The following document provides an outline for an in-school event to celebrate the state winner of XX.
Overview
Now that all participating schools have reported their total amount of collected recyclables, Keep America
Beautiful is ready to announce the STATE winner of its first Recycle-Bowl Competition. The winning school will be
crowned at a “pep-rally” style in-school event.



Suggested Attendees/Invitees
Below is a list of suggested attendees/invitees. Consideration should be given to attendees that will also create a
media draw that will help secure media attendance and coverage of the events.

A draft invitee and media spreadsheet can be found in the award ceremony toolkit. It will help you figure out what
to track for each invitee.
Event Components & Tactics
There are a number of logistical considerations in preparing for an event. The below are recommended
components and tactics that will help ensure a successful event. It is broken out by organizations:
KAB will:
 Draft/distribute press releases
 Draft award ceremony remarks/script
 Confirm invitee list and send invites
 Confirm an emcee
 Confirm any entertainment (i.e. musician or recycling magician)
 Create and make copies of a media toolkit to include press release and/or Recycle-Bowl fact-sheet
 Supply media release forms for students/faculty to sign prior to event
 Provide plaque and/or oversized check
 Provide KAB banners as backdrop
 Bring local recycling mascots to award ceremony
 Provide giveaways to the school children
 Take photographs during the event
Help from school includes:
 Coordinate with Principal to find the best possible date
 Coordinate with Principal to reserve school facility
 Coordinate with Principal, teachers and “Green Team” to make sure all are invited and represented
 Provide KAB with pictures of the school’s recycling program and/or a video to play at the award ceremony
 Make sure recycling bins are visible during the award ceremony
 Ask the Emcee their preferences for stage/riser vs. podium
 Pending Emcee’s preferences, provide a stage or riser and/or podium for the speakers
 Provide a microphone and speakers for the emcee and presenters
 Test the AV equipment 1 day before the event, and then 2 hours before the event in case the AV team
needs to make any adjustments
 Make sure a photo release form is signed by all staff, teachers and students that will be on stage during
the award ceremony
 Temporarily store material needed for award ceremony (i.e. large check, plaque, banners, etc.)
 Receive shipment of water from Nestle Pure Life, if approved.
 Entertainment -Request on-site needs from talent (if any)
Event Flow

Note: the following is a tentative run of show; times are likely to change slightly based on length of remarks, arrival
of attendees, etc.
Make sure invitees know to come a little early so they have time to check into the school.













8:00 a.m. – Planning team arrives at school; set-up begins.
9:10 a.m. – Media call time; interviews conducted as necessary.
9:30 a.m. – Speakers arrive and rehearse event flow.
9:45 a.m. - Students file in.
10:00 a.m. – Event scheduled to begin; emcee convenes event, explains reason for gathering and
introduces KAB representative.
10:05 a.m. – KAB representative takes the stage. KAB welcomes everyone, explains background of the
organization and its mission as well as details on the Recycle-Bowl. He/she congratulates the state
champion, thanks them for their participation, and invites the next speaker to the podium.
10:10 a.m. – Nestlé Pure Lide representative thanks KAB and also congratulates the winning school.
He/she goes on to explain NWNA’s involvement in the program and its ongoing commitment to recycling
efforts nationwide. Invites the next speaker to the podium.
10:15 a.m. – Mayor (or another VIP) takes the stage, congratulates the school, and thanks KAB and Nestle
for finding a way to make recycling fun for local students.
10:20 a.m. – All VIPs come up on stage and are introduced.
10:25 a.m. - School principal takes the stage, thanks KAB and Nestle, and expresses his/her excitement
about being crowned national champion/statewide winner. He/she goes on to thank students and faculty
for their passion and efforts and invites them onto the stage.
10:30 a.m. – Winning class, teacher and custodian join group on stage. KAB representative presents the
school principal with a plaque and/or oversized check. The group shakes hands and poses for a few
photos.
10:40 a.m. – Entertainment performs
10:55 a.m. – Event concludes; media interviews conducted as necessary. Students file out.
Media Strategy/Timeline
