JOB SUMMARY
This position is responsible for generating group revenues using research, direct and telephone
prospecting sales solicitation, personal sales calls and trade show sales representation. This effort will
primarily be focused on corporate, association, wholesale group, SMERF and ad hoc other groups in
national local, state and regional locations for Topnotch Resort & Spa. This position will also receive
and process in a timely manner all inquires, contracts and paperwork, site inspections, out of town
sales trips and assisting with direct mailings and will utilize other marketing tools to maximize group
sales, food and beverage, and other revenue potential for the hotel. This includes the establishment of
strong local business and national group contact and industry relationships while delivering the
highest quality customer service to all groups with lodging, catering and meeting room business at
Topnotch Resort & Spa.
JOB DUTIES
1. Negotiate and implement group proposals for all markets and contract within established guidelines. Research
group histories prior to issuing contract
2. Establish and achieve sales goals and objectives with the General Manager. Market group sales in various
markets through direct sales, direct mailings and trade shows. Review itineraries, strategies and results with
General Manager on a regular scheduled basis.
3. Assist the marketing department with programs that promote group sales.
4. Research information on associations and businesses with the intent on bringing groups to the resort.
5. Find new avenues to produce incremental revenue during soft time periods.
6. Solicit prospects on a daily basis.
7. Develop familiarity with the property including occupancy, program design and catering. Must also be familiar
with all Topnotch Resort and Spa procedures and policies, including reservations, check – in, front desk,
accounting, housekeeping and guest safety. Also expected to be familiar with transportation, recreational
activities, restaurants, shopping, and all profit centers of Topnotch Resort & Spa.
8. Ensure all operational considerations and expectations are handled prior to any group booking arriving on
property. Develop spec. sheet and hold appropriate meetings.
9. Assist other departments with group needs and/or coordination when required.
10. Attend departmental meetings as necessary.
11. Cross sell other Mountain Resort profit centers as appropriate.
12. Meet with group leaders upon arrival to troubleshoot and ensure a quality experience.

13. Follow up with correspondence after departure to determine overall company performance and communicate
to the management when appropriate.
14. Maintain proper records, paper flow and an efficient file trace system; establish regular contact with past and
potential future clients.
15. Perform site inspections with prospective clients. Report any deficiencies observed to the proper department
for correction.
16. Maintain a professional appearance and attitude at all times in dealing with clients or potential clients.
17. Organization of FAM trips.
18. Travel (ski shows, product training for wholesalers, travel conferences).
19. Support the Terra Resort Group, Inc.’s environmental commitments by having the knowledge, skills and
values to be a leader in the global goal of “greening” the hospitality industry.
20. Watch for safety hazards and report them immediately to your Department Supervisor.
21. Complete and maintain accurate, objective and timely performance reviews for appropriate associates in the
department.
RESPONSIBILTY
1. Ability to enforce all resort standards, policies, and procedures with resort associates.
2. Ability to prioritize, execute and organize work assignments; delegate responsibilities effectively.
3. Ability to lead and direct performance of departmental associates and follow through with corrections
where needed.
4. Ability to effectively model and maintain resort mission statement and guiding principles.
5. Be able to analyze and resolve problems while exercising good judgment and maintaining the best
interest of the resort.
6. Be able to effectively plan and implement processes and procedures necessary to ensure effective
associate relations, customer satisfaction and achievement of budgeted resort revenues.
7. Maintain a customer base and meet or exceed budgeted group and other pace goals (Individual and
team).
8. Ability to maintain confidentiality of all guest and resort information.
9. Ability to effectively complete all information contained in this job description without direct
supervision.
10. Ability to effectively motivate associates and maintain a cohesive team.
11. Ability to effectively interact with all levels of associates within the resort.
12. Ability to work effectively with all departments in order to meet their needs.
13. Ability to respond to all associate concerns in a calm and objective manner.
14. Ability to perform all required job duties within the department and scope of the position.
15. Ability to input and access data in a computer in a timely manner.
16. Ability to understand guest inquiries and provide responses.
MINIMUM REQUIREMENTS
1. Strong organizational skills with the ability to handle multiple tasks in a fast paced environment.
2. College degree or High School Diploma w/related experience.
3. Strong verbal communication and sales skills. Must be able to give and receive information clearly.
4. Must be able to read, write, and understand English.
5. Previous Hotel / Resort Sales experience, minimum 2 – 3 years.
6. Strong computer skills.
7. Good interpersonal communication skills; verbal and written.
8. Ability to work as part of a team.
9. Telephone sales skills experience.
10. Strong desire to deliver high quality customer service.

PHYSICAL REQUIREMENTS
1. Be able to sit and/or stand for long periods of time.
2. Be able to lift, push, pull, carry up to 30 lbs.
