Sutter Outpost #1841 May 18, 2013 E Clampus Vitus Grand Council Honorable Officers & Proctors, 1) Thank you Grand Council The Board & Brothers of John A. Sutter Outpost #1841 would like to thank you yet again for your continued support. In the past year, as the report will show, we have again grown in every measurable category. While we are very happy with the measured results of the past 3 years and their continued growth, and, we continue to be equally satisfied with the leadership, experience & knowledge keeping pace as well. 2) Goals This year's goals of the Chief Constable and the Board were the following: 2)a) Continue to keep consistent growth and interest in all we do, build a brand name that John A. Sutter #1841 is known for. 2)b) Look to Junior Board members as opportunities for additional responsibility and up and coming brothers with a keen sense of people skills, business acumen and responsibility with the ability to lead.. 2)c) In order to maintain a broad pool of candidates for board positions, and board promotions, committees, headed by board members, have been identified which are manned by non-board members in order to allow us to assess a potential board member’s interest, motivation and follow-through. 2)d) Goals planned and accomplished for this year 1-2 Plaques up & dedicated A Widders / Halloween Ball that exceeds the year prior. Continue to hold 2 doins per year, one in the spring & one in the fall. Continue with the Widders & Kids open General Meeting in December. Continue to seek out & develop leaders for the future of the Outpost. Continue to treat our hosts with the utmost respect and admiration. Last year, with these goals in mind, John A. Sutter developed a depth of some 12 individuals who, with continued training and guidance, would become the future of the Outpost and hopefully the chapter for years to come. That pool of individuals was first tested during the previous business year (2011-2012), as previously reported, when a board member was deployed to Afghanistan, and, was drawn upon again in the current business year (2012-2013) following Grand Council when the board was reconfigured. Note that the John A. Sutter fiscal year and board member terms run from June 1st through May 31st of the following year. Also this year Don “Peanut Butter” Breeland again tested the outposts mettle when he abandoned us to take up residence in the Golden Hills, and yet, the outpost has continued to grow, so much so that we relocated our general meeting location in favor of a larger room at a VFW hall, and, none of the plans that were in progress at the time of his passing have been abandoned, and, many new plans have since been implemented as the outpost continues to flourish. The current John A Sutter board is composed of brothers from a variety of backgrounds, many of who ran or run successful businesses, several were or are in positions of leadership or management and falling into either category brings into play business acumen and people skills which benefit John A Sutter. 3) Growth John A. Sutter has had another great year in its measurable categories; here are a few highlights. 3)a) Attendance: attendance continues to grow; the individuals who attend include many core individuals who have been in attendance for four years, and, some promising newly initiated red-shirts. 3)b) Financial: the JAS financial status continues to grow; doins rubs and various raffles are the primary sources of JAS income; facility rentals, raffle prize costs, doins flyers (printing, postage), plaque materials, and, donations (Old Timer’s Museum) are the primary sources of JAS expenses. 3)c) Website: www.ecv1841.com, continues to be vital to the outpost, for example, as an important means of communication for upcoming events, sending mass emails to members, posting pictures of events, and posting historian reports, to name a few (see illustrations provided in the appendices). The website hit counter indicates the site’s popularity which can be attributed to a continued advertising program to defer website costs and having reciprocal links with other websites within ECV and other related sites that have come at the suggestion of the brothers of John A. Sutter, and, of course, a website that all agree is exceptional 3)d) Meeting Raffles: the monthly raffle income continues to be very strong and we continue to improve the raffle by the types of prizes, the number of prizes and values of prizes, and, we have implemented better accountability which includes the amount spent for prizes, the amount taken in from ticket sales, and the resulting raffle profit; the leading month is still December. The outpost’s growth and performance for 2013 demonstrates a consistent and continued drive down the path, guided by years of experience and leadership; our Leadership Development program continues to add more and more to the prospective presence and outpouring of the Outpost as we attract more and more brothers to whom are assigned duties of importance and responsibility, as, we continue to be a traditional E Clampus Vitus presence in the greater Sacramento area and surrounding areas with great things to come. 4) Gatherings John A. Sutter Outpost #1841 gatherings since the 2012 Grand Council meeting to now. 4)a) 11AUG12 - Fall Candlelight Doins – this was the August 11th 2012 Fall Candlelight Doins held at the West Sacramento VFW Hall with 49 attendees. Three PBCs were initiated, two of whom were local residents who have since began attending outpost general meetings and participating on committees and are possibly (very probably) future board members. 4)b) 11AUG12 - Liberty Cemetery Plaquing – the outpost gave an assist to Lonie Rueb in mounting a headstone at the desecrated grave site of some of his deceased relatives; the event was well attended, 20 red shirts and 15 family members attended. We also met the cemetery caretaker and were instrumental in providing warm breathing bodies on the following Halloween night to discourage any grave robbers who seem to like to visit on this celebrated night in order to dig searching for skulls, and, the caretaker also expressed a need for a new flag pole which is a project the outpost will assist with in the near future. 4)c) 29SEP12 – Poker Run to the WOCO – this was the 1st Annual Rolling Thunder Poker Run to the Wall Of Comparative Ovations with the Apostles of St. Vitus riders which was hosted by Outpost 1841 and Outpost 49. The rub, $10/person, covered Grub & Badge of the Day ($3 from every grub rub benefits the Murphys Old Timers Museum) and for the poker there was additional $5 Annie to draw cards with the option to draw again for an additional $1; $50% for high hand ($59), $25% for low hand ($29) , $25% to museum ($30). The portion from the 20 attendees’ rub, from the poker and a $10 contribution by 1841 made for a $100 donation to the museum! 4)d) 09OCT12 - Outpost 49 general meetings – Several members of Outpost 1841 frequently visit Outpost 49 general meetings at Mr Beefys; it is a nice ride from Sacramento through the gold country to Pioneer, and, a great opportunity to exchange information, plan and announce upcoming events, for example, the Annual Rolling Thunder Poker Run to the Wall Of Comparative Ovations, and, Chewey makes a great burger! 4)e) 27OCT12 – 4TH ANNUAL HALLOWEEN BASH - John A. Sutter hosted its 4th annual Halloween Bash & Widders Ball. Live music, plenty of food and a variety of deserts were had by all, including Peanut Butter and 68 attendees. A "Widder Themed" raffle kept the night going as did a costume contest and special raffle prize of a silver dollar. Additionally this night was the culmination of the Pistol/Knife Raffle which raised almost one thousand dollars over the previous six months. 4)f) 24NOV12 – Memorial Service for Peanutbutter - News spread of Brother Don “Peanutbutter” Breeland’s journey to the Golden Hills and the West Sacramento VFW Hall was booked for a memorial service. The news spread by word of mouth, emails and internet postings; around 300 red-shirts, family and friends attended and donated jars of peanut butter for a local food bank, four large (heavy) moving boxes full of peanut butter. 4)g) 19DEC12 – 4th Annual Christmas Party - John A. Sutter hosted the 4th annual open meeting where brothers can bring their widders & kids and friends (future PBCs) for a free feast sponsored by the outpost. The attendance by 39 brothers, 12 widders & 11 kids was up significantly over last year to the point the new meeting location was justified and adequate to accommodate the crowd. The widders provided the deserts in fine style and a raffle with numerous items for widders & brothers alike was held. 4)h) 05JAN13 – Emperor Norton Day – one of many events which brothers of the JAS outpost attend which provide a fine event and opportunity to visit and exchange information. 4)i) 09FEB13 – LSD #3 Bean Feed and Hawker Faire - John A. Sutter entered the annual Bean Feed with most every other chapter and rocked the house with the top award for beans again this year. Brother Kevin Jenkins with gracious assistance from Brothers Dave Barnett, Bob Ferrell and Ben Peccaianti won the “CHAPTER CREW FIRST PLACE” award, and, it is rumored that the goat cheese brought by Gene Jenkins was what put the beans over-the-top! John A. Sutter also put its 50/50/50/50 Raffle and Jackpot Drawing tickets on sale at this event; the 6 month raffle will have 50/50 drawings at the 2013 Spring Doins, the 2013 Fall Doins and the 2013 Widders Ball, and, the 50/50 Jackpot Drawing will also be pulled at the 2013 Widders Ball; tickets are available at all events and meetings, to date the raffle has earned the outpost about $100.00 return so far on no investment cost. 4)j) 06APR13 – I.D.E.S. Portuguese Hall plaquing – JAS erected a concrete monument on which a plaque was mounted to the great pleasure of the I.D.E.S. Portuguese Hall board of directors; the dedication was held during the JAS spring doins. 4)k) 06-07APR13 – Spring Doins – John A. Sutter hosted its third over night doins at the IDES Portuguese Hall in Freeport, with the threat of rain all week leading up to the event hopes were varied about the turnout, but with clear days on Friday and Saturday the outpost garnered 54 total paid, including 5 PBC's. The outpost served up spaghetti and French bread Friday night, a continental breakfast Saturday morning, dollar dawgs for lunch on Saturday, a steak, award winning beans, salad & bread for Saturday dinner, and scrambled eggs, snausage, biscuits and gravy on Sunday morning - plenty of good eating and good clampin. With all that has grown there are still some things that haven’t changed: Ws still have orderly yet informative and entertaining general meetings monthly. We still don’t (and never will) have anything to do with any “Viper/Outlaw” factions. We still operate as a dry chapter, while we may enjoy a sip or two, we don’t provide it. We still operate under and respect all guidelines of Grand Council and our sponsor chapter YB1 2 signatures are still required and monthly Bailiff (GDR) reports are given at the general meeting 5) 2013 – 2014 - Next Year & Beyond… With a solid leadership platform and many successful events to feel proud of, here is what we are looking to have for next Grand Council Meeting in 2014: 1-2 Plaques up & dedicated A Widders / Halloween Ball that exceeds the year prior, look at scheduling to ensure it won't interfere with a doins. Continue to hold 2 doins per year, one in the spring & one in the fall, the type & timing of those will be watched closely for maximum effect. Continue with the Widders & Kids open General Meeting in December, this has a solid 3 year run and brings ECV & Families together, new location will be announced well in advance. Plan and execute for the 2nd year in a row the joint JAS 1841 and JWM 49 annual Rolling Thunder Poker Run to the Wall Of Comparative Ovations with the Apostles of St. Vitus riders with the Widders & Kids open benefiting the Old Timers Museum in Murphys. Continue to seek out & develop leaders for the future of the Outpost, the continued success and eventual charter depend on it. Continue to treat with the upmost respect and admiration those with whom we come in contact with. To date JAS has been openly invited back to every location we have held a function, due in part to our policy of leaving it cleaner than we found it. Looking for a charitable organization we can work with, not just a donation, but one we can spend some time with, share who we are and what their needs are. We will always strive to inspire and involve the entire brotherhood of John A. Sutter Outpost #1841. The greatest ideas & successes have come from the thoughts and planning by many to incorporate and maintain the ideals of John Augustus Sutter, long may his memory live. Again, as is years past we would like to thank you for your continued support, words of encouragement and wisdom and this opportunity to share with you the accomplishments of John A. Sutter “Probational” Outpost #1841.
