We hope you are as excited about the chance to welcome many new young people to our Pirate family as we are. Through the joint effort between the Alumni Association and the Undergraduate Admissions Office, we have come to recognize that alumni serve as valuable extensions of East Carolina University in their communities. Many students can find the college preparation and admissions process very confusing, especially at a large academic institution such as East Carolina University. There are so many exciting opportunities and choices it can be a little overwhelming. This is where your time and knowledge are of such great value. What could be better than the opportunity to assist prospective students and their families with welcoming them into your East Carolina community? With your help, we plan to strengthen our alumni and admissions network. Your time and effort are extremely important. As you might expect, the manner in which you represent East Carolina University and the message you present will have a measurable impact on the young people and parents with whom you will meet. It is crucial that the information you disseminate be accurate and current as you represent the university to prospective students and families. The information in this handbook will prepare you to meet the challenges of representing East Carolina in your community. Your involvement in the East Carolina University Alumni Admissions Connection Program will strengthen your Alumni Association ties, enhance your connection with the university, and most importantly, will help students make better informed decisions about their future. We are counting on your Pirate spirit and commitment to excellence in representing the University in this critical function. John Carrere, ‘08 East Carolina University Undergraduate Admissions 2 East Carolina University Alumni Admissions Connection OVERVIEW Alumni Student Recruitment at ECU Purpose: The ECU Alumni Admissions Connection was created in response to the alumni interest in supporting their alma mater as volunteer admissions representatives in their home communities. The purpose of the program is to extend the reach of the Admissions Office through the volunteer recruitment efforts of well-trained and knowledgeable alumni across the US and internationally. Responsibilities: • • • • • • • • Act as a liaison between area prospective students and the Undergraduate Admissions Office Participate in and coordinate activities for prospective students who are interested in East Carolina University Help prospective students accurately understand the programs offered at ECU and whether or not the University is a good match for their interests and academic level Keep an up-to-date list of the Alumni volunteers in the area, recruit new members and coordinate local involvement in the ECU Alumni Admissions Connection Respond to requests for assistance from the Admissions Office or Alumni Association regarding programs Become familiar with available resources and current ECU statistics Attend necessary training workshops Provide feedback to the ECU Alumni Admissions Connection regarding the recruitment programs, materials, and activities Training: As an ECU alumni admissions representative, your contact with a prospective student may be the first experience that student has with East Carolina University. Your enthusiasm for your alma mater will make a tremendous impact on these students. You are encouraged to share your personal experiences from your undergraduate years at ECU. At the same time, it is essential that you remember as an ECU alumni admission representative, you are an official representative of the University. For this reason, we expect our volunteers to be familiar with the resource material provided, to give us feedback on how they can be more useful, and to attend on-campus update sessions or regional workshops as appropriate. 3 ECU ALUMNI ADMISSIONS CONNECTION ACTIVITIES Below are activities that are critical in the admission process. We hope that you will participate in just one or even all of the following activities: ♦ Representing ECU at college fairs not covered by the admissions staff ♦ Telephone accepted students to ECU ♦ Assist with planning Senior Send-offs College Fairs Individual schools, school districts, and independent academic organizations host college fairs as a way for high school students to gather a wealth of information about different colleges and universities and to meet college representatives all in one location. Most college fairs are set up in an open browsing style. This allows students and parents to roam freely through the fair to pick up information and speak with admissions representatives. You will be notified of upcoming recruiting events in your area. Once you have committed to attend the event, we will RSVP for the event and arrange for a box of materials including admissions bulletins and a copy of the fair invitation, to be mailed to you prior to the fair date. Senior Send-Offs The Alumni Association sponsors Senior Send-offs, which honors students who have committed to attend East Carolina University. Planned by alumni in the community, the send-offs welcome incoming students and their parents into the ECU family. Time Commitment The average commitment of ten hours a year can vary depending on the number of scheduled events in your area. 4 ADMISSIONS PROCESS OVERVIEW The Evaluation Process Freshman admission to the University has become very competitive. Admissions decisions are based primarily on an evaluation of the high school record and SAT or ACT scores. Participation in extracurricular activities may be considered, but not weighted nearly as heavily as the overall academic record. Students entering East Carolina University as a freshman have taken a rigorous “college prep” curriculum and generally maintained at least an overall “B+/A-” average or better for all four years of high school. The most successful candidates for admission will have taken academic courses well beyond the required minimum. Many of ECU’s applicants will have taken some AP, IB, or honors courses in high school. By statute of the UNC System of Schools, in order to be considered for admissions, every applicant must have a high school diploma (or its equivalent) and the following minimum high school courses: ♦ 4 years English ♦ 4 years Mathematics—including Algebra I, Geometry, Algebra II, and a course that Algebra II is a pre-requisite (this may include statistics, pre-calculus, calculus, discrete mathematics, advanced functions and modeling) ♦ 3 years Science—1 year of life or biological science and 1 year of physical science; 1 must be a laboratory course ♦ 2 years Social Studies—including US History ♦ 2 years of same Foreign Language These minimum course requirements are required by all of the 16 public institutions in North Carolina. High School Record: The high school record includes the level and difficulty of the courses taken, overall GPA and class rank (if available). GPA and class rank are generally provided on the student’s transcript. The high school transcript will list the courses that the student has completed and the grade for each class, a cumulative GPA, and class rank (if available). Standardized Test Scores: East Carolina University requires the SAT I or ACT. In March 2005 the SAT began including a writing section and the ACT has an optional writing section as well. ECU requires that all students submit a writing section whether they choose to take the SAT, the ACT, or both. We recommend that students take either test more than once. We will accept the highest combined SAT verbal, math, and writing scores or the best composite ACT score from one test date plus the best writing score. SAT I and ACT scores must be submitted to ECU by the testing agency. 5 The Application Process We highly recommend students submit their application online through their Pirate Port account. Pirate Port is a student’s own personal admissions website to ECU. With a Pirate Port account, students can submit their application online, check their status online and receive email updates from the admissions office and the university. A complete admissions application includes: ♦ Application for admission ♦ $70 non-refundable application fee. Applicants can submit payment by mail (check, money order or College Board fee waiver) or pay online at the end of the application. Payment options include Visa, MasterCard, or electronic payment from checking or savings account. ♦ Current official high school transcript, including grades 9-11, senior year courses in progress, overall grade point average and class rank (if available). Sometimes we may request first semester senior year grades before making a decision. The transcript must come directly from the high school or enclosed in a sealed envelope with the application. ♦ Scholastic Aptitude Test (SAT) or ACT scores sent directly from the College Board. ♦ Essays are not required. However if a student would like to submit an essay they will be added to the applicant’s file as supplemental information. ♦ Letters of Recommendation are NOT required for admission. However, if a student would like to submit recommendations, they will be added to the applicant’s file as supplemental information. Application Deadlines ♦ November 1—Early Action Deadline (Notification by December 15) Early Action is not a binding commitment like other schools’ Early Decision programs. Applying by November 1 still allows students until May 1 to confirm their decisions to attend. ♦ March 15—Last day to apply for Fall consideration. **These dates are subject to change as applications are received and enrollment numbers are met. We encourage all to apply as early as possible. Also, there is an 18% cap on out of state students who want to attend ECU so each year we have to stop accepting applications earlier than published dates for those students.** ECU Honors College The Honors College at East Carolina University is a diverse intellectual community for academically talented students of strong character. Academically competitive students engage in stimulating coursework that spans disciplines across campus, providing for a challenging and innovative curricular and co-curricular model. Students applying for undergraduate admission must meet a higher academic standard of education before 6 being invited to complete the ECU Honors College application. Students who plan to enroll in the ECU Honors College must adhere to the following deadlines: ♦ December 1—Student must be admitted to the university meeting ECU Honors Requirements by this date. ♦ December 15—Applications for admission to the ECU Honors College are due. Honors College Requirements In-state and out-of-state applicants must meet a minimum of • • • 3.5/4.0+ unweighted/weighted GPA 1200 critical reading/math SAT score or 27 ACT score. Competitive students are sent the Honors College application in a separate mailing and must have it submitted by December 15th. Students selected for entry to the Honors College receive a scholarship award in the amount to cover in-state tuition rates. Selected students may opt to compete for the EC Merit Scholarship (40,000 + 5,000 study abroad stipend) and admission to the Brody School of Medicine’s Early Assurance program on their Honors College application. The scholarship weekend competition is in February and winners are notified shortly afterward. Tarrick Cox is the admissions office liaison to the Honors College and can be reached at (252) 328-6640. Additional information about the ECU Honors College can be found online at http://www.ecu.edu/honors/. Miscellaneous scholarships offered by ECU listed on the Financial Aid website also use the Honors College criteria. Selections for these scholarships take place after the Honors College selection process is completed. 7 Timeline of Events September: • Admissions staff fall travel in NC and surrounding states begins and continues through November • Freshman application available • Out-of-state Pirate Alumni Admissions Connection members represent ECU at college fairs in their areas October: • Admissions staff begins reviewing applications • Pirate Alumni Admissions Connection continue to represent ECU at college fairs in their areas November: • Fall Open House – mid-November Saturday of every year December: • December 1 – Academically competitive students must be admitted • December 15 – Application deadline for ECU Honors College January: • Honors College students are selected February: • Spring College Fairs • President’s Day Weekend – Honors College open house and selection weekend March: • Spring College Fairs • March 15 – Deadline for Fall freshman applications April: • Spring Open House – mid-April Saturday of every year • April 15 – Transfer Student applications due May: • May 1 – Enrollment Deposit Due ($100) June/July: • Senior Send-Offs hosted by Alumni Association • Freshman Orientation August: • Move-in weekend for freshmen, classes begin 8 VOLUNTEERING AT COLLEGE FAIRS College fairs provide parents and students with the opportunity to meet briefly with university representatives and to obtain information regarding academic programs, admission and financial aid procedures and student life. This is one of the most effective ways for colleges and universities to distribute information about the university to prospective students. When attending a college fair, students typically ask college representatives about different programs of study, curriculum requirements, diversity of the student body, admission and financial aid facts, and the campus size and location. You may observe students who will look at the name and location of the school, pick up your literature and move on. The best approach to students is “Are there any questions I can answer for you about East Carolina University?” Please keep in mind that while college fairs can be frustrating in areas where ECU is not well known, they can also be extremely productive. If only a few students stop at your table, but you have worthwhile conversations that lead to further inquiry and eventual enrollment, the process is worthwhile - even if it is just one student. NACAC (National Association for College Admission Counseling) regulations require that you remain standing behind your table and that you do not distribute any promotional materials except appropriate college literature (no pens, candy, pennants, key-chains, etc). We recognize that there are situations when you will not know the answer to students’ questions. When you do not know the answer, please direct the students to contact the admission office. GENERAL COLLEGE FAIR INFORMATION • • • • • • Arrive at programs on time, at least 15 minutes before the start of the program. Many offer snacks or hors d’oeuvres before the program that you don’t want to miss. Stay at the program until the scheduled end time. Don’t pack up early! Check in with the program’s host or school representative. If an unexpected emergency arises and you will have to miss a program, please notify the school or college fair representative immediately. Then call the Admissions Office to let John Carrere know about the situation. Dress appropriately -- professional attire. Do not wear T-shirts, hats, etc. But remember you will be standing quite a bit, so wear comfortable shoes. At the conclusion of your programs, please complete the evaluation sheet provided to college reps. This information will help us plan better for future visits to the area. 9 Box of Materials A box of materials will be shipped to you prior to the program and will include: • • • • • • ICP’s – Informational booklets to give out to the interested students Purple Plastic Tablecloth College Fair Program Information Athletic Prospect Informational Sheet List of Frequently Asked Questions by Students Business Cards (these are to hand out to students who may ask a question that you may not know the answer to so they can contact us) WHAT TO TAKE AND DISTRIBUTE • • • At college day programs, use the Admissions information piece we sent you for mass distribution. That’s the piece to keep at the table. If students then ask for applications or are particularly interested in East Carolina University, encourage them to visit our website (www.ecu.edu/admissions). We strongly encourage students to apply online through the ECU Pirate Port. The ECU ICP cards have useful and interesting information including the most recent breakdown of tuition and fees. Many times these facts are answers to the common questions asked by the students. Please keep an abundance of these on the table as well and distribute these to students that come by, it also encourages them to go to our online personal admissions website, Pirate Port. Additionally, there will be Athletics information cards to distribute to only those students asking about a particular sport or coach. 10 COMMONLY ASKED QUESTIONS AT COLLEGE FAIRS & PRIVATE VISITS WHEN CAN I VISIT THE CAMPUS?
