BASIC FUNCTION:
To oversee all administrative services in the advancement function to maximize
efficiency and optimize support for the advancement team(s).
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
Lead all functions supporting advancement and alumni relations for peak efficiency
Develop, implement, and maintain operating policies, procedures, and business
processes for each function in support services
Lead the annual giving campaign ensuring timely commitment or resources, training
of staff, and reporting of outcomes. Support annual giving campaign strategies and
internal promotions for team motivation.
Lead the prospect management and research function, ensuring that organization,
systems and priorities are developed to respond to advancement staff’s needs, events
and deadlines.
Lead the data entry and accounting functions for timely information collection and
reporting to advancement staff.
Lead all donor relations and special events planning. Provide necessary consultation
and resources to maximize event planning activities.
Lead the technology and systems support for the entire division. Ensure the
appropriate training of advancement staff to maximize resource utilization.
Recommend process improvements, efficiencies and systems to the Vice President.
Associate Vice President for Advancement Operations
Manage units’ budgets; monitor cost controls; balance resource allocations among
units.
Serve on the Vice President’s management team, participating in decisions affecting
the units under direct supervision as well as the division as a whole.
Assist in fundraising events and campaigns as well as alumni relations programs as
necessary. Attend donor and alumni events as necessary.
Serve on various department, division, and University committees; represent Division
at appropriate University bodies, committees, councils, etc.
Perform related duties as assigned.
REPORTS TO:
Vice President for Institutional Advancement
LEADERSHIP AND SUPERVISION:
Lead multiple functions to support the overall advancement effort. Coordinate closely
with senior management in advancement to influence positive outcomes for every
initiative. Coordinate closely with other university professionals on regional
campuses, in athletics, and in University Communications Marketing to coordinate
successful annual campaigns, donor relations, and event marketing.
MINIMUM QUALIFICATIONS:
Education and Experience:
Bachelor's degree in management, communications, marketing or public relations;
Eight years in management of advancement and/or advancement support
function(s)
Five years in fundraising or fundraising related experience or event planning and
promotions

Other Knowledge, Skills, and Abilities:
Knowledge of business processes, systems design, policy and procedural
structures.
Project management skills and continuous improvement skills
Ability to interpret user needs and translate need to technical staff.
Demonstrated ability to provide leadership and direction.
Resource management skills
Ability to multi-task and flexibility to adapt to demands in multiple areas
Working knowledge of advancement services technology and databases.
Budget management and/or basic accounting knowledge
Physical Demands
Ability to communicate work directions and instructions clearly
Ability to work weekends and evenings
Ability to conduct work on personal computer
Preferences
Masters Degree in Business Administration
Fundraising experience
Higher Education experience
