Executive Director: Amy Dacey
DEMOCRATIC NATIONAL CAMPAIGN COMMITTEE

HOST COMMITTEE

Executive Director: Kevin Washo
The full Democratic National Convention team is made up of three entities, led by the Democratic National Committee, which is chaired
by Congresswoman Debbie Wasserman Shultz. The Democratic National Convention Committee, or DNCC, is an arm of the larger
Committee and is led by CEO Leah Daughtry. She and her team are on the ground and operational in Philadelphia. The DNCC is
responsible for handling everything that takes place inside the Wells Fargo Center during the four-day Convention.
The DNCC is working hand-in-hand with the Philadelphia 2016 Host Committee, chaired by Governor Ed Rendell and led by Kevin
Washo. The Host Committee has been on the ground preparing for the Convention since Philadelphia won the bid to host the
Convention in February. We are responsible for preparing the city of Philadelphia for the Convention, communicating with residents and
businesses about what will take place in the city during the Convention and the opportunities available for getting involved. We support
everything that the DNCC is working on for the four-day event to ensure that the Convention is fun, successful and safe for all involved
as well as maintains Philadelphia’s position in the global spotlight.
The Host Committee is thrilled about our partnership with the DNCC, and we look forward to continuing our efforts together to engage
local businesses about the Democratic National Convention and the opportunities that will be available.

What is a diverse business? It is one owned by a minority, female, veteran, LGBT or disabled individual. Businesses are often more
than one of these characteristics, and we encourage any such business owner or supplier to register to the 2016 Vendor Directory for
contract consideration. This is an important pillar of the Convention’s team’s efforts and will help us fulfill our goal of making this the
most diverse Convention yet.
Our goal is for 35% of the total Convention spend to go to diverse vendors. This is a number that was designated by Democratic
National Committee Chairwoman Debbie Wasserman Schultz and Democratic National Convention Committee CEO Leah Daughtry.
At a local level, we are committed to ensuring the Convention is representative of the makeup of Philadelphia and are looking to make
this the most diverse and inclusive Convention yet. We look forward to working with many organizations from throughout the
Philadelphia region, including diverse vendors and contractors.
Some contract needs will be publicized via a Request for Proposal and some will be made known as the need arises.

WHAT IS THE 2016 VENDOR DIRECTORY?
The 2016 vendor directory is a comprehensive listing of businesses that have registered for contract consideration on the Host
Committee’s vendor webpage -- this is what we will be discussing today. The directory will be used by the Host Committee, DNCC and
other interested parties for needed services leading up to and during the Convention. It will also be provided to third parties that may
want to hold events related to the Convention and will have contract needs in order to put on those events.
Once the Convention ends, the Vendor Directory will be provided to our local partners, such as the Convention and Visitors Bureau,
Visit Philadelphia, and the Mayor’s Office of Economic Opportunity, for future contract needs -- this is why it is critical for businesses to
register even if you do not think your business will be able to offer services needed specifically for the Convention.

All businesses that we have worked with to date are included in the vendor directory. We really want to encourage businesses to
register so that they can be considered for contract opportunities for the Convention.
Currently, there are 1,541 vendors registered to the Host Committee’s Vendor Directory, 34% of which identify as diverse, 68% are
based in Pennsylvania, and 46% are based in Philadelphia.
6
Now, to get into the specifics of registering for inclusion in the vendor directory, which is the best way to get involved in potential
opportunities with the Convention. The process for doing so is simple. The vendor form can be accessed directly from our website,
www.phldnc.com. At the top right of the page is a button that says “vendors.” Click on that button and you will be taken to a page that
looks like the one currently shown on your screen.
As you can see, we look forward to working with many organizations from throughout the Philadelphia region and beyond. We are
currently collecting contact information to develop the vendor directory. You will be contacted if we open an RFP that is relevant to the
service or services provided by your organization.
Some services will be contracted through the RFP process. It is our goal to communicate these needs in advance of opening the RFP
so that interested businesses have the time and information they need to bid on the RFP.
RFPs will be announced and then posted to the Host Committee’s website at www.phldnc.com.
Also on this page, you can also read our diversity statement, which we discussed in a previous slide. Again, this commitment is very
important to us and is why we really encourage diverse businesses to register to the vendor directory and help us fulfill our goals.
7
As you scroll down the vendor form page, you see a series of required areas that need to be filled out before you can submit the form to
register to the vendor directory. The fields are:
- Business Name
- DBA, which stands for “Doing Business As”
- Your company’s primary email address that is checked regularly and used to send and receive online communications.
- Your company’s primary phone number that is answered and messages checked regularly.
- Your company’s website, if you have one.
- Your company’s full address, including city, state and zip code.
All fields with a red asterisk are areas that you must fill in. If there is no asterisk, you do not need to fill in that section. We do encourage
you to provide as much information and details as possible as you complete the form as all of that information will be included in the
vendor directory and provided to the entities we discussed before -- the Host Committee, DNCC and third parties. The more information
you provide, the better sense organizations looking for suppliers will have about the kinds of services you offer that may fulfill their
needs.
8
Continuing to the next slide.
You will then be asked whether your business is headquartered in Philadelphia. It is very important to us to ensure that the Greater
Philadelphia business community can benefit from the Democratic National Convention here and so we are taking businesses’
locations into account when we review their eligibility for contract consideration. We consider the greater Philadelphia region, New
Jersey, Pennsylvania and Delaware for contracts that would be considered local.
However, if you are not based in the Philadelphia region, that does not preclude you from being considered. This is another reason why
it is so important for all interested businesses, inside and outside Philadelphia, to register to the vendor directory so we have a
comprehensive scope of the businesses interested in being involved. It is also very important to us to engage the Commonwealth and
get Pennsylvanians excited about the Convention that will take place in their state.
You will then need to provide information for the primary contact at your business as well as a description of the services your business
offers. While completing the description section, please bear in mind that all businesses’ information is stored in a large database, and
when we search for a particular service, we do so through keywords. So it is important that you think about the keywords that best
describe the services you and your business offer so that your name comes up when we search for a particular need.
9
Going onto the next slide.
This section of the registration form includes a list of categories from which vendors can select to describe their specialties. It is
important to note that you can check off more than one specialty and, if your business does offer a variety of services or specialties,
you are encouraged to click on all that apply. If you are unsure whether the services you offer are reflected in this list, you should
accurately describe your services in the “description” section we just discussed on the previous page. You should also click on the
services included in this list that you think most closely encompass the specialties you offer.
The specifics of what a particular business offers and whether or not that business makes sense for a particular contract will be worked
out during the contracting consideration process -- however, if you do not include any information about what your business offers, you
may end up being overlooked for a contract. This is why it is so important to include as much information as possible about your
business and the services you offer.
10
Going on the next slide, which shows the bottom portion of the form.
Here you are asked to include your business’s NAICS Code, which stands for North American Industry Classification System. This code
is used by the federal government to categorize industries for the purpose of collecting, analyzing and reporting on economic data
within the US business economy. You should know that businesses are NOT required to enter the NAICS code in order to register to
the vendor directory and not including this code does not preclude you from contract consideration. If you do know your NAICS code,
however, it would be helpful if you included it in your registration form.
You will then be asked if your business is affiliated with any unions. While you are required to state whether your business is affiliated
with any unions, you are not required to state which unions it is affiliated with unless you would like to.
You will be asked what kind of minority business certification or certifications your business has. You should check off all that apply and
include the necessary information about your certificate in the sections where the certification agency and certification number are
asked. We’d also appreciate if you could upload an electronic copy of your minority business certificate if you are able to do so. It is
important to note that businesses are not required to have such a certification in order to qualify for contract consideration, however it
would be helpful to know what kinds of certifications your business has, if any.
Finally, you will be asked to check off whether you would like to receive news and updates from the Philadelphia 2016 Host Committee.
If you click on this box, your information will be sent to our monthly e-newsletter list. The Host Committee sends an e-newsletter each
month with updates and information about Convention-related activities, plans and information about how to get involved. Our team is
committed to communicating with the public, both in the Greater Philadelphia area as well as the public at large, about the preparations
for the Convention, what people should expect during Convention week, and exciting events that will be taking place throughout
Philadelphia for the Convention. It is a great tool for staying up to date with our efforts, and I really encourage everyone on this call to
sign up to receive the newsletter.
Once you have completed all the required areas, which again are areas with a red asterisk, you can click on the “submit” button at the
bottom of the page. Upon doing so, all the information you provided will be sent directly to our vendor directory database. You will then
be taken to a a webpage thanking you for registering to the vendor directory. And that’s it -- once your form has been submitted, you
are officially included in the Democratic National Convention 2016 Vendor Directory and, in doing so, have expressed your interest in
being considered for Convention-related contracts.
