Examination Centre Re-Sitting Application Process The Re-sitting e-Application form is available on the website www.manipalu.com, which the student/LC can download The student has to fill the form with details pertaining to subject paper code, subject paper name, Learning Center code and demand draft details The students who are appearing only for the internal assessment or final semester project papers should also submit the re- sitting application form along with the requisite fee. The last date of submission of forms and submission of forms with late fees is will be announced by ACOE’s office The examination re-sitting fees fixed presently per subject is Rs.150/- and Rs.200/- in case of late submissions. This is subject to change and will be communicated by ACOE from time to time Before taking the final printout of the Re- sitting Application/s from the “Re- sitting eApplication” the student uses the draft printout provision provided in the “Re- sitting eApplication” tool and ensures the correctness of the data fed. Student takes the final printout of all the Re- sitting Applications and hands it over to the LC along with the DD The LC copies the MDB from the PC to the CD. All the duly completed Re- sitting applications along with the soft copy in CD & Demand Draft is forwarded by the LC to the ACOE’s office 03/10/2006 PR-CE-ER Page 4 of 10 Examination Re-Sitting Process Version 1.0 On receipt of the forms, the details are entered in the students database and the re-sitting examination admit card is issued to the student The admit card may not be issued in the following cases o Clashing of papers– (No two papers of different semesters which the student is suppose to appear for are scheduled for the same date and time) o Re- sitting requested for previously cleared paper/s For more details please see the circular Ref: - Rules and Regulations applicable for filing the Re- sitting e-Application provided in the annexure 03/10/2006 PR-CE-ER Page 5 of 10 Examination Re-Sitting Process Version 1.0 Annexure Circular Ref: - SMU/DE/ACOE/CNTR/CIRR/JAN07/EXAM/SEPT.06 Date: 12TH SEPT. 2006 Rules and Regulations applicable for filing the Re- sitting e-Application - JAN 2007 Examinations (WS CIRCULAR – Sept.2006) (CENTRE CIRCULAR). General 1. The objective of this circular is to promulgate the rules and regulations related to filing of the Resitting e-Application for JAN 2007 Examinations. It is dealt with under the following heads: A) General Instruction for the usage of re- sitting e-Application B) Issuance of Admit cards for re- sitting students C) Mode of fee Payment for re- sitting papers D) Despatch of the re- sitting applications to the University E) Rejection of re- sitting Applications F) Status of Application/s received at the University 2. IMPORTANT LAST DATES: All the Learning Centers are hereby informed to strictly follow the dates given below. The Last date of receipt of the application form (both hard and soft copy) at the university: a. With out late fee: - 31st October, 2006. b. With late fee: - 22nd November, 2006 c. The Late fee is Rs 50/per paper; Rs 200 and Rs 200/- for all papers of a Semester d. Any application/s received after the last date will be rejected. A) General Instruction for the usage of “Re- sitting e-Application”: A.1. LC to download the re- sitting e-application form from the website – www.manipalu.com and load it on to the PC. A.2. All the re- sitting candidates must use only this re- sitting e-application form. Re- sitting application issued for the previous examination is not to be used for JAN07 examinations, if used, such applications will be rejected. 03/10/2006 PR-CE-ER Page 6 of 10 Examination Re-Sitting Process Version 1.0 Students are advised to go through the complete circular before filling the re- sitting e- A.3. application form. Please note that incorrect filling, over writing, cutting, incomplete and/or hand written applications will be rejected. This is a common “Re- sitting e-Application” for all the courses of SMU/MAHE DE A.4. students. The “Re- sitting e-Application” is designed to facilitate the submission of error free re- sitting A.5. application by the Students/Learning Centers. Please fill the data with utmost care as all the details including the photograph & specimen signature on the application is very much essential to issue the Admit card. A.6. Please ensure the following: a. The name, registration number and the course code of the student must appear as per university record. b. Use the latest stamp-size photograph of the students on the hard copy. c. The seal of the LC and the signatures of the LC head and those of the students shall be put within the space provided on the final print-out. A.7. The students who are appearing only for the internal assessment or final semester project papers should also submit the re- sitting application form along with the requisite fee. Please follow the detailed instructions given in the “Re- sitting e-Application tool” before A.8. filling the “Re- sitting e-Application” B) Issuance of Admit cards for re- sitting students: The admit cards will be issued for all the resitting papers as requested in the re- sitting form by the students. However the validity of the admit card issued is subjected to the following conditions: B.1) Clashing of papers in re- sitting cases: - In order to facilitate the students to reappear in their backlog papers the University will schedule the examinations in the following manner. a. All the even semester examinations will be held during the first four days of the examinations. b. All the odd semester examinations will be held during the last four days of the examinations. However in the event of clash in the re- sitting paper, a student can appear in only one paper of his/her choice at a scheduled time. For example, a student currently studying in the third semester wishes to reappear in first semester paper. In such an eventuality as the odd semester examinations are held at the same time, he/she has to appear either in third semester or in first semester paper but cannot appear in both in case there is a clash in the time table. If a student 03/10/2006 PR-CE-ER Page 7 of 10 Examination Re-Sitting Process Version 1.0 tries to appear more than one paper simultaneously on the same day, all such papers will be treated as cancelled and the result/s of such papers will be treated as “Null and Void”. B.2) Re- sitting requested for previously cleared paper/s: - As per the University rule, there is no provision for improvement by reappearance in the Term end University Examinations or in the Internal Assessment once a student is declared as passed in that paper. Hence, in this case the corresponding old result will only be considered and the current attempt will be treated as “Null and Void”. C) Mode of fee Payment for Re- sitting papers C.1) All the payments shall be made by the students in the form of DD taken in favour of “Sikkim Manipal University, DE” payable at Manipal/Udupi. Student should endorse his/her name, Registration number and Learning Centre code on the reverse of the DD. The students are advised to retain the counter foil and photocopy of the DD with them for their reference. The Re- sitting applications will be rejected if the mode of payment is other than the above specified mode. The fee paid is not refundable. a. The re- sitting fee per paper is Rs. 150/b. The re- sitting fee for all the papers of a semester is Rs. 500/c. Late fee is Rs 50/- per subject and Rs 200/- for all papers of a Semester. C.2) Students are advised NOT to make the payment to the Learning Centre either in cash or in any other mode with regard to the re- sitting application fee. Any such claim will NOT be entertained by the University. C.3) The University shall reserves the right to adjust the amount from Learning Centre share in the case of mismatch between the actual re- sitting fee (including late fee if applicable) and the DD amount of the student/s duly forwarded by the Learning Centers, without any prior notice. D) Dispatch of the re- sitting applications to the University: Please follow the following instructions carefully. D.1) Before taking the final printout of the Re- sitting Application/s from the “Re- sitting eApplication”, please use the draft printout provision provided in the “Re- sitting eApplication” tool and ensure the correctness of the data fed. D.2) After taking the final printout of all the Re- sitting Applications, please copy the MDB from your PC to the CD. If you have used this Re- sitting e-Application tool on more than one computer, copy all these MDB on to the CD. 03/10/2006 PR-CE-ER Page 8 of 10 Examination Re-Sitting Process D.3) Version 1.0 All the duly completed Re- sitting applications (see Article No. A.6) along with the soft copy in CD & Demand Draft, must be wrapped in a waterproof cover and kept in a separate envelop of proper size. D.4) The envelope must be properly sealed. D.5) Do not fold, bend, cut, tear or otherwise deface/mutilate the application forms in any manner. D.6) On the top left of the envelop, please write in big, bold letters, “RESITTING APPLICATION” “LC CODE - ______________” D.7) The properly filled applications should reach the address given below on or before the last date specified by the University. Re- sitting application sent to any other address or mixed with the re-registration/registration application and or any other documents will not be accepted by the university. Such re- sitting applications will be rejected. E) Rejection of Re- sitting Applications : Re- sitting applications will be rejected under the following circumstances E.1) Old Re- sitting Application forms (i.e. other than the Re- sitting e-Application now prescribed) used by the students E.2) Incorrect filling, over writing, cutting, incomplete and/or hand written applications E.3) In case of payment made other than the mode specified in the Article No.C.1 E.4) Re- sitting application sent to any address other than the address given in the Article No.D.7 E.5) Re- sitting Applications sent along with the re-registration/registration application and or any other documents in a same cover. E.6) Application/s received after the last date. 03/10/2006 PR-CE-ER Page 9 of 10 Examination Re-Sitting Process Version 1.0 F) Status of Application/s received at the University: - The Application/s status will be made available on the Website – www.manipalu.com. The Learning Centers and the students are requested to check the status of their Re- sitting Applications. All the students and the Learning Centers are hereby requested to follow the communication mode given below. F.1) The Re- sitting Application error report will be sent to the students and to the Learning Centers on the e-mail given in the Re- sitting Application, within TEN working days from the date of receipt of the Re- sitting Application/s. It is the responsibility of the student’s/Learning Center’s to provide correct e-mail id. No separate hard copy of the error report will be sent to the student/Learning Centers. F.2) The Re- sitting Application error report will also be made available on the website. The students and the Learning Centers are requested to use the same. F.3) The respective Students/Learning Centers are requested to respond only to the e-mail id given in the mail/website as per the format specified, in the mail/website. The response time should be within the date given in the mail/website. Re- sitting Applications will be rejected in the event of non receipt of the response within the stipulated time. F.4) All the rejected Re- sitting applications will be sent back to the Learning Centers and the details of the same will also be made available on the website as well as through e-mail F.5) All the students are requested to keep in touch with their Learning Centers and also logon to the website – www.manipalu.com , regularly for the information. Conclusion The purpose of this circular is to give comprehensive instructions regarding all the matters related to the acceptance of the Re- sitting Applications, pertaining to JAN 2007 SMU/MAHE DE Examinations. The Learning Centers/Students are advised to go through the same carefully and follow the instruction so as to enable the smooth conduct of the examinations and prompt declaration of results. The University reserves the right to make the amendments in the rules and regulations as and when required. All the students/Learning Centers are requested to logon to the website from time to time for the information’s. Assoc.
