i. PRE-MID-TERM

(paper I),
 one set of note-taking task
sheets (paper II),
 one set of writing task sheet,
A and B type question booklets,

 class list.
 One grading rubric for
writing section
(while-listening questions & main bulk)
CD
- The tapescript for the listening part of the Mid-Term will NOT be read by the instructors but will be
played on CDs. These CDs will be collected by the instructors together with the Mid-Term material.
Please check your CD and CD player before going into the classroom.
- Count and check your papers and inform the Administration about any misprinted or missing pages
before going into the classroom.
- Prepare a seating chart (different for each mid-term) in which all students face the windows. Check
that the students are seated accordingly before the exam starts.
- Enter the classroom 3-4 minutes early so that you can start the listening on time. The bell will ring at
09:40 sharp so that all classes can start the exam at the same time.
- Hand out the set of note-taking sheets (paper I). Make the students write their names and student
numbers on the sheets.
ii. DURING-MID-TERM
- Start the CD when the bell rings and play TRACK 1 ONCE. In case of a power cut, the tapescript of
the listening part of the exam will be read by the instructor proctoring the exam. Therefore, please
follow the tapescript as students listen to the recording.
- When the recording is over, hand out the set of note-taking task sheets (Paper II) and the set of
writing task sheets. Make sure that your students write their names on both papers. Give students a
total of 55 minutes to complete the tasks. (Suggested time allotment: 10 minutes for the notetaking task + 45 minutes for the writing task)
- At this point, open the classroom door so that any students who have missed the note-taking part may
take the rest of the exam.
- After 55 minutes, collect the set of note-taking task sheets and the set of writing task sheets.
- Hand out A and B type question booklets (while-listening questions & main bulk). Make sure that your students
write their names on the booklets, and check the pages one by one.
- Hand out the optical forms and explain to your students how to fill in or code them by referring to the
sample. Inform your students that when the exam ends, they will be given 10 minutes to transfer
their answers to these forms.
- Remind your students to mark the answers of the while-listening section in their booklets and
transfer them either after the listening has ended or after they have finished the entire exam.
- Start the CD from Track 2. (In case of a power cut, the tapescript of the listening part of the exam
will be read by the instructor proctoring the exam. Therefore, please follow the tape script as students
listen to the recording.)
- When the recording is over, give students 80 minutes for the rest of the exam.
- After 80 minutes, give students 10 minutes to transfer their answers to the optical forms.
- Collect the A and B type question booklets and optical forms.
As the midterm will be graded via an optical reader, it is IMPORTANT that the students code
their student numbers and the booklet type (A or B) in their opical forms correctly. ANY
MISTAKES OR INCOMPLETE INFORMATION WILL CAUSE THE STUDENTS TO
RECEIVE “0”. Therefore, in order to avoid such incidences, please go around and check the
optical forms of the students after the while-listening part has finished.
- Remind your students that they should read the instructions very carefully. Do not explain or read the
instructions yourself.
- Do not exceed the time allotted.
- Except for the listening part, the classroom doors will be left open during the Mid-Term.
- PLEASE INFORM YOUR STUDENTS THAT THEY WILL NOT BE ALLOWED TO LEAVE
THE CLASSROOM IN THE LAST 10 MINUTES OF THE EXAM.

PROCEDURE FOR GRADING THE NOTE-TAKING & WRITING TASKS OF THE MID-TERM
1. Immediately after the Mid-Term, please put the writing tasks sheets in alphabetical order and number them.
2. The task for the note-taking part of the exam is to be read by the class instructor only.
3.
Mid-Term 6 standardization for the writing section will be done in THE STAFFROOMS after the
exam is over.
- Procedure for writing standardization is as follows:
 Each staffroom will receive a set of writing papers and a grading chart.
 Teachers will evaluate each paper and negotiate on the grades as a staffroom. In case of
discrepancy, please consult the group coordinator and/or test-writer.
 The grading chart will be filled in and returned to the coordinator by 13:30 p.m.
4. Exchange the writing papers with the first reader as indicated on the pair-up list below. Make sure you count
the papers when you receive and hand over a set.
5. Start grading the writing papers after you receive standardized grading table.
6. While reading your partner’s papers, do not make any corrections or write any comments on the exam papers.
Take notes about the individual students on a separate sheet of paper so that you can justify your grades while
finalizing them with your partner.
7. Exchange papers with your partner on June 03, Wednesday. You can make corrections on your own class
set. However, the comments section should be filled in when you get together with your partner to finalize the
grades.
8. Get together with your partner and compare your grades by June 04, Thursday. If your grades differ by 2
points or less for the 15-point scale, take the average to calculate the final grade. Write only the final grade on
the exam paper and put your initials (both readers). If the difference is more than 2 points for the 15-point scale,
read the paper again and decide on a final grade. If you still cannot agree on a grade with your partner, get
another colleague to read the paper and try to reach a consensus taking the third opinion into consideration.
