Page 9 Job Description Administrator (Responsible for Reprographic and Reception Cover) Reporting to Office Manager Job purpose To providing administrative support as part of the Administration Team and the role includes the running of the reprographics service in the Academy. Terms & conditions Salary Scale Contract Arrangements Working hours Point 19-23, Pro Rata Permanent, Term Time + 1 week (40 weeks per academic year) 37.5 hours per week 8:00am - 4:00pm (30mins for lunch) Between 12:00pm - 12:45pm, will be on Reception Key Tasks: Administrative duties Working as part of the Administration team providing support and cover within the team during absences or heavy work periods. Assist with handling and distribute of all incoming and outgoing post into staff pigeon holes. Assist with all large or whole school mail outs, ensuring that they are sent out on time and to the required standards of presentation. Provide reprographics administrative assistance to support internal and external school exams. Collation of information and production of information, documents to company standards e.g. Newsletter, Bulletin, reports. Updating of various databases and production of graphs, statistics for reports. Reprographics Produce high quality materials for internal and external audiences. Process and prioritise all reprographics requests. Ensure that the machines are fully stocked and that consumables are ordered as needed. Undertake all photocopying, laminating, binding and booklet production. Produce any leaflets, newsletters, publicity materials as required. Ensure that the Reprographics area is maintained in line with the daily checklist. Assist with production of weekly bulletin and newsletter. Reception At the agreed times, welcome visitors to the Academy, ensuring that all security procedures are followed through the signing in process. Deal with personal and telephone enquiries from all visitors including parents, prospective parents and the general public. Ensure that the Reception area is kept clean and tidy at all times. Page 10 Other Carry out duties and responsibilities commensurate with the post necessary for the smooth running of the Academy as required by the Office Manager. Instruct staff in the use of the reprographics equipment as necessary. Attend all team development activities, meetings and contribute ideas towards the improvement of the service provided. Our specialisms are Music and Mathematics and we use them to drive innovation and creativity across the Academy. We set high standards for teaching and learning, and our students enjoy a varied, rich and broad curriculum. Our award winning building in the South of Hackney is outstanding, with state of the art facilities for our students, staff and the local community. We seek an experienced Administrator to manage a very busy: 1. Reprographics Department - Must have an ability to deal with high volumes of requests from staff to produce hard copies of documents. You must also be able to prioritise these tasks and your workload so you are ready for the many peak times throughout the school year. 2. Reception, front desk and switchboard at The Bridge Academy - Providing a friendly and effective service to our daily influx of visitors, parents and students. On average we currently have approximately 500 visitors a month. The role will also involve day to day administration tasks as directed. 3. Administration - Experience of collecting information and logging it on various databases for monitoring and the production of reports. Good time management skills are essential. You will have: Excellent communication and literacy skills; Proficiency in Microsoft Office packages; Ability to multi task and process large volumes of work quickly while remaining professional; Previous experience of working in a busy office environment.
