UNIVERSITI PUTRA MALAYSIA GRADUATION INFORMATION GUIDE ---------------------------------------------------------------1. Date of Convocation Ceremony 1.1 The 36th UPM Convocation Ceremony will be held at the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, Universiti Putra Malaysia on: Date: 13th – 15th October 2012 Days: Saturday, Sunday and Monday (6 sessions) For the latest information on the Convocation Ceremony including arrangement of graduands according to sessions and programmes (refer to Attachment 1), please refer to our website http://www.akademik.upm.edu.my. 2. 3. Attendance 2.1 As specified in UPM Convocation Event, Degrees and Diplomas will normally be conferred only to graduands who attend the convocation. The Senate, however, in extremely rare cases, may allow a Degree or Diploma to be conferred in absentia. 2.2 Graduands must obey the attendance instructions that have been prescribed according to each session of the convocation. 2.3 Graduands are not allowed to defer the Convocation Ceremony or nominate others to attend the Convocation Ceremony on their behalf. Fees 3.1 Graduands, whether or not they are attending the Convocation Ceremony, are required to pay the graduation fees as follows: Diploma of Education @ graduands : RM100.00 Bachelor Degree Graduands : RM100.00 Diploma Graduands : RM 75.00 3.2 UPM/PJJ/EKSEKUTIF graduands who are attending the Convocation Ceremony Second Sitting are advised to pay the graduation fee (not later than 12th October 2012) by any one of the following methods: (a) by using the CIMB Bank BANK SLIP that is attached with this letter. Please make your payment to “BENDAHARI, UNIVERSITI PUTRA MALAYSIA”; OR (b) by using CIMBClicks, the online personal internet banking facility provided by CIMB Bank. (For further information please visit the following websites: http://www.cimbclicks.com.my); OR (c) by using MasterCard, Visa or American Express credit cards. Payments by credit card can be done either by:- 1 (i) filling in the Direct Debit Authorisation Form and faxing it to 03-89472048. The form can be downloaded from http://www.bursar.upm.edu.my/ or http://www.bursar.upm.edu.my/skp/directdebit.pdf; OR (ii) visiting the Bursar III Customer Service Counter, Ground Floor, Administration Building, UPM. If you are sending a representative to make the payment please ensure that the representative has your student identity card number (nombor matrik) for the benefit of our counter staff. (NOTE: The minimum amount for credit card payment at the counter is RM100.00). 3.3 For graduands who are not attending the Convocation Ceremony, they can make the payment anytime during office hours at the Bursar III Customer Service Counter, Ground Floor, Administration Building, UPM. Scrolls/Transcripts for graduands will only be released after the convocation and after all the necessary fees including the graduation fee and other debts (if any) are paid. 3.4 For graduands who are paying using:(a) BANK SLIP, the graduand/representative will need to bring a copy of the bank slip as proof of payment (Bendahari UPM copy) when collecting your academic regalia. (NOTE: DO NOT POST THE BANK SLIP TO UPM); OR (b) To use CIMBClicks services, graduates or their representatives should bring along a copy of the cash transactions with the reference number. (The 8 digit that has been credited to Universiti Putra Malaysia’s account (Serdang Campus). 3.5 4. Graduands/ representatives who do not bring any of the above proof of transaction may only be allowed to collect the academic regalia a day after the payment using CIMBClicks is made (for verification purposes). Academic Regalia: Loan and Return 4.1 The fee has to be paid prior by the graduates before borrowing the graduation robe. A proof of payment receipt must be provided before borrowing the robe. 4.2 Graduands conferred with Bachelor degrees during the Convocation Ceremony will be attired in a maroon robe, a hood (coloured according to official faculty colours), and a mortar board. Diploma graduands will be attired in a grey robe with a mortar board. All of the above will be loaned by the university. 4.3 Graduands are to ensure that: (a) the academic regalia received is in good condition; and (b) the correct regalia is received i.e. post-graduate, Bachelor or Diploma. 4.4 Graduands are not allowed to alter or amend any part of the academic regalia received. 4.5 The collection of the academic regalia may be done at the Central Academic Complex (Kompleks Akademik Pusat), UPM according to the schedule below:From 06th until 11th October 2012 2 Date 06 – 11 October 2012 (Saturday) Time 8.30 am – 4.30 pm All sessions 07 October 2012 (Sunday) 08 October 2012 (Monday) 09 October 2012 (Tuesday) 4.6 8.30 am – 12.30 am 2.15 pm – 4.30 pm 12.30 am – 2.15 pm 10 October 2012 (Wednesday) 2.15 pm – 4.30 pm The counter will be temporarily closed in the morning for the Briefing and Rehearsal Ceremony (for graduands 1, 2 and 3 Session) 11 October 2012 (Thursday) 2.15 pm to 4.30 pm The counter will be temporarily closed in the morning for the Briefing and Rehearsal Ceremony (for graduands 4, 5 and 6 Session) All academic regalia borrowed must be returned on or before 20th October 2012 at the Central Academic Complex (Kompleks Akademik Pusat) before 4.15 p.m. (Please refer to the times and dates for the returning of the academic regalia stated in the album or scroll presented during the Convocation Ceremony) The University will charge a late fee penalty for any late returns starting 22nd October 2012 (RM10.00 for the first day after the last date for returning the items and RM5.00 for each additional day). The penalty fee can be paid at the Customer Service Counter (Bendahari III) located at the ground floor of the Administrative Building, UPM, and the receipt must be presented upon returning the academic regalia. 4.7 Graduates are also required to complete the 2012 Tracer Study ‘On-line’ from 17th September 2012 (Monday) through the study as follows: (a) Graduates Tracer Study (Ministry of Higher Education) (Website: http://graduat.mohe.gov.my) 4.8 *Please print the confirmation slip on the last page survey form for verification by the Career Placement Center Counter and bring the slip when you collect your academic robe. Failure to complete the survey, will cause inconvenience to both parties at the counter. The University will not be responsible for any lost or damaged items. 3 4.9 In the event of lost or damaged items, a charge will be incurred and no academic scroll or transcript would be released until after all payments have been made. Mortar Board RM50.00 RM50.00 RM50.00 - Bonnet RM70.00 Recommended Attire for The Convocation Ceremony 5.1 Bachelor and Diploma graduands attending the ceremony are to be suitably attired. The suggested attire are as follows (refer to Diagram 1) :Ladies - Men 5.2 6. Hood RM35.00 RM35.00 RM35.00 long dresses which cover until the ankles/maxi skirts, long sleeved shirts/blouses/suit and wearing the academic regalia. Colour (no restrictions) For those wearing the hijab, it should be light in colour so that it matches the faculty colours incorporated in the hood (Bachelor programme). Shoes must be dark coloured and covered at the front and back. Sport shoes/Slippers/Open back shoes/Shoes with bright or white in colour are NOT ALLOWED. Short skirts are NOT ALLOWED. Th a attire of Pantsuits is allowed. Face-covering attire or the ‘niqab’ is prohibited. Long sleeve with collar, necktie and coat, dark trousers or dark lounge suit, dark shoes with stocking and wearing the academic regalia. Jeans and shorts are NOT ALLOWED. Sport shoes/Slippers/Shoes with bright or white in colour are NOT ALLOWED. Hair styles should be short and neat. The Convocation Ceremony is an official event. Graduands are reminded to abide to the dress code as stated above. Graduands not adhering to the dress code will NOT BE ALLOWED to enter in or join in the convocation parade or go up on stage for the Bachelor and Diploma Degree presentation ceremony. Invitation Cards 6.1 Invitation cards and other instructions will only be disseminated when graduands or their representatives arrive to pick up the academic regalia. 6.2 The University is not responsible for lost invitation cards and they will not be replaced. 6.3 Each graduand is given one (1) invitation cards for two guests to the attend the Convocation Ceremony at the Sultan Salahudin Abdul Aziz Shah Cultural and Arts Centre Hall (PKKSSAAS). 4 7. Briefing and Rehearsals 7.1 A Convocation Briefing and Rehearsals Ceremony will be held at the Sultan Salahuddin Abdul Aziz Shah Cultural as information below: 7.1.1 10th October 2012 (Wednesday) at 9.00 a.m for graduands 1st, 2nd and 3rd Sessions (refer to Attachment 1); 8. 7.1.2 10th October 2012 (Wednesday) at 2.00 pm for International graduands 1st, 2nd, 3rd, 4th, 5th, and 6th Sessions (refer to Attachment 1); 7.1.3 11th October 2012 (Thursday) at 9.00 a.m for graduands 4th, 5th and 6th Sessions (refer to Attachment 1) 7.2 All graduands are required to attend this session to familiarise themselves with the events that have been planned for the actual Convocation Ceremony. 7.3 Failure to attend the briefing and rehearsal session may result in the University barring graduands from attending the 36th UPM Convocation Ceremony. Parade of Graduands on Convocation Day Parents and graduates who are involved in the Convocation Ceremony are reminded to park their vehicles at the parking area designated by the Security Division of UPM (refer Attachment 2). 8.1 Morning Session All graduands for the morning session are advised to convene at the car park of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 7.30 a.m. The parade will commence at 8.00 a.m. 8.2 Afternoon Session All graduands for the afternoon session are advised to convene at the car park of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 1.45 p.m. The parade will commence at 2.10 p.m. For Zohor prayer, Muslim graduands may choose to perform their prayer at several places such as the Administration Building, the left or the right alcoves of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre itself or the UPM Mosque. 8.3 Graduands are reminded to congregate at the stipulated time and place. In order to avoid traffic congestion into the campus, graduands are encouraged to obey the instructions from the officers on duty that day. 8.4 Graduands are reminded not to bring their bags or other personal and valuable possessions during the graduation ceremony. This is to avoid missing personal items and other mishaps during the actual commemoration. 8.5 Graduands who are late will not be allowed in and be a part of the Convocation Ceremony. 5 8.6 Parents and guests are advised to have breakfast or lunch before entering the hall to ensure their health and wellbeing are taken care of during the proceedings of the Convocation Ceremony. 8.7 Parents and guests are prohibited from bringing bouquets of flowers or souvenirs into the hall as they maydisrupt the seating arrangement of other guests. 8.8 Graudands with special needs (pregnant, disabled or injured) requiring equipment such as a wheel chair or an assistant need to inform the University during the rehearsal or call 0389466026/0389466250. 8.9 During the ceremony, graduands are required to follow all the rules and instructions from the officers in charge. 8.10 Graduands and/or guests are not allowed to leave the hall until the ceremony is over. 9. Rules for Graduands’ Guests when Entering the Hall 9.1 10. Attire – Men : National Dress / Lounge Suit / Batik / respectful. : Songkok for 1st Session and 3rd Session. – Ladies : National Dress / respectful. 9.2 Graduands’ guests may enter the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre hall through the doors that have been identified by the officers on duty. 9.3 Children under 12, cameras, video recorders and handphones are not allowed to be brought into the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre hall during the Convocation Ceremony. 9.4 Please follow the instructions on movement upon entering and leaving the PKKSSAAS hall as well as whilst in PKKSSAAS hall to avoid congestion and ease the flow of movement at the hall (refer Appendix 3). Conferral Arrangement 10.1 The designation of rows and arrangement for seating for graduands during the ceremony will be decided by the Committee/Secretariat/Officers in charge. 10.2 Graduands will receive their albums/scrolls individually on the stage from the Chancellor or the Pro Chancellor or the Vice Chancellor. 11. Collection of Scroll/Transcript for Bachelor’s Degree and Diploma 11.1 Graduands may collect their Bachelor Degree and Diploma scrolls/transcripts as soon as the convocation session is over. However, this depends on the followings:(a) Graduands must be able to produce the receipt for the payment of graduation fee as a proof that the fee has been paid; 6 (b) Graduands need to return the academic regalia to the University as the application form for scroll/transcript will only be distributed to those who have returned their academic regalia. (c) For UPM Serdang graduands, their scrolls/transcripts may be collected from the Central Academic Complex, UPM on the dates that have been decided earlier. Please refer to the information in the album and scroll after the conferral of the Bachelor Degree and Diploma ceremony. (d) For graduands of PJJ/EKSEKUTIF programmes, their scrolls/transcripts may be collected from the UPM Education & Training Sdn. Bhd./Executive Programme Unit of their respective faculty. (e) Graduands who still owe the UPM/PPL/ Executive Programme Unit will need to clear their debt before they can receive their scrolls/transcripts. Please attach the receipt/confirmation letter from the necessary establishment that states that the debt has been paid in full. (f) In the case of a graduand facing problems in collecting the scroll/transcript in person, the graduand may send his /her representative to collect it on his/her behalf. An authorisation letter will need to be written and signed by the graduand and addressed to Registrar, Academic Division, UPM stating the name and the identity card number of the representative. The above requirements (a to f) still need to be fulfilled before the Bachelor Degree and Diploma scroll/transcript is given to the representative. For graduands of EXECUTIVE programmes, an authorisation letter stating the name and the identity card number of the representative and addressed to The Director of the Executive Programme Unit of their respective Faculty will need to prepared. (g) The University is not responsible for lost or damaged scrolls/transcripts after they have been collected.
