Exhibitors will login to a Dashboard where many components for the Expo are located in
one location. This includes:
 Registering and editing exhibit staff badges
 Inviting customers to attend the show through the Exhibitor Guest Program,
see below

Invite your customers to attend IAAPA Attractions Expo for FREE!
WHAT IT IS
The Exhibitor Guest Program ensures your customers and prospects can attend the show—
as your guest—for free. This is an excellent way for you to provide a personalized benefit to
customers, increase your visibility, and strengthen your relationship with them at IAAPA
Attractions Expo. Persons registering with an Exhibitor Guest Registration Code will receive
free admission to the trade show floor (Tuesday – Friday) when they register online by
Friday, November 13. After November 13, the cost is US$119 – the lowest of all
registration rates! IAAPA Members will also have access to the education program for free.
The Exhibitor Guest Program is available to exhibitors once their exhibit contract is fully paid
and will open end of August.
WHO YOU CAN INVITE
Exhibitors can invite an unlimited number of customers and prospects to attend. Typically
only about 50% of invited guests use the invitation so IAAPA encourages exhibitors to invite
anyone who could benefit from attending IAAPA Attractions Expo.
White the invitations are limitless; each booth has a maximum number of registrations
available. Each 100 square feet receives 5 Exhibitor Guest Registrations with a minimum of
10 per booth. Outdoor booths receive 1 registration per 100 square feet. The max allotment
is 250 per booth. See the Allotments Chart for details. If you require additional guest

registrations beyond your allotment, please contact exhibitors@IAAPA.org and IAAPA will
evaluate on a case-by-case basis if your allotment can be increased.
HOW IT WORKS
The Exhibitor Guest Program will allow you to create and send custom e-mails using
several templates available through Traffic Boost™. You will be able to include your product
information, logos, and personalized messages. With a few clicks you can upload lists of
customers to invite and schedule invitations to be sent based on your schedule. Benefits of
Traffic Boost™ include:




Customize up to three invitation templates and send up to 100 campaigns (sets of e-mail blasts).
Upload e-mails to send invitations (all uploaded information is secure—IAAPA has no access to the contact
information provided by the exhibitor).
Track your invitations including who registered in your allotment, who opted-out, and who is already
registered.
It’s all free and easy to use!
Please note, Traffic Boost™ only invites your customers to attend, it does not automatically
register them. Once they receive the e-mail invitation, they must click the “Register” button
and provide the necessary contact information. In addition, if you have customers that use
the same e-mail address, then only one invitation will be sent to that e-mail address.
However, your guests can register more than one person if you choose to allow.
Exhibitors are also permitted to invite customers using the Exhibitor Guest Registration site
link and their designated code.
Login to the Exhibitor Registration site and click the Exhibitor Guest Registration tab to get
started now. Your password is your IAAPA Company ID.
OPTION 2: REGISTER YOUR GUESTS DIRECTLY OR USE YOUR OWN INVITATION
If you don’t want to use Traffic Boost™ to register your guests you can either send the
information to your customers or you can register them yourself. If you are registering your
guests, be sure you have their full contact information before you begin or you will not be
able to complete the registration process. In addition, be sure you register your guests with
their contact information (not your company and address) or they will not be able to collect
their badges on-site (see Verification Process below for details).
PURCHASING ADDITIONAL GUEST BADGES
Best of all, you don’t have to worry about registering your customers yourself. If your
complimentary allotment is used, your customers can purchase registration for US$119 –
the lowest of all registration rates – without any extra steps!
If an attendee receives an Exhibitor Guest invitation but already registered and paid, they
can cancel their paid registration by Friday, October 16 and receive a full refund less a
US$25 processing fee by contacting convention@IAAPA.org and then re-register with the
Exhibitor Guest invitation. There are no refunds after October 16, 2015.
BADGE PICK-UP
All Exhibitor Guest Registrants must collect their badges, purchased tickets, and badge
holders on-site. By bringing their e-mail confirmation with them, they can quickly pick-up
their credentials at the Already Registered counters in Registration. Exhibitors are not

permitted to collect Exhibitor Guest badges. On-site registration hours and locations will be
posted on the show On-Site FAQ page.
VERIFICATION PROCESS
A verification process will be in place on-site in Orlando to ensure the registrant information
is accurate. Attendees and Exhibitor Guests must provide a picture ID AND business
card on-site to receive their badge and/or badge holder. Exhibitors are exempt from the
verification process. If the exhibitor chooses to register their Exhibitor Guests directly then
they need to receive accurate information from their guests. Any incorrect information will
be corrected on-site before the badges credentials are distributed. Exhibitors can only pickup their guest badges and/or holders on-site if they have the registrant’s business card to
verify accurate contact information.
It will be the exhibitor’s responsibility to ensure only the invited guest uses the code
provided. IAAPA will not be held responsible for unauthorized attendees registering with an
Exhibitor Guest code. Should an unauthorized registrant register in an exhibitor’s allotment,
they can contact IAAPA at exhibitors@IAAPA.org and the registrant will be canceled.
EXHIBIT STAFF USE OF INVITATIONS
Exhibitor Guest Invitations not used to register customers and prospects, may be used to
register additional Exhibit Staff beyond the allotment of complimentary Exhibitor Staff
Badges. Exhibitor Staff Badges obtained in this manner will also be complimentary, but
these registrants will only have access to the trade show floor during open, published hours.
These registrants will also be subjected to the verification process on-site.
Exhibitor Guest Invitations may only be used for the purposes set forth in this document;
any other uses, including but not limited to, sale to members/attendees, are prohibited.

Once logged in to Exhibitor Registration and you have saved the Exhibitor Contact, click the “Exhibitor
Guest” tab at the top of the page. Click the yellow “Let’s Get Started” button.

The Company Contact(s) is used for:


Company Information will be auto populated in your e-mail messages.
Contact e-mail address will be the Reply-To for all e-mail messages sent in Traffic Boost.
Click “Select” if the person listed is the correct marketing contact. If you need to edit the contact information, in
particular the e-mail, click the pencil next to the name. Click “Create New Account” button to add a new contact.
Contacts listed and created here are only used for Traffic Boost™.

You are now on your Traffic Boost™ Dashboard. You will have 99 campaigns available to invite customers and
prospects to attend the show for free. A “campaign” is the process of sending an e-mail message to as many
recipients as you choose at one time.
The Dashboard gives background information on all available campaigns including name, schedule date for
broadcasting your message, results and recipient lists.
Click the “Create New Campaign” button to get started.

On the left column you can view two templates available for use. Each template has standard show information
and each allows you to customize with information about your company and/or products. Click the tabs to view
each. Select the one you wish to use now and click the “Choose this Template” button at the bottom of the page.

Customize each field noted with an asterisk. Upload logos and customize the marketing message(s).
Under List Selection, you can either select a list that you have already used and stored, or upload a new list. Use
the Excel template available. Your list MUST include First Name, Last Name, and E-mail Address for each
invitation. Without these 3 fields, the invitation will not be sent. Do not list multiple contacts to the same e-mail.
Only one invitation will be sent per e-mail. IAAPA will never have access to lists uploaded.
After you have selected the list(s), click the “Preview Final Email” button at the bottom of the page.

Once you are satisfied with the appearance of the e-mail message, click the “Complete Campaign” button at the
bottom of the page.

You will be taken back to your Dashboard where the campaign will be listed as “Submitted” in the Status column.
COMPLETE means the campaign was sent. A campaign can only be CANCELED if you cancel it while it is still
SUBMITTED. Click the “CANCEL CAMPAIGN” button on the right column.
Click the “View/Proof” button to see a sample of the e-mail that was sent.
The Recipients button will show the Excel document(s) used containing the list of names and e-mails which the
campaign was sent to.

The Results link will provide details about the campaign.
Email Bounced – The e-mail provided is invalid and was not delivered.
Action Pending – The invitation was delivered but the person has not registered yet.
Incomplete Registration – The individual started a registration, but did not complete it.
Ineligible / Already Registered – The e-mail address and last name matches a completed registration.
Registered By Campaign – Indicates who registered for the show using your invitation.
By clicking the Excel document symbol next to each category, you can view the names and e-mail addresses.

Exhibitors who invite customers using methods other than Traffic Boost™ will need to provide the Exhibitor Guest
Registration link and Exhibitor Guest Code for their guests to register. The link and your code can be found on the
bottom of the Exhibitor Guest tab in the Exhibitor Registration site, as noted here.

To view your full allotment of registrants using both the code and Traffic Boost™ invitation, go to Exhibitor
Registration site, click the “View Completed” tab, and then click the “Export Exhibitor Guests” tab which will open an
Excel list of registered attendees.
Anyone unauthorized to use one of your complimentary allotment can be canceled, if necessary. Please contact
exhibitors@IAAPA.org.
