SIXTY (60) CALENDAR DAYS FROM INITIAL APPOINTMENT
MAJOR DUTIES:
Incumbent checks in patients needing to see a medical officer and/or medical care. Interviews
patients to obtain pertinent Patient Registration information, i.e., demographic and insurance
information and authorization to enable the Business Office to bill for health care services
provided from all Alternate Resources, including the non-beneficiary services. Assists the
patient in completing new or updated forms for the Patient Registration System. This will include
outpatients, dental patients, and mental health patients. Determines the eligibility of patients
seeking health care, who have not previously been treated at the facility by obtaining the
certificate of Indian Blood or other documentary proof of tribal membership, according to I.H.S.
guidelines. Identifies those patients whose health benefits are subject to prior approval to
determine the extent of health care for outpatients when insurance’s require prior approval.
Obtains and verifies the health records and the RPMS Patient Registration System for Medicaid,
Medicare and Private/ Commercial Insurance eligibility information for all patients seen prior to
all clinic visits. Obtains signatures for file, required for Alternate Resources and Contract Health
Services prior to patients being seen in the clinics for billing purposes and/ or CHS eligibility.
Incumbent is responsible for maintaining, key-entering, updating and verifying all Alternate
Resource data necessary for Patient Registration and for accurate billing through the use of the
RPMS Patient Registration System. Makes corrections as necessary to improve the Patient
Registration System. Updates addressograph data with current Alternate Resource information.
Incumbent will collect third party recipient health cards, scanning of the card in to Vista Imaging,
explaining the program to the beneficiaries; i.e., why Medicare, Medicaid and/or Private
Insurance will be billed for the services they received at the facility. Interviews patient to obtain
information to initiate a new health record and/or communicates to Medical Records to reactivate
a retired/ stored records. When patient has Medicaid/Medicare, private insurance, signatures are
witnessed on Release of Information forms. Obtains tribal or descendency documentation for
services. Prints registration forms for charts, checks for proper patient release of information
forms. Faxes medical information when necessary and routes accordingly. Performs other duties
as assigned by the supervisor.
MINIMUM QUALIFICATIONS:
Knowledge of Medical Terminology.
Knowledge of ICD-9 Coding procedures and terms.
Knowledge of the RPMS Patient Registration System, its functions, how to obtain appropriate
information when needed and how to correct errors that appear in the demographics when
necessary. Input errors in the RPMS cause inaccurate statistical reports as well as inaccurate
information on computerized patient health summary.
Knowledge of the Privacy Act of 1974 and the use of confidential information and health records
as an integral part of the interviewing office function and the privacy of individuals must be
protected to the fullest extent possible. Knowledge of the HIPAA standards and consequences.
Knowledge of the internal organizational structure and Medical Records in order to assemble
patient information or to initiate new patient records or to reactivate retired charts.
Working knowledge of eligibility requirements of the I.H.S. and Rocky Boy Health Center
programs.
The skill of a qualified typist and familiarity with complex medical terminology is required for
transcription duties and performance of other medically related duties.
High School diploma or equivalent preferred.
Knowledge of current state laws concerning vital statistics and birth/ death certificates which by
nature must be accurate as possible. Ability to answer intelligently, tactfully,, and accurately
those questions raised by the mother in regard to her child’s birth certificate.
Knowledge of Contract Health Services, direct services, and Alternate Resources.
Qualified typist/ Computer skills are vital.
DESIRED QUALIFICATIONS:
Associates degree in Secretarial Science or related field.
Indian preference, enrolled member of the Chippewa Cree Tribe preferred.
Other Selection Criteria:
 Qualified Chippewa Cree members who are honorably discharged veterans will be given
preference. DD214 required.
 Chippewa Cree Tribal Preference.
 Will be subject to random drug testing.




requirements (show evidence).

Knowledge, Skills and Abilities
1. Updates patient registration demographic information.
2. Assists the patient in completing new or update forms.
3. Interviews/checks in patients for appointments and/or medical care.
4. Collects third party recipient health cards, obtaining photocopies of the card for billing
purposes and explains the programs to patients. Routes copies to Business Office and
updates into RPMS.
