You will need 3’ of table space for each student. Determine the application you will be using. This application will need to be installed on each student’s Ruby terminal. Rubies should be powered up with all cables, connectors, connected. The physical keys on the Rubies should be arranged based on the keyboard set up diagram found in the Instructor Preparation materials. The physical keyboard and the VASC template work in conjunction with the following exercises and discussion items. Published: 04/2407 VeriFone Confidential Page: 4 Ruby SuperSystem™ VASC Instructor Guide Module 15: Advanced Features and Functionality Instructor Notes As part of the homework exercise students were given a card which included a file name and a scenario. Each student will explain/train the rest of the class on the file. As an Instructor you may need to step in to add a point to stress to students. Refer students to the appropriate section in the Manager’s Reference Manual. Depending on the student’s comfort and knowledge level sometimes pairing them up together may work better rather than having each student do their own file. There are 3 parts that need to be discussed for each file, the discussion should include: 1. Definition/Description of the file. 2. An example of when to use the feature/functionality. 3. How to set up. If working in pairs have one student do the first 2 parts (above) and have the other student walk the class through the actual programming. The purpose of this exercise is to ensure technicians can discuss the files intelligently. As a VASC, VeriFone relies on the VASC to teach sites how to program, configure and use the system. It is also a good exercise for the technicians to perform an exercise and research a subject on their own. This will happen out in the field. VeriFone does not expect VASC technicians to know everything about the system from memory, however VeriFone does expect VASC technicians to be able to research and find the information they need in order to discuss the options and functionality in the system intelligently. When a customer asks if the system can do a specific function, if the technician does not know the answer, they should take the time to find the answer and get back to the customer in a timely manner. When technicians say the system does not do a specific function, when in fact it does, it hurts the company, the technician, and VeriFone. We all loose. When a technician does not know or is unwilling to research to find the answer the customer will have a false impression on the VeriFone system. This may cause the customer to start looking for another system. This may be a system the company the technician works for does not support. The less systems out in the field the less technicians that are needed. Published: 04/2407 VeriFone Confidential Page: 5 Ruby SuperSystem™ VASC Instructor Guide Module 15: Advanced Features and Functionality PLU with Modifier Points to Stress: The modifier must be entered on the terminal FIRST, before the PLU number. The maximum number of modifiers for each PLU is 255. A PLU with a modifier still counts as a PLU in the system. For example, if the system has 1,000 PLUs available without a ruby card, then every PLU with modifier counts towards the 1,000 maximum. Usually used when a site is using scanners and breaking up cases of merchandise to sell as separate units. For example, the site is scanning and they sell both cigarettes by the carton and by the pack. The single packs are from the carton. If the vender has the same UPC code on the carton as on the pack the scanner will not be able to distinguish between the two. Therefore a PLU with modifier is set up. Fee/Charge Points to Stress: Convenient for the site – Cashiers do not have to remember to add an additional fee to specific merchandise when sold. The system will automatically add the fee when the criteria has been met. Up to 5 ranges are available on some software applications – dependent on the base. Site Managers may wish to separate the fees from the actual merchandise sold. If this is the case, then 2 separate departments must be set up. One for the merchandise and another one for the fee. The fee is then linked to the merchandise department. The department report will show separate totals. Fees can be linked on both the department and the PLU level. If the cashier will be ringing the item up under a department key then the appropriate fee must be linked to the correct department number. If the cashier will be ringing the item up under a PLU or scanning the item, then the appropriate fee must be linked to the PLU. PLU & Department Tracking Points to Stress: Maximum number of PLU’s that can be tracked is application specific, for most applications it is 50. Maximum number of Departments that can be tracked is application specific, for most applications it is 30. Some applications now include Category Tracking, if Category Tracking is available usually the system will track up to 10. All items tracked are recorded only on Cashier Reports, not on Shift, EOD, Monthly, etc. Published: 04/2407 VeriFone Confidential Page: 6 Ruby SuperSystem™ VASC Instructor Guide Module 15: Advanced Features and Functionality Blue Laws Points to Stress: Up to two different blue laws can be set up. Some items may have different purchasing laws. For example, sales for liquor may be different than beer and wine. Blue laws can be linked both on the Department and the PLU level. If an item is purchased using a Department sale, the system will check for blue laws on the Department level. If the item is purchased using a PLU/UPC or scanned, then the system will check for blue laws on the PLU level. PLU Promotion Points to Stress: Parameter for PLU Promotion MUST be set to YES in the PLU file. The number of Promotions that can be offered is application specific – usually the maximum number is 50. However, with a backdoor password you can go into System Configuration and change the maximum. PLU Promotions can be set up for all PLU’s, however, if the PLU is for a car wash PLU, there are three additional choices that can be chosen. If the site wishes to use a PLU Promotion for a car wash PLU you must set up the Car Wash Manager files first. Then set up the car wash PLU Promotion. The three different types of car wash PLU Promotions is considered a “Discount Type”. The discount type is selected by using a code. The codes for the three different types of promotions can be found in the Managers Reference Manual in the Manager section under the PLU Promotion information. 1 = Minimum quantity of fuel (gallon or volume), 2 = Minimum dollar amount AND specific fuel product. The code for the fuel product can be found by going into Fuel Manager, Product ID Setup. Each product in the file has a system code. Use the ID in this file to identify to the system the specific fuel product you wish to use for the promotion. A common error is entering the Product Code for the network. Product Codes are not the same as the Product ID found in Fuel Manager. 3 = Minimum dollar amount. This can be ANY item(s) or products – not necessarily fuel. For example, if the PLU Promotion is the customer purchases $50 or more and receives $5 off the Super Wash, then if the customer comes into the store and purchases $75 in the Deli Department, plus purchases the Super Wash, the customer will receive $5 off the wash. Combos Points to Stress: Up to 50 combo’s can be set up. Each combo can have up to 5 PLUs. After a combo is configured a softkey MUST be assigned to the combo. This is the only way the system can identify the special pricing. If items are rung up separately in the system the discount will not be given to the customer. There is a Deal report available. In most cases the Site Manager will probably wish to see the Deal report in order to track the combos being sold. Published: 04/2407 VeriFone Confidential Page: 7 Ruby SuperSystem™ VASC Instructor Guide Module 15: Advanced Features and Functionality Mix & Match The Mix File and the Match File may look different depending on the software application being used. The higher the base the more functionality these files will have. In most cases these two files should be discussed by the Instructor and not the student. If you have a student in class looking for a challenge, is attending school for re-certification, or a “quick learner” the student may find this research rewarding and will be able to handle this exercise. As an Instructor the main goal with the Mix and Match Files is for the technician to be aware of the basic functionality and features for Mix and Match. In most cases, the Site Manager will ask the technician if there is a way to configure the system for a specific discount. Two common discounts which may be asked are: 1. Cigarette Buy Downs 2. Vendor specials If the site is scanning, the above types of discounts can be difficult for Site Managers. Ideally they are looking for a solution so when the Cashier is ringing up the items the system will be able to automatically identify when an item qualifies for a discount and automatically gives the discount. This takes the guess-work out of the equation for the Cashier and the Site Manager is guaranteed the discount will always be applied. Mix File A group of PLUs that qualify for a discount. Points to Stress: The maximum number of PLUs per Mix is application specific – sometimes this is 20, sometimes it will be 50. The technician should refer to the Managers Reference Manual in the Manager section under the Mix file. The maximum number of Mixes is application specific – usually it is 20. The technician should refer to the Managers Reference Manual. Depending on the base some applications allow more than one Mix to be linked together. For example, if the site has 75 PLUs that qualify for a discount, they may be able to set up 50 PLUs in one Mix File and the other 25 PLUs in a second Mix File and then link the two Mixes together forming one Mix. Some applications have a Department Mix AND a PLU Mix. Department Mixes would mean that ALL PLU’s linked to that Department would qualify for a discount. A good example is some cigarette discounts. Some sites will have a department for Brand Cigarettes and other department for Generic Cigarettes. When the cigarette vendor does a buy down for all Branded Cigarettes if becomes easy to set up a Department Mix. The system does not allow Department Mixes to be Linked to a PLU Mix. Includes the beginning and ending time and date, what Mixes qualify for the discount, and how many of each item must be purchased in order to qualify for the discounted price. Points to Stress: The maximum number of Matches is application specific – sometimes 20 others may offer up to 50. The technician should refer to the Managers Reference Manual. Usually the maximum number of Mixes to qualify for a discount is 5. The technician should refer to the Managers Reference Manual. Some applications allow two different pricing options; 1 is used if ALL PLUs with the Mix are to be the SAME price, or 2 which is used if the PLU in the Mix is set to the original price. If you have worked with a customer you will have some good examples of the types of situations and scenarios that occur out in the field. Some common examples you may wish to discuss and program in class: 1. Buy 3 packs of Premium Brand Cigarettes and get 50 cents off each pack. 2. Purchase 1 – 20oz Coke product and receive a 2nd one free. 3. Purchase any sandwich, any grab bag (chips), and receive a free fountain drink. Review Questions Q: True or False: The site sells money orders, if the customer purchases a money order for less than $250 the Site Manager wishes to charge 75 cents. If the customer purchases a money order of $251 - $500 the Site Manager wishes to charge $1. This feature and functionality can be set up in the system. A: Depends on the Application. In most cases it will be True. Most applications have the fee/charge file, however some may not have the ranges. Refer to the Managers Reference Manual, Manager section for the specific application. Q: True or False: The Site Manager wishes to sell 2 Hot Dogs for $2 – normally the price for 2 hot dogs would be $2.50. With this type of discount the Site Manager can either program as a Combo or as a Mix and Match. A: True. The Site Manager will need to determine which will work best for their store. If the discount is set up as a Combo then the Cashier will need to always use a softkey in order for the customer to receive the discount. If the site already has a PLU or menu key set up for the hot dog PLU, then it probably would work best to set up as a Mix and Match. For the Cashier they will ring up the items as they normally do and the system will automatically discount the price. Some applications offer more PLUs per Mix, more Mixes, Department Mixes, the ability to link Mixes, and the ability to price Matches in two different ways. Q: True or False: The PLU Promotion can be used for any type of PLU. A: True. Q: The Site Manager wishes to set up a discount, if $50 or more Premium Fuel is purchased the customer qualifies for a free Basic Wash. What file or files would need to be configured for this discount to work. A: PLU and PLU Promotion Files – flag the Basic Wash for PLU Promotion in the PLU File and configure the PLU Promotion File. Q: In the example (above) what discount type would need to be used? A: 2 (minimum dollar amount and specific fuel). Q: How many Blue Laws can be set up in the system? A: 2 Q: How many modifiers can be set up for each PLU? A: 255 – remember PLUs with modifiers count towards the maximum number of system PLUs. Q: The Site Manager is having a contest. For the next month the Cashier that sells the most Deluxe Car Washes will receive a $25 gift certificate. What feature and/or files would be configured in order for the Site Manager to determine who sells the most?
