ASUW Personnel Committee October 27, 2010 Condon 511E, 2:30 p.m. MINUTES ________________________________________________________________________ ASUW Personnel Director Ciara Clemons called the Wednesday October 27, 2010 meeting of the ASUW Personnel Committee to order at 2:32 pm. ROLL CALL: Present: Ciara Clemons Jon Yan Joseph Salama Natasha Dunlap Jennifer Pope Sarah Chow Michael Zangl Leah Kollin Absent: Jocelyn McCurtain (excused) Dabney Donigan (excused) Ginny Lee (excused) APPROVAL OF AGENDA: Sarah Chow moved to approve the agenda. Joseph seconded. The committee approved the agenda without objection CHECK IN: Ciara said for check in we would continue last year’s process and have a fun question. In honor of the jelly bellies, which were in the center of the table, the question was if you could be any jelly belly what flavor would you be? Michael said he would be strawberry because it was red. Sarah and Ciara stated that there are other red jelly beans such as cinnamon, which is not as good of a flavor. Michael then changed his flavor to cinnamon because it has the color red and he actually likes the flavor. Joseph simply wanted to be blueberry. Jon wanted to be mixed berry just because. He admitted to liking the mix of flavors also. Jennifer prefers chocolate and ice cream over jelly beans and said she will have an answer next week. Leah would like to be lime or green apple. Sarah wanted to be cherry. Tasha wanted to be bubble gum because it is a safe flavor and always tastes the same. Ciara said she would be buttered popcorn or caramel corn because those are her favorite flavors and they couldn’t be found in the bowl because she had already searched for and eaten all of them. Then it was mentioned that caramel corn is good because it is one flavor and you know how it’ll taste. NEW BUSINESS: Introductions Ciara asked for the committee to introduce themselves and state their year, potential or declared major(s), and where they are living. Ciara is the personnel director, majoring in speech and hearing science, lived in Stevens Court and off campus. Michael is a first year, majoring in political science, and lives in Lander Hall. Joseph is the ASUW Employee Representative. He lived off campus at Steven’s Court, followed by the library, then couch surfed and kept his food at Ciara’s. He currently lives in the U District, is a junior studying architectural anthropology. Jon is a junior studying business with an accounting option and lives off campus. Jennifer, whose last name recently changed to Pope, has a masters degree in organizational development, and was a Psychology major. She now lives in Bellevue and advises the Personnel Committee. Leah is a sophomore, lives in McCarty, and is studying business with a finance option. Sarah is the at-large member. She is currently a senior and plans to continue for a fifth year to complete her double major in cinema and psychology. She currently lives in Lake Forest Park. A rapid debate over the name of that neighborhood ensued with the main argument that one geographical needed to be chosen rather than combining three very different ones. Tasha introduced herself as a freshman, considering neurobiology or medical anthropology, and lives off campus in Kent and commutes daily. Ciara introduced Dabney and the presidential proxy, Jocelyn as the Senate Representative, and Ginny as the other at-large member. Overview of Committee Ciara explained to the committee that the purpose of the committee was to make recommendations to the Board of Directors involving salaries, job descriptions, disputes among or about employees, and hiring. Additionally policies and job descriptions need to be updated. This year is relatively calm because last year everyone in the HUB had to pack up and move to Condon, and next year everyone will have to move back, but for now we can work. Ciara also said there will be some changes in the chairing of committees. The Personnel Guide was referenced and she explained that it was last updated in 2001 and that the committee will be updating it this year as one of the tasks. Other things overseen by the committee are Employee/Volunteer of the Month nominations, fondly referred to as EVOM noms. The committee is responsible for looking over the nominations and selecting one of each category, though sometimes it is a tie and goes to more than one person. Then the committee needs to find some way to celebrate the recipients. Previous methods include hanging large pictures in the office, and an improvement on that would be displaying photos on the website slideshow. The idea is to recognize the recipients for their good work and hopefully there will be some nominations to look over at the next meeting. Ciara asked for questions. Jon asked how these celebrations were paid for and if there was a monthly expense. Ciara answered that there was no money provided so creativity is necessary. Jennifer added that the committee should look for things that are free or get donations. Ciara again remarked that we do not get any money. Binders Ciara informed the group that binders had been assembled by Tasha for the committee and that a directory had been inserted with the BOD on the first page, followed by the commissions and enterprises and all employees under the jurisdiction. An update is needed though for information as Sarah pointed out since Tasha’s name should replace hers in the directory. Ciara mentioned sending it to SAO to have it fixed, but Joseph wondered aloud if it may be a personnel issue and therefore the responsibility of the committee. Liaisons Ciara said each member will liaison to a couple of entities and therefore will attend their office hours and get to know the entity as a whole. These liaisons will later be called upon for job descriptions in the future. Ciara asked the members to look over the list over the next week and have a list of the top 4 liaisonships of interest. The BOD is not available, and Jon is already in charge of the bike shop and Rainy Dog Radio, etc. Each commission counts as one and any questions should be looked up on the website or can be emailed to Ciara. Ciara then asked for questions and there were none. CHAIR’S REPORT: Ciara said she was excited everyone was here. She informed the committee of the proposal from the Vice President to add a new position, the Communications Director. The role of the committee is to evaluate the job description and look at the supplemental materials of similar positions. The new position is intended to be feasible and good for us, as Ciara said, and that as the personnel committee we will determine what changes need to be made. She reported that the BOD is eager to begin the process, and therefore it would be highly encouraged to do research and go through the guide. Also it would be helpful to look at the entities and commissions and ask Ciara if you have any questions. Ciara passed around business cards so that every member present would have her contact information. Jennifer then welcomed everyone and said serving on this committee is a fun and great way to learn about ASUW, as well as to develop skills and get to know people and the building which is temporarily replacing the HUB. She informed the group of the hours.asuw.org website as a reference for finding office hours, and invited the group to stop by her office which is just across from the restrooms on the fourth floor. Jennifer said it was nice to have great members, both new and old, and that so much is learned while working on the committee and hiring process crafting interview questions and such. She then again welcomed everyone and asked for questions. Sarah asked if we are helping plan any ASUW socials. Ciara answered that the committee will plan a social and a staff meeting.
