Recognize the need for more dens, and see that new dens are formed as needed. Work with the chartered organization representative to provide adequate and safe facilities for pack meetings. Cooperate with the Cubmaster on council-approved money-earning projects so the pack can earn money for materials and equipment. Pack Committee Member Secretary Manage finances through adequate financial records. Maintain adequate pack records and take care of pack property. If the Cubmaster is unable to serve, assume active direction of the pack until a successor is recruited and registered. Appoint a committee member or other registered adult to be responsible for Youth Protection training. Provide a training program for adult family members. Develop and maintain strong pack-troop relationships, sharing with the troop committee the need for graduations into the troop. Work closely with the unit commissioner and other pack and troop leaders in bringing about a smooth transition of Webelos Scouts into the troop. Help bring families together at joint activities for Webelos dens (or packs) and Boy Scout troops. Support the policies of the BSA. Make recommendations to the chartered organization for final approval of pack leadership. Recruit the Cubmaster and one or more assistant Cubmasters, with the chartered organization's approval. Provide adequate and safe facilities for pack meetings. Coordinate the pack's program and the chartered organization's program through the chartered organization representative. Help with pack charter renewal. Help stimulate the interest of adult family members through proper programming. Supervise finances and equipment. Work closely with the Cubmaster. Ensure that all Tiger Cubs, Cub Scouts, and Webelos Scouts receive a year-round, quality program. Complete pack committee Fast Start Training and Basic Leader Training for the position. Conduct, with the help of the Cubmaster, periodic training for parents and guardians. Cooperate with other Scouting units. Maintain up-to-date information on membership, leadership, attendance, and advancement in the Pack Record Book. Maintain an inventory of pack property. Handle correspondence for the pack. This may include writing letters of appreciation and requests for reservations, or ordering supplies through the local council service center. Keep notes on business conducted at pack leaders' meetings. Record only key items such as things needing follow-up or items for the history of the pack. Notify leaders of pack leaders' meetings and other activities. Provide den leaders with records and forms for meetings. Help the pack committee and Cubmaster establish a sound financial program for the pack with a pack budget plan. Open or maintain a bank account in the pack's name and arrange for all transactions to be signed by any two of the Cubmaster, pack committee chair, secretary, or treasurer. Approve all budget expenditures. Check all disbursements against budget allowances, and pay bills by check. The pack committee chair should approve bills before payment. Collect dues from den leaders at the pack leaders' meeting, preferably 'in sealed den dues envelopes. Open envelopes in the presence of den leaders. Give receipts for these funds, and deposit the money in the bank account. Keep up-to-date financial records. Enter all income and expenditures under the proper budget item in the finance section of the Pack Record Book. Credit each Cub Scout with payment of dues. From time to time, compare the records with those of the den leaders to make sure they agree. Give leadership in developing a coordinated record-keeping system in the pack. Be responsible for thrift training within the pack. Encourage each den leader to explain the pack financial plan to each boy and his family so that boys will accept responsibility for paying dues and family members will be alert to opportunities for boys to earn dues money and develop habits of thrift. On the request of den leaders, sympathetically counsel with a boy who does not pay dues, determine the reason, and encourage regular payment. If the boy is unable to pay, work out a plan with the Cubmaster and pack committee so that the boy can earn dues. Periodically report on the pack's financial condition at the monthly pack leaders' meeting. Make regular monthly reports to the pack committee at the pack leaders' meeting, and report to the chartered organization as often as desirable on the financial condition of the pack. Provide petty cash needed by leaders. Keep a record of expenditures. Guide the pack in conducting council-approved pack money-earning projects. Treasurer Advancement Chair Have a working knowledge of the Tiger Cub, Cub Scout, and Webelos Scout advancement plans. Help plan and conduct induction and advancement recognition ceremonies. Arrange for Tiger Cub graduation ceremonies with the Cubmaster and Tiger Cub den leader. Cubmaster Train parents, guardians, and pack committee members in ways to stimulate Tiger Cub, Cub Scout, and Webelos Scout advancement. Arrange for Webelos graduation ceremonies with the Cubmaster, Webelos den leader, and Scoutmaster. Promote the use of Tiger Cub, Cub Scout, and Webelos Scout den advancement charts to record advancement in the den and as an incentive for advancement. Promote the use of den doodles as a stimulus for advancement. Collect den advancement reports at pack leaders' meetings for use when ordering badges and insignia from the local council service center. Promote Boys' Life magazine as an aid to advancement. Help build or obtain advancement equipment for use in making advancement ceremonies more effective. Promote the wearing and proper use of uniform and insignia. Help the pack committee chair conduct the annual pack program planning conference and the monthly pack leaders' meetings. Work as a team with the pack committee chair to cultivate, educate, and motivate all pack leaders and parents or guardians in Cub Scouting. Take part in the charter review meeting and annual charter presentation ceremony. Request den chiefs for all dens and, after selection, see that they are trained. Recognize the den chiefs at pack meetings. Conduct an impressive graduation ceremony for Tiger Cubs. In Sept, contact the local stores and schedule a weekend for the site sale when you will have product to sell. Schedule Friday afternoon 3:30-7:30, Saturday 9:00-7:00, and Sunday 9:00-7:00. Schedule the 4 local grocery stores: Bel Air (requires a FAX to corporate headquarters), Safeway (requires contacting their property management office), Ralphs, and Albertsons. You’ll be competing with the Girl Scouts and Camp Fire Girls if you try to sell any later than that. At the November or December Committee Meeting, tell the den leaders when the See’s Candy Sales will be held so they can help spread the word. Ask the leaders to tell the parents, not just the scouts. At the December Pack Meeting, announce when the Popcorn Sale will be held. It would be better if you have the stores/dates already set up, so people will know Pack Webmaster Coordinators Popcorn Sales Kernel which weekend they will need to commit to. Get the names and phone numbers of any scouts who are interested in selling. Follow up with an email to everyone in the Pack. Send your email out to the Pack. Remember, some scouts do not have email. Order product needed for the site sale Distribute the order forms to scouts when they can begin selling them. It is good to show them how to sell and prepare them for “NO” at some houses. They need some tips to keep them going. It is best to collect money with the order, that way people do not change their mind and refuse the order or give a bad check (hasn’t happened much.) It is also nice that no money has to change hands when the delivery is made. Have the scouts (and parents) tally the forms and make copies for themselves in case they are misplaced. Collect all of the order forms from scouts with the money for the order. Deposit checks to be sure they clear. Fill out the master-order form, send it in and prepare to distribute the order quickly when it arrives. The products must not be left in a garage. Chocolate-coated popcorn will melt and other popcorn will change flavor. One pack destroyed all of the items in their master order by leaving it in the garage. Have the scouts report when all of their deliveries have actually been made. After the checks have cleared, then the scouts account can be updated. In the fall: Determine cost and dates of camp, and approximate number of scouts (current Bears & Junior Webelos) to attend. Obtain deposit check from Pack treasurer; submit with approximate head count, to reserve spaces. In the winter: Resident Camp Coordinator Give scouts and parents the medical release forms that will be required by camp, so they’ll have time to get physical exams and have any necessary follow-up for medical clearance. In the winter & spring: Collect portions of payments from scouts as required by camp to hold their spots. Ensure that payments are received ahead of specified deadlines, to obtain best rates and keep slots reserved. Try to take payments through the Pack treasurer, for record-keeping purposes (they may need two signatures, so plan ahead). At some point, camp director may need a list of names of attendees. In the spring: Service Project Coordinator (Scouting for Food) (or could be a Special Flag Ceremony) See’s Candy Sales Coordinator Distribute information to participants (e.g., directions to camp, roster, agenda, rules, list of items to bring). Arrange for tour permit (gather driver & vehicle information & necessary signatures, submit to Council for permit #). Preliminary meeting is recommended, so campers get to know each other; they may also develop skits, songs, cheers, or flags, as requested by camp directors. Ensure that all medical releases are complete; keep copies. Clarify meeting time & special instructions for arrival date (sometimes you’re asked to arrive with swimsuit under clothing, etc.). Attend Iron Horse District Roundtable in February to reserve area. Coordinate with den leaders to cover sub-areas. Arrange to gather all food for pack on or before final date in March. Arrange to deliver all food to the right location on final date in March. Report how well the pack did. The See’s Candy Sales fundraiser allows scouts to earn money towards their Twilight Camp or Residence Camp tuition. A suggestion was made to also allow scouts to use the money towards recharter fees. This would have to be approved by the Committee, though. Preplanning is very important. Before the October Committee Meeting, call See’s in downtown Sacramento (443-4497) and verify the candy bars still cost $.75 each and sell for $1.50 in the stores. Some people suggested selling the candy bars for $2.00 each, so you wouldn’t have to worry about giving change. I think it was a good experience for the boys to learn to give change. Also, if the candy bars are selling for $1.50 in the See’s store, they might not sell as well at $2.00. In November, contact the local grocery stores and schedule a weekend at the end of January. Once you have a confirmed list of scouts, figure out how many candy bars will need to be ordered from See’s. You have to order a minimum of 5 cases. Each case contains 144 candy bars (6 boxes of 24 bars each). Each case costs $108 (based on current cost). Order a variety of candy bars (Milk Chocolate, Milk Chocolate with Almonds, and Milk Chocolate with Toffee Bits). Order less of the Milk Chocolate and a lot more of the Almond and Toffee Bits. There was a mixed opinion about the Dark Chocolate. Some people want to sell it, others don’t. Get a concensus, but only order a little bit of it. Send an email or call the Cubmaster or Treasurer requesting a check to See’s for the amount of the order. Call the order in to See’s (443-4497). Our account # is ???????. Tell them what day you want to pick it up. The store is located in downtown Sacramento at 10th and L Street. They will give you directions for picking up. Pick up the order a couple of days before the site sales, so you can separate it out and distribute it. Give each scout 60 candy bars (more if you found out the cost of Twilight Camp went up). It’s easier to divide up if you give each scout 24 of one variety, 24 of a second variety, and 12 of a third variety since the candy bars come in boxes of 24 each. Send out an email or call families to pick up the candy at your house, at the Pinewood Derby, or at the January Pack Meeting (depending on when your site sales are scheduled). Distribute what you can from your house before you eat too much. Distribute the remaining candy at the Pinewood Derby or Pack Meeting. Collect checks made out to ‘Pack 146’. Keep close track of what candy you distribute and how much money you collect. If scouts team up to sell together, they will have to keep track of their own candy bars and money. It’s helpful to have a small table, a money box for change, and signs. I also had my scouts hold a few candy bars in a tray. It was easier to make a sale when people could see what they were selling. After the site sales, collect any earnings that were not paid in advance. Turn in the checks and cash with a balance sheet showing the total sold, total collected. In the winter: Twilight Camp Coordinator Find out who the Camp Director is and when the meetings will be held. You may be required to attend committee meetings; if so, don’t complain – it’s the best way to find out what’s going on and to have some input! As soon as camp registration forms are available, distribute them to the den leaders with specific instructions/deadlines and camp information. Clarify what jobs the parents are signing up for, and how many adults are needed. Compile registration forms and fees to submit to the Camp Registrar, as quickly as possible; this ensures that dens will not be split up too much! List scouts by den, matched with corresponding parents who will accompany them. Ensure appropriate adult coverage. Obtain a single check from the Pack treasurer; it may need two signatures, so plan ahead. If childcare is provided for siblings (sometimes called Tag-Along), disseminate that information to the Pack and coordinate registration forms and payment. If our Pack is responsible for a booth, make sure that all necessary preparations have been made, including setup and clean up. Somebody in the Pack should have items from previous years that can be used again. If money will be spent, clarify reimbursement rules with Camp Director (sometimes complicated), or ask Pack to reimburse. Adult attendees may be asked to attend a training session and/or have Youth Protection. Clarify and announce these requirements! Make sure the adults know which jobs they’ve been assigned, and which days. Just before camp: Be sure everyone knows where and when to meet (including special parking or drop-off instructions), what to bring, what to wear, what the camp rules are, and who they’ll be with. Our adults may be responsible for boys from other Packs; make sure they understand this, and if possible, have them contact those boys in advance. At camp: Ensure that everyone gets their t-shirts, hats, water bottles, patches, or certificates. Carry a list of shirt sizes, as well as den & adult assignments. Make sure everybody knows what they’re doing, and that the booth got set up okay and is adequately staffed with safety-minded adults who understand the intended use of the equipment. After camp: Obtain a list of achievements covered in camp. Clarify what was actually done, and ensure that their parents or den leaders give them appropriate credit/awards. Blue and Gold Banquet Coordinator Historian / Photographer / Videographer Work with the other Adult Leaders to select a date and location for the event Extend an invitation to the prior Cubmaster to attend. Arrange for someone from the District or Council to discuss Friends of Scouting (FOS) presentation. Arrange for any food and refreshments Determine the theme for Blue and Gold (usually comes from BSA each year) and communicate to the pack well in advance of the event. Arrange for entertainment (It is a bad idea to use this meeting for any advancements – like Arrow of Light, or bridging scouts) Blue and Gold is to celebrate the birthday of BSA. (it will be 100 years very soon!) Determine what decorations will be required (usually each den will decorate a few tables.) Prepare to have persons arrive early to setup. Prepare to have persons stay afterward to clean up. Take “official” photos at pack meetings and events. Collect “Talent Release” paperwork and submit the paperwork as required for BSA. Monitor all photos contributed to be sure that all pictures are of a positive nature that upholds the values of BSA. Photos should make cubs feel important and proud. If in doubt, contact the Cubmaster immediately. Encourage others to submit photos to increase the coverage of a wide range of scouts Prepare videos/slideshow of events to re-live an event that just happened, and to get cubs excited about upcoming events. Videos should be a maximum of three minutes long (one song.) Cubmaster must have ample time to review the pictures or video or slideshow before being presented. Upload pictures to share with Pack families. We Raingutter Regatta Coordinator Special Ops Agent currently use Shutterfly. Verify that only the first-names of cubs are used in association with pictures to protect cubs. Work with the Adult Leaders to select a Park (usually Kaseberg) for the event. Reserve the park areas that will be needed. Typical events include: Raingutter Regatta, Water-fight with Sponges, Fill the bottle, water rockets, BBQ picnic. These persons are called to assist with many details that come up with putting on Pack events. Things like: picking up ice at the store, ordering Pirate-themed items, arranging for food or decorations. We don’t want any event to fall on just one or two people. Many hands make light work and the events will be fun for everyone.
