Potential Problem Analysis Objective To identify what could go wrong if a particular course of action is followed and to come up with ways to prevent those things from happenings Plans and Changes Predict potential problems List likely causes Agree on preventive Note contingent Actions {capitalizing} actions Questions that guide the process - What could go wrong? What problems could arise? What could make this potential problem happen? (causes) What can we do to keep each likely cause from happening? (preventive actions) What can we do if the problem occurs despite our preventive actions? (contingent actions) 1 Questions the client should ask - Who did you involve in the Potential Problem Analysis? What potential problems were identified? What preventive actions are planned? Potential Problem Analysis What could get in the way of the perfect technology roll out? Predict Potential Problems 1. What could go wrong? 2. What problems could arise? Students may lose/ have the device stolen. List Likely Causes 1. What could cause this potential Agree on Preventive Actions Note Contingent Actions 1. What can we do to keep this 1. What can we do if the potential likely cause from occurring? problem? The device that the students have is of high value and may be stolen. As a generalization, middle school students have a tendency to lose items. A framework of punitive and positive actions will be developed. Also, a selfinsurance policy will be developed to account for devices that require a police report. Students that cannot afford the cost of the insurance will be required to participate in community service to differ the cost. Students will also have the option of choosing not to participate in the insurance program, but will be responsible for the full replacement cost. Payment plans could also be negotiated. Training will be provided to students and parents in the proper care/handling of the batteries/devices. 7 problem occurs? If a laptop is lost, we will be able to replace the cost of the computer from the insurance fund. A deductible will be collected from the student to reinforce the importance device care. Should a student not be able to afford the cost for the deductible or refuses to pay for replacement, community service may be assigned. Potential Problem Analysis What could get in the way of the perfect technology roll out? Predict Potential Problems 1. What could go wrong? 2. What problems could arise? Students may let relatives, or they themselves, use the computer for inappropriate purposes. List Likely Causes 1. What could cause this potential problem? 1. The problem is caused by misunderstanding related to the end user agreement or lack of appropriate credentials to access the devices. Agree on Preventive Actions Note Contingent Actions 1. What can we do to keep this 1. What can we do if the potential likely cause from occurring? The student laptops will display a message on the login screen that will provide access to the user agreement. By signing in they will acknowledge that the content that they view on the computer will fall into accordance of the agreement. Additionally, depending upon what the view of the District Eleven attorney is, we may have to filter content to the computer regardless of location. If this is the case, a filter could be installed directly to every device, or content would have to return through the district network to play off the district filter. As a further deterrent, keystrokes could be recorded and be used in an investigative sense. This solution may need to be reviewed by the District 8 11 Attorney. Training will be provided to students and parents in the problem occurs? As before, there will be a framework of punitive actions attached to student behaviors. These will align to the appropriate actions that a student would be held to if the behavior had occurred not using the technology. What could cause this potential Agree on Preventive Actions Note Contingent Actions 1. What can we do to keep this 1. What can we do if the potential likely cause from occurring? problem? The natural wear of the battery The batteries of the device may is such that it will wear out not last for the lifetime of the over the course of 12 to 24 device or students may not months. Students that do not charge their devices charge their battery may not consistently, either way be aware of the need or have leading to the loss of use on the foresight. the device. In addition to a laptop insurance fund, there will be a battery usage fee, where the student will have to pay for the battery life that declines while they are in possession of the device. As batteries fail, a funding stream for replacement is available. Training will be provided to students and parents in the proper care/handling of the batteries/devices. 9 problem occurs? Grant funding may provide for battery replacements in the short run; however, school funding may be allotted should the battery usage fee not be self-sustaining. Fund raising is also an option. A framework for punitive actions should a student not prioritize the charging of their device may be implemented. Extra batteries may be ordered to provide students that have forgotten to charge power for the day. Potential Problem Analysis What could get in the way of the perfect technology roll out? Predict Potential Problems 1. What could go wrong? 2. What problems could arise? Device is broken through normal usage or is normal wear occurs. List Likely Causes 1. What could cause this potential Agree on Preventive Actions Note Contingent Actions 1. What can we do to keep this 1. What can we do if the potential likely cause from occurring? problem? Natural causes of wear and tear on devices. Dell will provide Complete Care that covers the normal wear and tear of a device over a set period of time. Our contract will include cover over four years. Training will be provided to students and parents in the proper care/handling of the batteries/devices. problem occurs? The student insurance fund can provide for renewal or repair of laptops beyond the four year contract. User inflicted damage can be accounted for through a framework of punitive actions. Items of future thought: Maintain technology capacity inspite of staff turnover. We need to create sustainability for roll-out of technology to new staff. We need to consider 21st Century Skills in the implementation of technology, where the technology is not for technology sake, but rather to promote those skills. 10
