacement and consolidation of existing advising systems in single enterprise
repository (i.e. UDIV StarNet, KSB STAIRS, and UCOL advising systems)

Develop view within the Advising Records system to increase efficiency and ability to assess
FLAGS follow-up efforts. Faculty and staff advisors will be able to more easily access
information on their FLAGGED students and will be able to indicate that follow-up with a
student has taken place, and thus ‘close the loop’ (360 degree view).

IU Degree Maps

Nov/Dec 2013: Degree Map planning and preliminary analysis, in response to HB 1348, is underway.
Academic Roadmap

July 2013: The iGPS Course Search tool was implemented for students. It simplifies finding the
courses students want by combining data from the course catalog, campus bulletins, and the
schedule of classes.

October 2013: iGPS Planner will include integration with Shopping Cart, Planner Review (coming),
Comments, Term Notes

November 2013: iGPS Planner will also include enhanced schedule planning tool that will display
conflict-free combinations of courses (and all classes within the course) and allows students to select
optimal personal schedule.

Future: Implement student-facing registration integrated with PeopleSoft SIS to complete the
Academic Planning set of services; continue work on graphical degree toward progress tool, course
placeholders, and Sample Plans.
Class Descriptions (in progress)

October 2013: Ability to enter class descriptions when there is not yet an assigned instructor; create
an alternate view and search for administrative users. This allows descriptions to more easily persist
for search purposes and allows students to search more directly based on description and content.

Planned January 2014: Clone faculty inventory function for administrative users. This will greatly
streamline the entry process for administrative users.
Financial Literacy

April 2013: IU completed Financial Literacy project: (1) notify selected students of the need for
online financial literacy education, (2) integration with our third party education provider (Everfi), and
(3) tracking of student participation in education.

September 2013: Deployed FLAGS appointment scheduling for peer mentor program supporting
Financial Literacy education initiative; evaluated use of tools/process for peer-to-peer mentor video
conferencing.
Streamline Admissions Processing
Address Verification

December 2012- Extended to eApp for front end validation of addresses

Future: Develop widget for departmental use regardless of tool and allow for batch file
validation/correction prior loading into any system.
OnBase Admissions Imaging Project

January 2013: Delivered OnBase and SIS integration for Program, Plan, Action, Action Reason, Term
and Admit Type updates. Shored up IUB performance issues affecting large volume imports.

November 2013: Completed planning engagement for SSI admissions OnBase implementation;
Conducted vendor reviews of product line and proposed business process for enterprise deployment.
Proposed harmonized document types for enterprise admissions process.

Fall 2013: UITS staff upgraded OnBase software in test from v11 to v13 in preparation for building a
new enterprise wide solution for Admission processing.

Planned 2014: Build new solution with Hyland consultants to centralize specific admissions
processing activities and take advantage of processing efficiencies including real time integration with
our PeopleSoft SIS system.

Student Record
General Education

January 2013: CARMIn modifications to “tag” general education courses and facilitate general
education node review by GenEd committees.

October 2013: Completed programming changes in support of core General Education requirements
including Academic Advising Report (AAR); analyzed use of milestones for Transcript to track general
education requirements completed by transfer students and IU students completed IU’s core
curriculum.

Special AAR type to identify students that completed General Education core

Enhancements to restrict milestone text to specified transcript types completed

ACP Registration

December 2014: gathered user requirements and wrote specifications

Planned: code and test application by Q1 2014 implementation
Online Education

October 2013: Completed programming changes in SIS for the IU-OCC regional campus pilot for
Spring 2014.
APPEAR (Academic Program Proposal Evaluation and Reporting)

September 2013: Completed development of new application to manage request and proposals for
new degree programs, majors, certificates, organization changes, etc.
Student CRM Projects

January 2013: IUPUI Registrar piloted communications (e.g. start of semester welcome messages,
registration appointments) to enrolled students at the IUPUI campus. Currently passing information
pertaining to current and future term enrollment, registration appointments, and primary program
and plan of enrolled; Improved de-duplication criteria to reduce manual error processing (experience
40% decrease)

February 2013: SB piloted use of the Call Center functionality in a limited manner.

May 2013: NW and SB will begin to pilot ASPIRE Interest Form; Southeast to pilot enrolled
communications to Graduate and Undergraduate populations.

June 2013: completed work to send student communications from Bursar via Talisma; Event
Attendance Specific form revised to capture event participant attendance at the event, eliminating
manual processing and updating the participant record on site.

July 2013: Detailed review of Hobson’s Implementation at IUB with the eye toward specifying gaps in
functionality/dataset toward migration of the IUB campus to Talisma product.

August 2013: Reviewed data requirements for High School Counselors

December 2013: Completed expansion of student data in support of Financial Literacy
communications.
Academic Advisement Report (AAR)

On-going AAR programming: Working to program AAR’s and get the appropriate versions of the
report available to students, advisors, registrar/recorder/administrative staff, faculty & public users
o Completed AAR work for IU East, IU South Bend, etc.
Admissions Application and Compass Projects

December 2012: Keep admissions application available during the SIS release downtime during SIS
weekend releases.

May 2013: ACP/SPAN admissions application in production May 2nd

July 2013: 2013 Admissions application maintenance completed

Fall 2013: completed 6 small enhancements for the Compass application

Planned: Activate eCheck as a payment form for application fees on the eApp.

August 2013: completed testing and production support for prior year enhancements (e.g. form
builder, funding request).

Fall 2013: Corrected a number of re-registration issues. Launched My Involvement for IU East. Coded
Student Contract Pilot with testing underway
eTextbook

March 2013: IU added two new publishers SAGE and Cengage Learning

Future: build a copy function to copy a document to a new document eliminating data entry for
multiple classes that will use same eText for a course

Ad Astra
 July 2013: All campuses upgrade to 7.5.7.237 – major event scheduling enhancements
 August 2013: BL Kelley School of Business implements Ad Astra for Event Scheduling
 November 2013: Completed setup for use of Ad Astra event scheduling and workflow by Kelley
School of Business
 November 2013: Upgrade to sql server – to address performance issues with Oracle
Student Financials Bill Redesign

October 2013: Completed migration from NelNet to CashNet as our processor for eBilling/ePayment;
development completed for presentation of new student bill presentment; Third Party Guest access
to bills (including capture of email address for bill notifications)
Career Service Management

June 2013: IU negotiated an enterprise license for a career services management tool; selected
Symplicity Career Services Manager

August 2013: IUB signed contract for Career Services Manager for 3 schools; configuration and setup
work is underway.

December 2013: IU regional campuses (South Bend, Southeast) implementations signed and/or
updated contracts for the regional campuses; MSE implementation will begin for SB and SE (migrating
from separate to MSE effort is underway).
IU Medical School Administrative System (MSAS) replacement Project

In Progress: IUSM performing preliminary analysis to assess effort to replace MSAS departmental
student system; considering strategies: build in-house, leverage SIS; purchase new MSAS
UITS Infrastructure Projects

SIS Release: completed March, June, and December releases with FA regulatory updates
