WRITTEN REPRIMAND
Apply this action when:
ƒ
The performance issue(s) persists after one or more than one counseling and reasonable
time to improve.
ƒ
The procedure violation is sufficiently severe to warrant a written reprimand on the first
offense (i.e. failure to call and failure to report for work; sleeping during assigned work
hours; altercations; loafing)
Continue to coach the employee through this process.
Consult and obtain support from your manager.
Consult and obtain approval from the Office of Employee Relations.
Discuss the problem with your employee in a positive way while maintaining the employee's self esteem.
Solicit the employee's feedback and cooperation in solving the problem.
Assist the employee with understanding that the problem, as well as the solution, belongs to him/her.
Tell the employee why you are taking this action.
Remind the employee of previous steps of progressive discipline (verbal and written counseling) and other
actions (i.e., coaching, training, schedule change, job modification, additional assistance, etc.) taken by
the supervisor to assist the employee with correcting his/her performance.
Specifically state what the employee must do in order to improve his/her performance.
Set reasonable timelines to correct the problem.
Monitor the employee’s progress.
State in the written reprimand and verbally to the employee:

If the performance issue does not improve, he/she may be subject to further disciplinary
action up to and including probation and termination of employment.
ƒ
Sustained, demonstrated improvement is expected
This is written documentation copied to the employee’s official College Personnel File in Human Resources.
Give the employee the original and maintain a copy in the supervisor’s confidential file on the employee.
Give the employee a copy of College Procedure 2410 Performance Standards and Appeal Procedure for All
Professional Exempt Contractual and Support Employees
Reflect issues with performance in the employee’s current annual performance review, if the performance
does not improve.
See College Procedure 2410 Performance Standards and Appeal Procedure for All Professional Exempt
Contractual and Support Employees for Standards of Conduct/Work Rule violations which constitute
grounds for disciplinary action.
