(ETDR)
ETDR Requirements
• Submit a PDF version of your ETDR to the K-State Research Exchange
(K-REx)
– Can include supplemental files (audio, video, data, etc.)
• Doctoral students also submit to UMI/ProQuest
• Some departments require students submit a paper copy, but this is not
required by the Graduate School

Use the ETDR Word template from the earliest
stages of your writing
Do all your writing in the template - don’t create
a separate file for each chapter
Use headings and subheadings to create a
structured document
Use “styles” in Word to reflect the structure of
your document
Avoid using the formatting tools on the top
menu bar in Word
Plan tables before you begin creating them
Use Insert > Picture, rather than Copy/Paste, to
add images to your document

• Download from ETDR website
“Styles” in Word
• A set of formatting characteristics that define the appearance of text in
the document
• Font size, color, line spacing, indentation, numbering, space around the
text, borders, etc.
• Styles are named and can be applied to portions of the document.
• All chapter headings = “Heading 1” style
• All 1st level subheadings = “Heading 2” style
• All 2nd level subheadings = “Heading 3” style
Images - Word
• Insert – don’t copy and paste
– Exception: Excel spreadsheets and graphs
• Use JPG or PNG formats, not TIF
• Resize images - No larger than 650 pixels in width
• Free image resizing/reformatting software
– IrfanView (www.irfanview.com)
– PIXresizer (bluefive.pair.com/pixresizer.htm)
– Shrink Pictures (www.shrinkpictures.com)
Create PDF
• PC (Word 2007, 2010, 2013)
– Save As PDF
– Options, Create bookmarks using - Headings
– Doctoral students: Options, ISO=19005-1 (PDF/A)
• Macintosh (Word for Mac)
– Save As or Print to PDF creates several PDF files
– Come to IT Help Desk for assistance
