Apart from curricular and extra-curricular activities during the academic year, the AIOU and its regional centres actively participate in the co-curricular activities by arranging educational and literary seminars, workshops and conferences, attended not only by the students and faculties of the university but also by renowned dignitaries and scholars. For the science students and research scholars, a science complex has been built where they use the latest equipment of international standard. To meet the present day challenges internet facility is also available in the student’s hostel and the Central Library, where computers have been provided to enable students to access latest information available through open source databases. The Allama Iqbal Open University (with its main campus in Islamabad) was established in 1974 under an Act of parliament. It was the second open university of the world and the first of its kind in Asia and Africa when it was established. Now more than 60 such universities are providing distance education and it is among the 4 top mega universities of the world. The aim of establishing AIOU was to provide affordable and accessible education through distance learning at the doorsteps to those people who could not continue their studies through formal system of education. The University (AIOU) operates on semester system and admits students in Autumn and Spring semesters. Under-graduate admissions are offered in both the semester where as post-graduates are offered once a year. The enrolled students are given course books audio video cassettes specially prepared by the university on self instructional principles. However, at the post-graduate level reprints of foreign books allied with study guides help students to polish their skills. At present, the AIOU is offering programs from matric to Ph.D. level in diverse disciplines included in the four faculties. The University has established study centres across the country, where distance education students are provided necessary guidance by their respective tutors. Moreover, the university has established full time study centres, wherein the students of MBA (IT), MBA (Banking and finance, BS (CS), B.E (Engineering) and MS. are being provided instruction, guidance and counseling through face-to-face education. AIOU is offering 4-year under- II. FACULTY OF SOCIAL SCIENCES AND HUMANITIES The Faculty of Social Sciences and Humanities was established in 1982, initially with only few departments. Later, a whole spectrum of new courses and programmes was developed that necessitated the establishment and inclusion of various other new departments within the faculty. Contributions are made by the Faculty that include, offering a variety of courses in Business Administration, Public Relations, Advertising and Print Media, thereby enhancing the ability of the manpower. The Faculty of Social Sciences and Humanities has over the years, flourished to become the largest faculty of the University. 1 Today, it consists of fourteen departments offering master programmes in major areas of Social Sciences and Humanities, such as Business Administration, Economics, Mass Communication, Sociology and Language (TEFL). The Commonwealth of Learning Programmes in the areas of Business and Public Administration specially tailored for the professional needs of modern day busy executives, have also been launched from spring, 2003 semester. In tune with the government’s policy of promoting and strengthening a culture of higher education and research in the country, AIOU’s Faculty of Social Sciences and Humanities has shown great dynamism over the past few years. It has launched M.Phil/Ph.D programmes in Urdu, Iqbaliat, Mass Communication, while preparations are being made to launch M.Phil/Ph.D in other disciplines as well. The Faculty of Social Sciences and Humanities also offers several bachelor’s level programmes in such professional areas like Library and Information Sciences (BLIS), Business Administration (BBA), Commerce (B.Com) and Mass Communication. Tens of thousands of students comprising all demographic groups and from all over the country enroll each semester in these bachelor’s level programmes. The Faculty has expanded vitally and its programmes have gained a high popularity as is clear from rapidly rising trend of enrolment during the past 4 to 5 years. During the period under report, the Faculty accorded high priority to quality improvements and to modify its programmes in accordance with the challenges of 21st century. The Faculty is planning to launch Postgraduate programmes in the disciplines of Political Science, International Relations, Psychology, Public Administration and Social Work. III. DEPARTMENT OF BUSINESS ADMINISTRATION The Department of Business Administration was established in 1984 with the objective to impart managerial education. Presently the department is offering MBA, MBA (Banking and Finance), MBA/MPA COL, MBA-IT and BBA programmes. These were well taken by a large number of people waiting for an opportunity to improve their qualifications without losing their jobs and leaving their work places. Most of our graduates are enjoying respectable status in public and private sector organizations operating in Pakistan and abroad. Today business organizations and related individuals both need the best training. The Department of Business Administration is committed to provide the best. Well qualified academically, the practical experience of faculty and tutors is just as valuable. They have worked in government, private sector, public enterprises, multi-national organizations and professional institutions. They are creative, innovative and dedicated. BACHELOR OF BUSINESS ADMINISTRATION (BBA) PROGRAMME a) Introduction: The purpose of BBA programme is to enable graduates to better respond to the organizational demands and to help them acquire the skills needed for managing self and others fellow in an organization. The courses of BBA are aimed at developing an understanding of the ways in which individuals and groups behave in relation to an organization. It also focuses on the way organizations to shape individual action and are inturn shape the society. The specialized courses of BBA Programme to enable the students to develop an understanding of particular kind of organizations and to learn different skills appropriate to administrative tasks associated with these organizational types. It is designed to enable students to develop knowledge and skills appropriate for them to effectively manage their own activities with an organization. At Department of Business Administration the combination of theory and practice blended to formulate graduate programmes. c) Eligibility & Selection Criteria: Admission to BBA programme would be granted to the candidates, who have obtained at least 2nd division in intermediate or have passed equivalent examination from any recognized Board. Instructional System: Each course in the BBA Programme may include a combination of the following learning activities: Hands on training at computers for the course Fundamentals of Computers (3400) Regular classes at approved study centres Self explanatory standard textbooks Assignments for continuous assessments and feed back. All courses except course code 1423, 416, 417 & 418 are offered under face-to-face system through approved study centres. The objective is to facilitate the learning process of students by providing them with the opportunity of regular classes. Seventy percent attendance is compulsory in these classes. The course codes 1423, 416, 417 & 418 would be taught through tutorial system as per distance learning system. ADMISSION PROCEDURE 1. Applications for admission will be invited through advertisement in the national as well as regional newspapers. 2. BBA admissions are offered once a year. A student will be allowed to register for maximum of five courses in one semester. 3. Only the prescribed printed admission forms will be entertained. Photocopy of the forms will not be accepted. 4. Incomplete admission forms will not be entertained in any case. 5. Selection of candidates in the program will be made as per rules of Allama Iqbal Open University. 6. An admitted student will be attached with the Regional Center and an Approved Study Centers. 7. Any course can be taken as a certificate course. a) Fee depositing procedure The university has introduced a new method of depositing the fee and admission forms for the convenience of the students. For making the process more consistent and effective, the university has entered into a formal agreement, with the National Bank of Pakistan, the First Women Bank Limited, Habib Bank Limited, Bank Al-Falah Limited, and Allied Bank Ltd. According to this agreement, all the existing V. FEE STRUCTURE Distinctive to the exorbitant fees in the competitive institutions, Allama Iqbal Open University charges a modest fee 6 branches of these banks have been nominated to receive the fee of all the courses of the university. The students can deposit fee through Bank Challan forms at any approved branch. The bank branch will issue a receipt of depositing the admission form and fee. This process will give relief to the students from making bank drafts and maintaining the records of the draft copies. It will also save the additional expenditure on draft making and mailing the admission forms to the university. In this way the admission forms and fee will safely reach the admission department. b) c) The fee along with the admission form is to be deposited in any of the nominated branch by filling the Bank Challan (which is a part of admission form). The concerned bank branch will receive the Bank Challan and admission forms and return copy No.4 of the Bank Challan form, duly stamped, to the applicant for his/her record. It is the responsibility of the applicant to attach required attested documents with the admission form. The applicant will have to pay the following postal/ courier cost to the bank in addition to the required fee: National Bank of Pakistan AIOU Branch Rs.20 and other than AIOU Branch Rs.35 per admission form/Bank Challan. o First Women Bank, Bank Alflah Ltd., Allied Bank Ltd., will receive Rs.35 per Bank Challan/admission form as service charge. Refund rules & regulations Admission fee once deposited by the candidates/students in the University account will neither be refunded nor be converted/ adjusted as a matter of right. However, fee paid by the candidates/ students will be settled in the following cases: The candidates/ students who discontinue the programme/course(s) after dispatch of books, neither their admission will be cancelled nor will their fee be refunded, if candidates/students deceive the University and get admission in two different programmes at a time in a semester, admission will be cancelled in both the programmes and the fee deposited for both the programmes will be forfeited. 1. The candidates/students who deposit the fee for a programme and later on change their mind to apply in another programme and communicate their decision in black and white to the Admission Section before dispatch of study material, in such cases, fee will be refunded to them after deduction of 10% of the total amount deposited. Instructions o 7 2. The candidates/students who are not allowed admission to a programme offered by the university due to less enrolment/ non formation of viable group/non-offering of courses, full fee will be refunded to them. 3. The candidates/students who know that they are ineligible for admission to a programme, even then they deposit the fee, in such cases, fee will be refunded to them after deduction of 5% as service charge from the total amount. 4. The amount deposited by the candidates/students in excess (more than the prescribed fee) will be refunded/adjusted within a year. own objective judgments. A student is required to obtain at least 40% qualifying marks in both the assignments collectively. Each assignment has individually 15% weightage towards calculation of final grade of that course. a) Purpose of Assignments The main purpose of the assignments is to test the students comprehension of the syllabus and books and also to help them get through the courses. Although the information provided in the course material/books supplied by the university is sufficient for answering the questions contained in the assignments however students should consult relevant books as well. The assignments are designed in such a way as to help the students to concentrate mainly on the printed course materials. Cases of refund of admission fee will be processed after finalization/completion of admissions of the semester and only on the production of original Bank Challan/Receipt No. 3 and 4. The students are therefore advised to take the assignments seriously. The students may note that they will not be allowed to appear in the final examinations for any course if they do not submit assignments within due date as mentioned in the schedule or obtain at least 40% marks collectively out of the assignments. VI. ASSIGNMENT Assignment means written exercise which students complete while being at their own homes and or places of work, after having studied different parts of their reading materials. There will be two assignments per course. First assignment is based on the first five units of the course while the second assignment involves remaining four units of the course. Each assignment is designed in a way that students are able to relate their own ideas with the concepts formed from their studies and thus enable themselves to make their b) Submission of Assignments The students should submit complete answers, as required written in their own words. Normally after evaluation the teachers return the marked assignments to the students with comments and grading. All assignments are 8 required to be submitted in due date and no assignment will be accepted after the due date. This will help them to improve their performance for future assignments. The students are also advised to retain a copy of all the assignments. In case they do not get back their duly evaluated marked assignments with assessment sheets within a month after submission, they are advised to try to get the assignment personally from the tutor. Retaining the copy of the assignment will help the students to represent their case to the university in case any problem arises. The students should also know that in case they do not get minimum qualifying marks in continuous assessment components of the course, they will be declared fail in the entire course. results of their readings by referring to and quoting from works on the subject. However copying from such sources without acknowledgement is plagiarism and is not acceptable. To copy deliberately from a printed work or from any other source and to claim it as your own is a form of cheating. Cheating or attempting to cheat, is a serious offense and will be punished in accordance with the relevant rules of the AIOU. e) Weightage of Assignments Weightage of assignments for the calculation of aggregate result for all BBA courses (except for course 3400) is as below: c) Late Submission of Assignments Each assignment has a cut-off date, which is the final date for its submission. Midterm Test 20% d) Cheating in Assignments Word by word copying from books or any other source is not permissible in answering the assignments. The students are required to answer the questions in their own words. The students are debarred to send in other person’s work, either in its entirety or in part, and claim it as their own. f) Re-evaluation of Assignments The assignments are also not subject to re-evaluation except for errors in counting the total marks. In these circumstances, he/she will have to re-enroll in that particular course after paying the requisite fee of a course. c) Roll Number Slips The university will send roll number slip to each student to authorize him/her to appear in the final examination at least 15 days before the examination mentioning roll number, registration number and address of the examination center. If a student does not receive this intimation slip 15 days before the commencement of examination, he/she may contact Assistant Controller of Examination (Conduct) Block 3, Allama Iqbal Open University, Islamabad Tel: 051-9057436. If he/she misplaces the intimation slip, he/she may take examination after obtaining duplicate roll number slip from the concerned Regional Director who have assess to the automated data of the students in his/her computer system. The regional Directors may also download the duplicate roll number slip from the computer and supply the print out to the students after signing on behalf of the controller of the examinations. VIII. WRITTEN EXAMINATIONS a) Need for Examinations Final examination is another component of overall assessment system of a course. Exams are taken at the end of the course on the set dates, usually at a convenient center. b) Weightage of Examination in the Final Result The duration of the examination for each course will be three hours. The final examination has 70% weightage in the determination of final results. In order to be eligible to appear in the final examination in any course, the students are required to obtain at least 40% qualifying marks in the assignments. The minimum passing marks in the final examinations are also 40%. In case a student fails to get minimum qualifying (40%) marks in the final examinations, he/she will be eligible to reappear in the examination of the same course during the next semester. In case he/she again fails to get minimum qualifying marks in the 2nd attempt, he/she will be given one more final chance to qualify the examination in the next semester. If he/she does not obtain minimum passing marks in his/her 3rd attempt in the final examination, he/she will be considered fail in the overall evaluation of the course, no matter he/she has secured passing d) Change in Examination Centre The university will not entertain the requests for change of examination centre during the semester except in exceptional circumstances when the student has genuine reasons for this change and he/she 10 applies at least 45 days before the commencement of examinations. e) Declaration of Results of Examinations Normally the results of the examination containing aggregate marks of the students as per 30:70 weightage is declared within three months of completion of examination. The study period of next semester starts without waiting for the results of previous semester. f) Course Result Procedure to prepare the result of a course is given as under: i. For all courses (except for course 3400), weightage of assignments and final examination for computation of the aggregate result is as under: a) Assignment No. 1 15% b) Assignment No. 2 15% c) Final examination 70% ii. For Fundamentals of Computer (3400) a) Assignment No. 1 5% b) Assignment No. 2 5% c) Midterm Test 20% d) Final examination 70% iii. Grading scheme The university has adopted the following grading system: Marks Letter Grade 80% & above A+ 70-To-79% A 60-To-69% B 50-To-59% C 40-To-49% D Below 40% FAIL IX. INTERNSHIP After completion of 15 compulsory courses, the students will be required to undertake internship training in any business, industrial, or commercial organization of their choice for a period of 6-8 weeks. The internship will enable students to understand how the theoretical portion of their studies can be applied to the practical situations. The Department of Business Administration will issue an introduction letter to the organization for facilitating the internship, if required by the organization. The BBA students will submit internship certificate to the Controller of Examinations, AIOU, Islamabad issued by the concerned organization verifying that the student has completed internship. This certificate is a pre-requisite for award of BBA degree. 11 X. 1. 2. 3. 4. 5. 6. 7. GENERAL INFORMATION Certificates/degrees of AIOU are equivalent to any other recognized Board/University. Candidate is required to send complete admission form along with attested copies of all the educational and experience certificates as mentioned in the prospectus on or before the closing date. If an applicant of post-graduate/research level Programmes does not receive any information regarding admission even after three months of submission of application, he/she should presume himself/herself not selected. The student cannot change the programme/ specialization at post-graduate research level during the programme after once being admitted. A course taken by any student cannot be changed during the semester The address of student will not be changed during the semester. (a) Admission to the courses for Spring semester and Autumn semester are generally offered in the month of February and August respectively. The continuing students are sent computerized admission forms. However, if for any reason, the student does not get the said form, he/she may get general admission form from any Regional Office of the university and send it to the university within due date. (b) 8. 9. 10. 11. 12. 13. 12 Examinations of Spring and Autumn Semester are conducted in the month of November and May respectively. Fee cannot be refunded once paid for admission nor it be can adjusted for any other programme after mailing of the books. On payment of the registration fee, each student will be issued a registration number. This number must be quoted in all the future correspondence along with the roll number, course(s) code numbers and semester. Study material shall be mailed to the students at their given postal addresses. After receipt of the study package, the concerned Regional Director will intimate you about your Study Center. This will be intimated within 15 days generally. Please contact Regional Director for any inordinate delays. Rules and regulations framed and changed from time to time by the authorities/bodies of the university will be applicable. The student will have to abide by all such rules and regulations from the date of their implementation. A student who fails in continuous assessment component is not eligible to reappear but will be allowed readmission for the same course at its next offering by the university. 14. It is the responsibility of the student to remain in touch with the department regarding the selected programme of study. 15. A student already admitted to a programme or a specialization of a programme shall not be allowed to transfer or to get admission to another programme unless he formally postpones it till the completion of the new programme or withdraws from the previous programme. 16. After successful completion of a programme, in terms of requisite number of credit hours, student would apply to the Controller of Examination for issuance of certificate/degree. 17. The Examination Department (certificate section) dispatches provisional/complete result cards to the successful candidate at his/her given address available in the university record. 18. As admission is granted on provisional basis on the result cards of Boards/Universities, therefore, AIOU Degree/ Certificate will be issued after confirmation of the authenticity of the original Degree/Certificate and Diploma issued by the Boards/Universities. 19. Original Certificate/Diploma/Degree will be processed after clearing all the dues by the candidate. 20. Original Certificate/Diploma/Degree will be issued within a period of two years after completion of the programme, provided attested photocopies of Original Certificate/ Degree are attached with the application for the issuance of Certificate/ Degree/Diploma. 21. If at any stage from admission to the award of Certificate/ Diploma/Degree, the information/testimonial provided by the candidate at the time of award of Certificate/ Degree/ Diploma is found tampered/fake, misstated, the university has the right to cancel his/her admission and stop the award of Certificate/ Degree/Diploma. The university can cancel the Certificate/ Diploma/Degree already issued as per regulation/rules of the university and file a fraud case with the appropriate agencies. 22. Normally university issues the degree at the eve of the convocation held for this purpose. 23. The candidates, who are unable to receive the degree on the convocation, shall be awarded the degrees in absentia on an application accompanied by fee as may be prescribed from time to time. 24. The university reserves the right to change the contents of this prospectus without any prior notice as per university policy. 25. Foreign students seeking admission in BBA program should contact Director Students Affairs, Gateway Block, AIOU, Islamabad (sac@aiou.edu.pk) before the admission whether the program is offered in their required medium of instruction. XI. STUDENT COUNSELING a) Introduction: The Directorate of Students Advisory & Counseling Services was established in 1984, merged with Admission Office in 13 1988 and re-activated as an independent Directorate of Students Advisory & Counseling Services in August, 1994. ii. b) Objectives: The main objectives were to provide academic assistance to the students enabling them to continue their studies smoothly. It also aims to remove the hurdles and bottlenecks, which can impede the progress of the students during the semester. iii. At present only General Education Programs of Higher Secondary School Certificate, BA level and Elementary Arabic are offered for the overseas Pakistanis. The Directorate of Students Advisory & Counseling Services has also been assigned the task of coordination of Overseas Students. The co-ordination includes the following: i. Keeping liaison with the Pakistani Institutions abroad for enrolment of the students as well as provision of tutorial support where possible. ii. Coordinating with the Foreign Office and Embassies abroad for the conduct of examination and imparting admission information to the Pakistanis residing in their vicinity. iii. Replying to the queries of the students as well as general public abroad. iv. Admission of Overseas Pakistanis residing in the Middle East/Gulf states and Saudi Arabia. v. Providing information, guidance and academic counseling to the overseas students. vi. The study packets are also delivered in the supervision of Overseas Cell. vii. The assignment schedule, supplementary material and students guide is also prepared and provided to the Overseas Students by the Director. c) Information Lobby: Since last two years, the information lobby has been setup in the Gateway Block which has been equipped with all relevant information regarding system and students’ data base. Data base has been provided to the staff with the courtesy of Computer Science Department. Assistance regarding completion of admission forms, assistance in the selection of courses, problems and information regarding fee tariff is provided to the applicants. Staff of this Directorate also assists the information counters during the period of admission i.e. February-April, and August to October. d) Overseas Services: The University offers its educational programs only in the following countries:i. Kingdom of Saudi Arabia, Kuwait, Qatar, Abu Dhabi, Dubai, Sharjah, Sultanate of Oman, Bahrain. 14 viii. The assignments of the overseas students are received in the directorate and evaluation is arranged through the courtesy of Director Regional Services. ix. The final examinations are arranged and conducted by the Examinations Department. However the information regarding examinations and results is conveyed by the Overseas Cell. x. The complaints regarding examination are also pursued/ tackled/got resolved/conveyed by the Overseas Cell. xi. Appointment of Tutor, Counselors. XII.
