Royal Academy of Dance Job Description Job Title Syllabus Development Administrator Department Artistic Line manager Artistic Director Working hours Part time 14 hours per week (flexible) Contract Fixed term contract until 31 July 2017 Salary range £22,000 - £25,000 pa pro rata Job purpose To plan and co-ordinate each phase of the RAD’s Syllabus Development Project; administer specific elements of the project including trial teaching, filming, tutor training and syllabus launches; and act as Serving Officer for Syllabus Development Working Group meetings. Planning and co-ordination 1. Produce, maintain and update as required a planning document / chart for all events included in each phase of the syllabus development, highlighting potential overlaps and conflicts any need for additional resource and confirming responsibilities and objectives. 2. Organise and attend Syllabus Development Working Group meetings chaired by the Director of Examinations and act as servicing officer, ensuring that agendas and necessary papers are distributed prior to each meeting and actions / decisions are documented and distributed within agreed time frames. 3. Ensure that all relevant parties are aware of agreed timelines and that these are updated and circulated as required and that deadlines are reasonable and are met. 4. Assemble, brief and co-ordinate teams as required to ensure the successful delivery of each phase of the syllabus development. Administration 5. Liaise with the creative team responsible for developing syllabus content, including choreography and music as required. 6. Under the direction of the Artistic Director, plan and co-ordinate national and international syllabus teaching trials, including: issuing schedules, receiving feedback from trial teachers and disseminating information. 7. Liaise with the Examinations Operations and Communications Manager with respect to the planning and administering of trial examinations. February 2016 Page 1 of 2 8. Under the direction of the Artistic Director, plan and coordinate the training of an international team of Tutors selected to deliver teachers’ courses to support the launch of new syllabi issuing resources and props as required. 9. Work closely with the Artistic Director and the Head of Trading to plan, organise and attend filming days related to the production of the syllabus core product range; including liaison with the venue, participants and film makers. 10. Liaise with Head of Trading to ensure that correct uniform is available for filming. 11. Plan, co-ordinate and attend as required rehearsal days in the run up to the filming or syllabus launch event for both students and teachers; including organising travel, accommodation and catering as required. 12. Ensure that additional support staff are available as necessary for training days, rehearsals and throughout filming; including a runner for the Artistic Director. 13. Work with the Events Project Manager and other members of the Marketing Communications and Membership Department in the organisation of the syllabus launch, with regards to backstage planning & rehearsals. 14. Liaise with the Head of CPD in respect of the delivery of syllabus courses for teachers. 15. In liaison with the HR Department, agree template contracts and provide the HR Department with relevant written instructions so that contracts can be issued to freelance staff before each phase of syllabus development. 16. Issue letters of agreement and parental and/or press and publicity consent forms with regards to syllabus pilots, filming and rehearsal days. 17. Carry out risk assessments for activities as required, including filming and syllabus launch. 18. Liaise with the Director of Finance and Administration, Head of Trading and Events Project Manager and other stakeholders as required with respect to budget planning and monitoring. 19. In liaison with all key personnel involved, produce post event reports which evaluate each stage of the syllabus development against the pre-set objectives and critical success factors, circulate to stakeholders as required and update project plan accordingly.
