Office Coordinator III- Cardiovascular Research, Cardiovascular Critical Care Medicine, The
Utah Artificial Heart Program. Salary: $15.75/ hour
This position requires exceptional organizational skills and should be able to act with minimal
direction from management and directors.
 Correspondence and personal interactions require the position to function as a facilitator,
and/or liaison.























Responsible for organizing, planning, and administering and overseeing all office
administrative activities for the Cardiovascular Research Department, and Mechanical
Circulatory Support Department.
Assists the manager of the Mechanical Circulatory Support Department, Surgical
Directors of the Utah Artificial Heart Program, the Cardiovascular Critical Care Medicine
Physicians, and the manager of the Cardiovascular Research Department in achieving the
goals of state of the art and cost effective patient care; high quality medical education,
and improved patients outcomes through research and quality assurance activities.
Coordinate and assist in the planning of each departments meetings.
Office support functions for 3 CV Critical Care Physicians, 3 Department Managers, 6
Nurse Coordinators, 4 Engineering Associates, 16 Research Coordinators, 2 Regulatory
Specialists, 1 Marketing Coordinator, 1 Equipment Specialist, and 1 File Clerk; including
scheduling appointments, preparation for appointments and meetings and general
correspondence.
Coordinate travel arrangements for department’s members. Maintain and process material
for professional societies and department members’ professional expenditures. Prepare
reimbursements for staff upon return as needed.
Orders needed office supplies/resources to ensure smooth functioning of departments.
Position requires knowledge of all department policies, procedures, functions, reports,
applicable statistics, and special projects as well as an understanding of hospital and
corporate policies.

Division Organization Activities
Creates and maintains multiple schedules that are the basis for the patient care, research
study compliance, and educational activities for the departments. Requires
communication and coordination with multiple physicians, managers, coordinators, and

Responsible for CVR Department payroll including payroll monitoring and reporting,
including human resources activity for department.
Maintains accurate records and generates reports.

Responsible for overseeing MCS and CVR department finance tracking including
inpatient charges for daily billing, monthly accrual tracking, and expense tracking for the

Manage patient housing for Utah Artificial Heart patients; including reservations, account
management and billing.
Prepares and submits invoices, purchase requisitions, check requests, and petty cash
requests to department managers for approval.
Educational Activities
Assists in the educational design of educational programs for the departments.
Oversees and coordinates educational conferences for the departments including
negotiating with meeting facility, participant registration, speaker notifications and
arrangements, working directly with CME department, and preparation of
