Your signed contract and/or banquet event order(s) are due in our office within three (3) days after receipt, unless otherwise noted in the contract. If you do not receive the signed document(s) by the due date, all arrangements will be void and the event(s) will be cancelled. Events are not considered definite without a signature of agreement on each document. Function Space Function space is assigned on the basis of expected attendance. The hotel reserves the right to reassign function space should the expected number of attendees change. Any changes or addition made to the function space after room set up have been incur a labor charge ( not to exceed $200.00). Meeting room rental charges have been calculated based on your guest room block, planned food, and beverage function(s). Should these arrangements change, resulting in a decrease of expected revenue of 15% or more, meeting room rental will increase accordingly. In some cases, food and beverage minimums are established. If the established minimums are not reached, the difference will be applied as room rental. Event Arrangement Room set-up requirements, menu selection, audio visual needs and any other details pertinent to your event(s) must be finalized with the catering department at least (3) weeks prior the event(s). Function space will be held according to the time noted on the catering contract and/or banquet event order (s). The hotel has audio visual equipment available on property. Any special requirements for electrical and /or engineering assistance must be requested two (2) weeks in advance. All rates for labor and/or material will be quoted upon request. Phone Lines Please notify the catering department of any special needs and/or arrangements. House phone with outside lines are available at a charge of $50.00 (local) & $100.00 (long distance) per day per line. Access to high speed inter connection is available at the $100.00 (long distance) per day per line. Arrangements for long distance and/or additional phone lines will need to be made at least (2) weeks in advance. All charges for long distance and/or additional phone lines will be at the expense of the company making the request. Food and Beverage No food and/or beverage of any kind will be permitted to be brought into the hotel’s public areas and/or banquet space with the exception of wedding cakes and birthday cakes. Any special requirement for dietary or religious preferences will need to be discussed with the catering department. The pricing on our current menus are subject to change without notice. We will confirm menu pricing no more than 90 days prior to an event. If any alcoholic beverage(s) is/are brought into an event that has not been purchased through the hotel, we reserve the right to immediately remove and discard the alcoholic beverage(s). 5/08 CATERING POLICIES & PROCECURES CONT.. Guarantees A guarantee for the number of people attending any function is required three (3) business days prior to the event. This number is not subject to reduction, but can be increased up until the day of the function. If the actual attendance exceeds the guarantee, you will be charged for the actual attendance. The hotel will set for 5% above your guaranteed number. If no guarantee is provided, we will consider the expected number originally contracted to be your guarantee. Service Charges, Taxes and Surcharges A 21% taxable service charge and applicable tax will be added to all food and non-alcoholic beverages as well as audio visual charges. A 21% service charge will apply to all alcoholic beverages. Meeting room rental will incur a 21% taxable charge and applicable tax. Any group claiming tax exemption must submit a valid State Sales Tax and Usage Tax Certificate (s). There will be a $60.00 surcharge for any banquet buffet function with less than 25 people. There will be a $60.00 surcharge for each uninformed attendant for 2 hours serving time. There will be a $20.00 surcharge for each cashier and/or bartender for a minimum of 3 hours. Deposits and Payments A method of payment is required with all contracts and/or banquet event orders in order to be consider the event confirmed and definite. A credit card authorization form and/ or deposit will be required if direct billing has been established. Requests for direct billing must be made at least two (2) weeks prior to an event. Some events may require a deposit with the signed contract(s) and /or banquet event order(s). Deposits are non-refundable in the event of cancellation. Payment for any remaining balance is due two (2) weeks prior to the event. If an event is pre-paid, there must be a credit card authorization on file or a $500.00 deposit for any overage. Security The hotel does not accept responsibility for damage or loss of any articles left in the hotel prior, during or following a banquet event. It is the groups’ responsibility to make arrangements for any special security in advance for their exhibits, merchandise or display items. The hotel reserves the right to require security guards for any function. Any expense for security guards will be the responsibility of the group. Shipping and Receiving Due to limited space, we will to accept shipments of materials any earlier than (3) days prior to your function. They must be labeled with the group contact, group name and date of function. Shipments that arrive more than (3) days prior to a function may be denied for delivery and any charges will be incurred by the group. There will be a $3.00 handling and storage fee per box per day. It is the responsibility of the group to make arrangements with shipping company for any assistance needed with unloading and /or loading of materials.
