Have your latest fund reconciliation available as well as the list of uncashed checks.

Input your Fund Balance

Double click on “Revolving Fund”

Date: Date of account opening (or today’s date)

Description: Initial funding

Click on the Box under “Transfer” A grey drop down box will appear. Click on that and choose “Assets:

Checking account”

In the “Increase” box put your funded balance. This records the initial funding of the revolving fund into the checking account.

Click “Close” the grey X, next to the “Save” Icon

You should see the Fund balance recorded on your accounts tab.

Recording Checks

This might get a little confusing as you switch from the old system to the new. We need three different lists of checks:

Checks which have been reimbursed, and not cleared the bank

Checks which have not been reimbursed, and not cleared the bank

Checks which have not been reimbursed, and cleared the bank

The forth group, checks which have been reimbursed and cleared the bank will not be added to this system. This information can be archived via the department’s old account method.

Doublclick on “Checking Account”

Fill out the date, check number, description. Click on the grey box in “Transfer” and pick

“Expense”. Put the amount under “Withdrawal”

This records the check. Now we need to record the reimbursement of that check.

Fill out the date, check number, Description. Click on the grey box in “Transfer” and pick

“Income”. Put the amount under “Deposit”

Go to Reports > Income & Expense > Income Statement

Your net income should equal zero.

Checks which have not been reimbursed

We will now enter all of the checks which have *not* been reimbursed. We will then reconcile the bank account and record which ones have cleared the bank.

Double click on “Checking Account”

Fill out the date, check number, description. Click on the grey box in “Transfer” and pick

“Expense”. Put the amount under “Withdrawal”

Record all of the checks which you have not been reimbursed for.

Go to Reports > Income & Expense > Income Statement

Your net income should equal checks that you’ve written, but not been reimbursed for. On the fund reconciliation, this should total section 1 “Total revolving fund vouchers attached” and

“Deposits/Reimbursement requests in Transit” in section 2

Reconciling the bank balance

Go to Actions> Reconcile …

Input the statement date

Your starting balance will be $0.00

The ending balance will equal your ending bank balance

Click “Ok”

To mark an item as cleared, click on it. A small box will appear. A green mark means “cleared”.

And empty one means “not cleared”

You can see these marks on the reimbursement in the left window, and on “John Doe” in the right one.

Click all cleared items from the “Not reimbursed but cleared” list of checks. Also, check all deposits which have cleared. The difference (lower right) should equal $0.00.

Click the green “Finish” Button.
