Dispute Resolution/Incident Report Procedure Unfortunately, in all youth sports, problems will arise from time to time. While it is the League’s goal that all disputes/incidents will be handled in a courteous manner at the coach/parent/player level, from time to time Board assistance is necessary. The policies below outline the League’s procedure for resolving these issues. PROCEDURE Purpose: To provide a means by which conflicts or issues may be considered, discussed and resolved at the closest possible level to the point of origin. Any dispute concerning the conduct of individuals or violations of the rules governing Mission Viejo Girls Softball as outlined in our league policies or general rules is the intended use for utilizing these procedures. Procedure: If informal efforts amongst coaches, parents, and players have not been successful in resolving the issue, you may utilize the following procedure. First level of appeal: If the issue has not been resolved to your satisfaction, you may bring it to the attention of your Program Director. The Program Director should be contacted by email or phone. If necessary, the Program Director may require you to complete an Incident Report Form to provide a written record of the issue. The Program Director will attempt to the resolve the issue. Second level of appeal: If the Program Director does not resolve the issue to your satisfaction, you may bring the issue to the attention of the League Vice President for review. The League Vice President should be contacted by email or phone. If necessary, the League Vice President may require you to complete an Incident Report Form to provide a written record of the issue. The League Vice President shall attempt to resolve the issue. Board of Directors Review: If satisfaction has still not been met, the issue shall be forwarded to the President of the Board of Directors for review. If the issue is of a time sensitive nature, as determined by the President, the President shall call for a special meeting of at least five voting members of the Board of Directors at the earliest practicable date (i.e., Saturday/weeknight during the season at the fields). If not of a time sensitive nature, the President will address the issue at the next scheduled Board meeting. The issue will be presented to the Board of Directors for a final resolution. This resolution shall be communicated to the parties involved within one week of the meeting.
