Job Description

M AINTENANCE A SSISTANT (MA)

Maintenance Assistants are responsible for maintaining the residential facilities. MAs complete minor repairs and inform staff in our central office of major maintenance problems. A full job description and a list of job responsibilities for this position are available at the end of this information packet.

Application Requirements

Applicants must have a 2.50 cumulative GPA to apply for the position. Successful candidates must maintain a 2.50 cumulative GPA and a 2.25 spring semester GPA and must maintain a 2.50 cumulative

GPA and a 2.25 semester GPA for each semester while in the position.

Applicants must be undergraduate students for the 2016-2017 academic year. Applicants who are enrolled in a combined BS/MS program are eligible to apply if they have not yet received their Bachelor’s degree.

You must be in good judicial standing, which means you cannot be on Disciplinary or Residential Life probation, to start the position. You must remain in good judicial standing to continue in the position once hired.

Applicants must also have attended UMBC full-time for at least one semester by the application deadline.

Prior experience living in the residential communities is preferred, but not required. If you have worked previously as a paraprofessional for Residential Life but are not one currently, you are eligible to apply through this application process if you meet all other application requirements.

Your application must be completed in full or you will not be able to continue in the selection process.

Compensation

As an MA you will receive a single room either in an apartment or in a residence hall. You will also receive a 10 meal/week meal plan. If you would like a larger meal plan you will be responsible for the difference in price.

You will also receive a $275 stipend at the end of each semester.

Short Answer Questions

The Maintenance Assistant application requires applicants to answer a series of short answer questions that are located within the application. We recommend that you type your answers into a word document first and then place your answers into the application as there is no option to save and continue later.

Writing Center is located on the first floor of the library, next to References. The Writing Center does not require appointments.

Information Sessions about MA position

If you are interested in receiving more one-on-one information about the MA position, you can talk to a current MA or any Community Director (CD). Also, Residential Life will be offering information sessions throughout the fall semester for you to attend to view a presentation on the position and get your specific questions answered by our current staff members. You can ask them about their own experiences and learn about each position.

Attending an Information Session is not required to apply for a position.

Interview Tips

Part of our selection process is an individual interview with 2-3 of our current staff members. Here are some tips you may want to consider as you prepare for your individual interview.

1.

Prepare for your interview – talk to current staff, think about the questions you may like to ask, and think about the kinds of questions you might be asked as well as personal experiences you might be able to reference in your responses.

2.

Be on time – arrive 5-10 minutes prior to the scheduled interview time. This will allow you to relax and gather your thoughts before beginning the interview.

3.

Dress professionally -- wear clothes that are appropriate in a professional setting. Cardigan sweaters, khaki pants, and button-down shirts are a few options. Consider clothing that is well-fitting and sophisticated. Remember to dress for success.

4.

Remember, this is both an opportunity for us to see if you are a good fit for Residential Life as well as for you to see if Residential Life, and the specific position, is a good fit for you. Be prepared with questions.

Group Process

You will likely be grouped with individuals you have never met before and will be asked to participate, as a group, in some activities so that our staff has the opportunity to see your skills, abilities, and tendencies when immersed in a collaborative atmosphere. Here are some things that will help you be successful in group process:

1.

Group Process is not a competition. We are evaluating you based on your participation in the group. We are not picking a winner at the end.

2.

Some of the activities require group discussion, and/or opportunities for leadership. As you prepare for your group process day, be mindful of your own personality and/or leadership style and remember that you are being evaluated on your role/participation in the activities.

3.

Most importantly, be yourself. We want to hire the authentic “you” because, ultimately, that is the person we are going to work with for the year.

4.

Have fun! Being relaxed will allow you to stay focused, reduce anxiety, and put forth your best effort during group process.

What do we consider in the Paraprofessional Selection Process?

Every part of the Paraprofessional Selection Process is important and is considered when making final selection decisions. Your past behavior within the residential or campus community is also considered.

Factors we evaluate include, but are not limited to:

Your application is reviewed for completeness, accuracy, and timeliness. Your short answers are reviewed for depth of thought, coherence of message, and freedom from errors. References are reviewed and reviewers’ comments are considered.

The individual interview is designed to judge your understanding of important concepts related to the position, your ability to put those concepts into words, and to provide examples of how you would respond in the position. Questions for each position are different, but all candidates should think about the following topics:

How strong communities are built

The impact of positive and negative student behavior on a community

How you help other students resolve problems or concerns

How you work on a team of 8 to 18 people

How you will handle this new commitment, should you be hired

How you will function in an environment that is multicultural and celebrative of difference

How you resolve ethical dilemmas and what the importance of role modeling is

The role of “customer service” in the position for which you have applied

The group process, which is designed to evaluate how you communicate and solve problems in the group environment. Because we can only evaluate what we see you do, it is important that you are active and engaged with the group process experience. Do not feel compelled to act in a way that is not you – “acting” or “forcing it” will not help your score.

Ways in which Residential Life or UMBC staff have seen you resolve interpersonal conflicts, positively or negatively contribute to your community, or act in groups (student organizations, on your floor, at programs or events, and so on).

Alternate Process

Every year a number of applicants are chosen as alternates. Being chosen as an alternate means that you are qualified for the position, but we did not have enough vacant positions to offer you a job at this time.

Frequently, alternates are offered positions over the summer because some people who have been hired decide they are not able to take the job. Additionally, alternates can be offered positions throughout the course of the academic year.

As an alternate, if a position is offered to you and you choose to decline it, you will be removed from the alternate pool and must reapply if you want a position for the next academic year.

Once you receive the letter stating you are an alternate, you must let the office of Residential Life know, in writing, that you are accepting the position.

Spring & Fall Training

It is mandatory for all applicants who are hired and who accept the position to attend training sessions throughout the year. If you are hired, the first new paraprofessional training session will be held in April.

This session will introduce you to the position and let you know more of the expectations that Residential

Life has for you. You will also need to attend a session in the spring to fill out payroll paperwork. There will be a new staff meeting with paraprofessionals from your new staff, as well.

The next training will occur in August and usually begins about two weeks before freshmen move into the halls. August training is mandatory as well, and you cannot be a paraprofessional for the 2016-2017 academic year if you do not attend. Expect to work a 40-hour week Monday to Friday during training, plus some additional time on the weekends.

Paraprofessional Selection and Housing Selection

I’m applying to be an MA, what should I do about Housing Selection?

 If you are a current resident, submit your application and license online by the deadline.

 You should participate in room selection as if you are not going to be hired so that you have a

 good back up plan in place.

If you are not yet living on campus, complete an online housing application as a commuter. If you are hired we will contact you about signing a housing license.

Paraprofessional decisions will go out on March 4 and your acceptance is due March 8.

If you are not hired and no longer wish to have campus housing, please contact Residential Life

 before May 1 and we will cancel your license without penalty.

MAs in apartments may select 3 apartment-eligible residents to live with them.

Other Residential Life Involvement Opportunities

If you are not hired as a paraprofessional, there are other opportunities for you to get involved with

Residential Life which will help to prepare you more for the next time you apply. These opportunities include:

CC – Each community has a CC (Community Council), which is a residential student organization that plans activities and works on improvements for the community. Contact your Community

Director if you are interested in getting involved with your community’s CC.

RSA – RSA stands for Resident Student Association. This group governs all of the CCs and helps to create activities and policies for residential students. There are opportunities to get involved on local, regional, and national levels through this organization. Desk Staffer – Every residential community, except Walker Avenue Apartments, has a desk that is staffed by students. In the residence halls, these desks are open 24 hours a day. Desk staff positions are paid hourly and desk staff must also attend mandatory training. If you are interested in applying for a desk staff position, applications are available on the Residential Life website at www.umbc.edu/reslife .

Summer Staff – Every summer, Residential Life hires a number of students as conference managers, conference staff, and maintenance assistants. These students assist with summer conferences that are housed in the residential areas and with getting the buildings ready for the next academic year. About the Position Description and Terms of Employment

The terms of the following agreements are subject to change and are updated regularly. The Position

Description and Terms of Employment are provided to give you an overview of the position but are not meant to be inclusive all of all responsibilities related to the Resident Assistant position.

MAINTENANCE ASSISTANT POSITION DESCRIPTION

2016-2017 Academic Year

The Maintenance Assistant is a part-time paraprofessional staff member in Residential Life at UMBC and reports directly to the Assistant Director for Residential Facilities - and ultimately to the Director of

Residential Life. This position is considered to be a major student leadership position in the Residential

Life system. No maintenance experience is required, but strongly encouraged.

The Maintenance Assistant is responsible for the upkeep of the physical environment in the residence facilities. By the nature of the position, the Maintenance Assistant needs to be skilled in a variety of maintenance and repair skills. Eventually, the Maintenance Assistant will need expertise in all of the following areas to perform the job: carpentry, plumbing, electricity, locksmithing, upholstery, carpeting,

HVAC operation, and general mechanical skills. Workshops will be arranged with various personnel to acquaint the Maintenance Assistant with the equipment and techniques necessary to do the job.

Specific responsibilities of the position include: 1) completing minor repairs in student rooms/apartments, hallways, stairways, and all public areas during regularly scheduled hours each week;

2) assisting with the opening and closing of the residence facilities at designated periods; 3) keeping the reception desks supplied with toilet tissue; 4) periodic progress meetings with the Assistant Director for

Residential Facilities - or his/her designee(s) 6) prompt completion of administrative duties (e.g., return of completed or referred work orders); 7) signing in and out with supervisor appropriate tools and keys; 8) mature and careful use of master and other keys at all times; 9) attendance at in-service and staff meetings unless otherwise instructed; 10) assisting with environment project work; 11) assisting with administrative tasks and reports in the facilities area; and 12) any other tasks assigned by Residential Life staff which are appropriate to the position.

Personal qualities that the Maintenance Assistant should possess include: 1) being a self starter - one who does not need to be prodded to do a job; 2) ability to be assertive; 3) working effectively in a semiautonomous capacity; 4) gaining satisfaction from seeing a job completed properly; 5) receiving enjoyment from the personal efforts taken to make the halls and apartments look good; 6) being a good team member; and 6) receiving enjoyment from serving the residents.

I. ADMINISTRATION

A. The Maintenance Assistant is responsible for assisting with facility operations for an average of

20 hours per week.

1.

During Fall and Spring semesters, report to regularly scheduled work hours each week (minimum

10 hours) between the hours of 8:30 a.m. and 5:00 p.m. Monday - Friday in blocks of two hours or more. During Winter break, report to work for 5 hours per week or a total of 15 hours throughout the entire winter break period.

2.

Provide emergency maintenance duty coverage every day throughout the semester via an established duty schedule. 5PM - 7:30AM Sun-Thurs; 5PM - 5PM Fri-Sat.

3.

Assist in opening and closing functions.

4.

Work with any other staff member who may desire cooperation in solving residence hall/apartment maintenance problems.

5.

Assist in the identification of non-residents who make unauthorized use of residence facilities.

6.

Properly use master and other keys at all times. The exit or master key is not to be used by any unauthorized personnel. The master key should be signed out and returned as soon as work is complete.

7.

Submit all reports, surveys, and other assignments as requested.

8.

Assist the facility staff in submitting repair and maintenance reports to the campus maintenance reporting system and/or the Assistant Director for Residential Facilities.

9.

Attend staff meetings.

10.

Assist with inclement weather and weather emergencies including shoveling snow, salting icy patches, etc.

11.

Fulfill other administrative requests as assigned by the Community Director, Coordinators,

Assistant Directors, Director of Residential Life, or other Residential Life Central Staff.

II. COMMUNITY BUILDING FUNCTIONS

A. Participate in and encourage those programs which facilitate community development.

1.

Complete equal number of duty nights.

2.

Support building staff in assisting with system-wide programs such as Welcome Week, etc.

3.

Review the general problems and responsibilities of group living with residents as they relate to the facilities.

4.

Develop and maintain an ongoing working relationship with RAs and Desk Staff.

5.

Assist in developing building programs which emphasize a concern for the building facilities.

6.

Assist the various Residential Life full-time staff in developing ongoing residence hall/apartment beautification projects and other proactive programs beneficial to community development.

7.

Approach students of all racial/ethnic, religious, physical ability level, gender, age, and sexual orientation differences with an attitude of respect, fairness, and equity.

B. Encourage and maintain a community atmosphere where the rights and responsibilities of residents are held in high regard.

1.

Help students develop an atmosphere conducive to study, rest, and harmonious group living

2.

Encourage and assist residents in adhering to University and residence facilities rules and regulations. The MA is responsible, along with residents, for enforcing University and

Residential Life rules and regulations.

3.

Interpret, explain, and help resolve conflicts related to environmental concerns.

4.

Understand and use channels for adjudication of Residential Life and University rule violations

(e.g., Student Conduct Review system, Community Director conferences, etc.).

III. PROGRAMMING

A.

Work with other staff members who may desire assistance in working on programs.

IV. STAFF DEVELOPMENT AND TRAINING

A. Assist in the selection of staff members.

1.

Participate in the preliminary screening of applicants for student, graduate, and full-time positions through various selection/screening committees as requested.

2.

Make recommendations for selection of staff members as requested.

B. Participate in the total staff evaluation and training program.

1.

Attend the staff training workshops in August and January and all staff development training programs held by the Assistant Director of Residential Facilities throughout the year.

2.

Participate in formal evaluation of job performance at least once each semester through the staff evaluation process and in informal evaluation on a periodic basis.

3.

Make suggestions to the Assistant Director regarding possible staff development training programs to assist staff in developing more effective job skills.

4.

Attend Returning/New Staff Team Day.

5.

Work closely with other staff members to avoid and resolve conflict that may arise.

6.

Participate in Departmental Opening and End-of-the-Year Banquets.

TERMS OF EMPLOYMENT

AGREEMENT REQUIREMENTS

The Maintenance Assistant agreement normally extends from August to May and includes the

January period, the repair blitz at the end of the Spring semester of employment, as well as the blitz

training period at the end of the Spring semester preceding Fall of employment. Winter Session is

INCLUSIVE in this contract period for the Maintenance Assistants. Mandatory - Maintenance

Assistants must return to work one week prior to other paraprofessional staff in the Fall for additional training and work experience. Residential Life will compensate for additional hours.

Maintenance Assistants must live in a nine month facility as other halls are closed during break periods when MAs may be asked to perform duty.

MAs are required to cover nightly and weekend emergency duty during University vacation periods when classes are not in session (Spring Break and Thanksgiving) and during Winter Session from hall closing in December until Spring opening, including Christmas and New Year’s. MAs are

also expected to perform daily routine maintenance during Winter Session and may work hourly during Spring Break if they wish. Schedules will be developed before vacation periods (see the

Paraprofessional Staff Manual for more detail).

If the semester is extended due to inclement weather or any other reason, the Maintenance

Assistant will fulfill his/her responsibilities until the official close of the semester.

REMUNERATION

Maintenance Assistant remuneration during the agreement is room and board (10 meal plan).

Room provisions cover Fall, Winter, and Spring semesters. Board provisions cover Fall and Spring when the University is officially in session. MAs will receive $75.00 flex money over Winter break period. When the MA is on duty during vacation periods and weekends in January and meals are not provided by the University, he/she will receive a $14.00/day or $7.00/half day meal stipend instead of meals.

Meals are provided for Maintenance Assistants during the Fall and Spring staff training workshops and during the closing period.

A $275.00 stipend for books and meal plan adjustment will be awarded at the end of each semester for their first two semesters of full employment. A staff member's book stipend will be increased to $350.00 per semester once he/she has completed two semesters of employment.

Remuneration for the end of Spring semester repair blitz will be room, meals, and $7.25/hour for hours worked.

MAs will have their share of their utility bill each month paid by Residential Life.

ACADEMIC COURSE WORK

The Maintenance Assistant is limited to completion of not less than 9 nor more than 19 credit hours per semester at UMBC (Fall and Spring Semesters) while a staff member. MAs cannot be enrolled at other campuses including UMB.

2. The Maintenance Assistant must have a minimum 2.50 cumulative GPA to apply for the position. To start the position, he/she must have a 2.25 semester and 2.50 cumulative average.

To continue in the position, the MA must maintain a 2.25 semester and 2.50 cumulative GPA.

If the cumulative average falls below 2.50, termination will be automatic. If the semester average falls below 2.25, the MA will be placed on Residential Life academic probation. A second semester GPA below 2.25 will usually result in termination. Should the semester average fall significantly below 2.25, the MA may be removed from the position immediately.

As a Maintenance Assistant and student, each MA must put those personal limits on his or her time that facilitate acceptable performance.

The Maintenance Assistant's primary employment responsibility is to the MA position. Limited secondary employment, not to exceed 10 hours per week, must be requested in writing and approved in advance by the Assistant Director for Residential Facilities. This also applies to involvement in athletics, student teaching, co-op, and officer positions within student organizations.

During their first semester of employment, new Maintenance Assistants may not pledge a fraternity or sorority.

ON-GOING STAFF DEVELOPMENT

Each Maintenance Assistant is expected to attend a one-day workshop in the Spring. All staff must attend Fall workshop two weeks prior to Fall semester opening and a Spring workshop prior to

Spring semester opening. Each Maintenance Assistant is expected to attend in-service training and all-staff meetings as directed.

Each Maintenance Assistant is expected to attend any special/emergency meetings which may be called by Residential Life.

Each Maintenance Assistant must attend periodic staff development sessions held during the academic year.

Each Maintenance Assistant is expected to attend at least one formal evaluation session per semester with the Assistant Director for Residential Facilities or designee. In addition, the

Maintenance Assistant should meet with the Assistant Director for the purpose of joint and ongoing feedback.

F. RESPONSIBILITY FOR TOOLS AND KEYS

The MA is provided with appropriate tools and keys. The MA will sign out tools and keys at the beginning of the contract period on tool and key inventory cards. At termination, an assessment of tools and keys will be made. Responsibility for these tools and keys rest with the MA. Missing tools and/or keys will be assessed to the MA.

details concerning duty can be found in the Paraprofessional Staff Manual. Additional duty hours may be assigned by Residential Life in an emergency situation.

Each Maintenance Assistant is encouraged to take time off to get away from campus.

The Maintenance Assistant will be available in the residence facilities prior to opening and after closing to assist the Community Director. In addition, the MA will be available during the first and last week of each semester to assist students with the check-in and check-out process.

The Maintenance Assistant is expected to maintain regularly scheduled hours unless the MA arranges coverage by another Maintenance Assistant AND is approved by the Assistant Director of

Facilities to be absent from regular work hours.

All paraprofessionals are classified as “Essential Staff” and as such, your presence is required regardless of the existence of an emergency condition – such as a power outage or weather-related emergency – and whose absence from duty could endanger the safety and well-being of the residential community.

The Maintenance Assistant is expected to abide by all laws, local, state and federal, and to abide by the rules and regulations of the UMBC and Residential Life.

BUILDING AND APARTMENT ASSIGNMENT

The Maintenance Assistant may choose their residence from a number of pre-selected single rooms and apartments. Assignments may be changed depending on Residential Life needs.

CONSEQUENCES FOR JOB PERFORMANCE CONCERNS

Letter of Reprimand or Employment Probation

The Maintenance Assistant may receive a letter of reprimand or be placed on employment probation by the Assistant Director for Residential Facilities for unsatisfactory performance. If a Maintenance Assistant is on probation and concerns with his/her job performance continue, the Maintenance Assistant's employment will be terminated.

Termination Prior to Beginning Employment

Prior to the time employment begins, if, in the opinion of Residential Life staff, the MA fails to maintain the minimum academic requirements or fails to adhere to a standard of behavior consistent with the MA position, the staff offer may be withdrawn.

Reasons for Termination During the Academic Year

Termination from the MA position can result from breach of the MA agreement, breach of university or Residential Life rules and regulations, and/or from unsatisfactory performance.

For example, an MA may perform extremely well and violate the terms of the MA agreement regarding grades or building regulations; or the MA may abide by the agreement but not have the skills and/or motivation necessary to succeed in the position. Termination for violation of the MA agreement may be automatic. Termination for unsatisfactory performance will generally only be considered after the staff member's direct supervisor has made efforts to point out those areas which need improvement and help the MA improve his/her skills and performance through personal support, guidance and regular evaluation.

Termination at the End of the Academic Year

The MA position is for one academic year. Staff must, therefore, go through a reapplication process to be considered for rehiring. All hiring decisions are contingent upon the approval of the MA's direct supervisor, the Assistant Director for Residential Facilities, and the Director of

Residential Life.

Procedures for Termination

In all cases, the decision to terminate will rest with the Associate Director for Residential Life.

The specific reason(s) for termination will be provided in writing to the Maintenance Assistant.

The MA will also be given an opportunity to be heard regarding any concerns or questions he/she has regarding the termination decision. An appeal following dismissal may be submitted to the Director of Residential Life within two (2) working days of receipt of written notice of termination. In all cases, where termination is being considered during the year, consultation among the MA, the Assistant Director of Facilities, and the Associate Director for Facilities takes place prior to termination. Termination at the end of the agreement period will not require such a process since the MA agreement expires at the end of that period (see above).

Dismissal from University

A Maintenance Assistant is immediately terminated from his/her position upon withdrawal or dismissal from the university.
