PARTNERSHIP GUIDELINES
The Students’ Union is always looking to improve the student experience. One of the ways we
accomplish this is by donating the use of our MacEwan Student Centre facilities to student
groups, University departments and outside organizations interested in hosting innovative,
student-centered, non-profit events.
If you are interested in such a partnership with the SU, please read the guidelines below and
submit your complete application via the web link at the bottom of this page at least 20 business
days prior to the first day of your event.
Partnership Application Guidelines
1) Applications must be submitted no later than twenty (20) business days prior to the first day
of your event.
2) Applications must be complete and adhere to eligibility requirements.
3) All applications for SU partnership must include a tentative MacEwan Conference & Events
Centre contract for the event. (Your contract should reflect any pre-established discounts
provided to your group) To request a tentative booking, please contact the MacEwan
Conference & Events Centre (MCEC) at 403-210-9375.
4) Discounts for MacEwan Conference & Events Centre catering services will not exceed 25%
of the current menu rates.
5) The SU must be recognized in all promotional materials used to publicize the event you are
hosting. Approved applicants must submit copies of draft promotional and event materials to
the SU Communications Department (robyn.dinnadge@ucalgary.ca) for approval prior to
implementation.
6) SU sanctioned clubs may be eligible for Partnership funding in extraordinary circumstances
and upon referral by the Clubs Committee.
7) If a partnership application is granted, recipients must follow all MacEwan Conference &
Events Centre regulations that pertain to their event, including payment and cancellation
schedules and penalties, and food and beverage restrictions. Under no circumstances should
a partnership arrangement be interpreted as exempting you from these requirements.
As of May 1, 2012 all Groups must report back to the Students’ Union as to how well your
event was perceived. Your report will helps us monitor the effectiveness of the Partnership
program. It also enables the Students’ Union to honor its obligations of accountability to
students of the University of Calgary.
All partnership arrangements are considered and approved by the SU Operations and Finance
Committee. A successful application will demonstrate a clear benefit for undergraduate students.
All partnership decisions made by Operations and Finance Committee are final.
Partnership with the SU does not absolve you from additional costs incurred after this application
has been submitted for consideration, nor are partnership arrangements renegotiable after the
fact. The onus is on the applicant to consider and include all potential costs before submitting an
application package.
