Activities Select ‘Add Activity’ to list the activities you have been involved in during the past four years. Activities should be listed in chronological order starting with the most recent by selecting the appropriate ‘Sequence’ number. List your most significant activities if you have been involved in more than the maximum number allowed. After activities have been entered, you are able to change the order they are appearing by selecting ‘Edit’ beside the activity and revising the ‘Sequence’ number. To assist the Admissions Committee in their assessment of applications, it is to your advantage to provide sufficient detailed information for each activity. It is important to be as specific as possible when entering each activity. For example, if you are a musician you should include which instrument you play, how long you have been playing the instrument and what levels of performance you have achieved. Your responsibilities should be listed using point form. Provide a contact name, position, email and telephone number for verification of all activities that have occurred during the last two years. Email is our preferred method to reach your contacts. Applications lacking contact name and details for verification purposes will not be considered for admission to the HBA Program. Address Email Correspondence Throughout the application process, the HBA Program Services Office sends out correspondence of various types, including general information and time sensitive materials. The primary means of communication with you will be through email. The email address you provide should be one you check on a daily basis. If your email address is not current, or your email inbox is full, you will not receive updated information. After submitting your application, your email address can be updated at any time by logging in to Inside Track, and selecting and ‘Update Email/Phone’. Postal Correspondence You provide address information in 4 different sections: Kin, Session, April and Secondary School. ‘Kin’ address is the address where your Next of Kin reside (usually your permanent home address). ‘Session’ address is your address during the academic year (usually the same as your Kin address). The ‘April’ address is where you reside during the summer months. ‘Secondary School’ address is to be completed by students who reside away from home to attend high school during the regular academic year. Remember if you select this as your preferred mailing address, you to change your preferred mailing address when you finish high school. Canadian postal codes should be entered in the format used in the example below. After you have submitted your application, your mailing address can be updated anytime by logging on to Inside Track, selecting ‘Update Addresses’. After you have entered all applicable address information, please ensure you have selected one to be your Preferred Mailing Address. You can use the ‘Copy’ function if the information is the same as a previously entered address. Biographic Information Select ‘AEO’ under ‘Application Type’. There are a number of fields that are required before you can process on to the next section. If any of these fields are blank, a pop up message will indicate which sections must be completed before the information can be saved. We would like to stress the importance of filling out the "Preferred First Name" in the application, as it will be used to personalize your Ivey eZone account and your Ivey email address. The first name entered when you signed up for Inside Track appears under both ‘First (Given) Name’ and ‘Preferred First Name’ in this section. Your ‘Preferred First Name’ will be the name used by your classmates and faculty. Please update this field if your preferred name is different than your first name. For example, your given name may be Alexander but you prefer to be called Alex. When you print preview the application you will notice a field UWO Student Number. You are not required to complete this field as you most likely will not have this number available when you submit the application. Education/Prerequisites Entries will need to be entered for both the ‘Education’ and the ‘Prerequisite Education’ sections. To return to the screen shown in the example below, press the ‘Education’ link on the left of your screen. Education Starting with the most recent, list all secondary schools you have attended. Make sure to enter each high school only once. For example, if you attended the same high school for four years, just list it once indicating the highest level obtained (i.e. Grade 12). If your institution is not listed in the drop down menu, enter the complete and proper name of the institution attended in the ‘Other Institution’ box. Prerequisite Courses In this section we are asking you to only state the Mathematics course you have taken in Grade 12 to satisfy our prerequisite of a U-level Math or equivalent. If the course you are taking to satisfy the Math prerequisite has not yet started, please select ‘In Progress’ as the ‘Course Status’. Entrepreneurial Experience An entrepreneurial venture is a business or enterprise that you started, managed, and assumed the risk. This section is not a mandatory section. It is not the expectation that you have an entrepreneurial venture on your application. We provide the opportunity for those applicants who have spent considerable time and effort on such a venture to include in their application. The lack of an entrepreneurial venture does not detract from your application. Only 10-15% of applicants have a legitimate entrepreneurial venture. It is perfectly acceptable to leave this section blank if you do not have entrepreneurial experience. Essay General In other parts of the application we learn about your academic and extracurricular accomplishments (i.e., what you have done). It is through your essays that we learn more about the person behind the grades, activities, and leadership positions (i.e., who you are). Our goal is to gain insight into the person behind the application. Because we are unable to meet with you individually, we encourage you to share with us - through your essays - your values, interests, and goals. While there are no "right" answers here, we have found that the most effective essays emphasize the "who" as well as the "what". Respond to both of the essays keeping your responses to 250 words. Prepare your essays carefully and make sure you answer the questions being asked. Proper sentence structure should be used and remember to check your spelling and grammar. Appropriate use of capitalization is also required, e.g., “I think…” instead of “i think…” Essay topic 1 Describe a difficult decision you have had to make and the process that you went through to make it. Essay topic 2 Please describe a leadership accomplishment where you transformed an idea into action. Frequently Asked Questions 1. What type of Internet Browser access do I need to complete the online AEO application? Internet Explorer is the preferred browser to access the HBA application. This browser supports the formatting tools on the application and ensures the display of information on the online and printed copy of the application is correct. If you choose to use an alternate browser and experience any technical difficulties, please try accessing your application through Internet Explorer to see if this resolves the problem. If you are still having difficulty, contact the IT Department at 519661-4196. 2. Whom can I contact if I have technical difficulties with the on-line application? You may call the Richard Ivey School of Business - Information Technology Group at 519-661-4196 during daytime working hours 8:30am-4:00pm. 3. Whom can I contact if I have non-technical questions filling out the HBA on-line application? You may call the HBA Program Services Office at 519 661-4111 during regular working hours 8:30am-4:00pm or email hba@ivey.uwo.ca. 4. How do I indicate my intention of applying for AEO status on the OUAC application form? Once you select ‘The University of Western Ontario’ on your OUAC application form and specify your area of academic interest, please ensure you also select the AEO radio button to indicate that you will be applying for AEO status from Ivey. Please remember this application for AEO status on our website in completed in addition to selecting the button for seeking AEO status on the OUAC form. 5. Will the HBA Program Services Office send out verification that my application was received? Yes, you will receive an electronic confirmation once you have submitted your application electronically to the HBA Program Services Office. The email will be sent to the preferred email address listed in the application. 6. If I am given the AEO status, do I have to attend Western for the first two years? Yes. You may register in any program or module during your first two years at Western or at one of the affiliated University Colleges (Huron, King's or Brescia). You must register for a full course load (5.0 courses). If you receive advanced standing credits for course work previously completed, you must still register for at least 5.0 courses each year, as Ivey does not recognize advanced standing credits. 7. What are the admission criteria? Approximately 50% is based on academics and 50% on extra-curricular activities. We put a great deal of emphasis on leadership activities and achievements. Our admission process is unique in that we assess your Ivey application for achievement in extra-curricular activities first. Based on this assessment, we identify the students we would like to have in the program. A competitive average is 90%. 8. Can I exceed the 250 word maximum on the essays? We ask that you keep your responses limited to 250 words. Essays are to be well-written and concise. 9. How do I change my preferred mailing or email address? Log into your ‘Inside Track’ account. Your address can be updated by clicking on ‘Update Addresses’ and your email can be updated by clicking on ‘Update Email/Phone’. 9. I have finished entering all the required information but couldn’t get the submit button to show on the signature page. Until ALL required fields in the applicaiton have been filled in, the submit button will not appear. A brief description with instructions for any outstanding information appears on the ‘Signature/Submit’ page instead. Please be sure to select "Submit" on BOTH the ‘Online Fee payment’ page and on the ‘Signature/Submit’ page of the AEO Application. 10. I am experiencing problems printing my application. For best results, we suggest that when you first log into the application, select the “Preview Application” option, then print from your browser menu bar. 11. I am receiving this error message: SESSION TIMEOUT, Your session has expired. You will receive this message if no activity takes place on the screen for 45 minutes (activity meaning actively using the save button throughout your application). If you have been typing for well over 45 minutes and have not clicked on save, you have not communicated with the server. 12. I submitted my application by mistake, how do I retrieve it? Please email hba@ivey.uwo.ca with your full name and we will “unsubmit” your application. You can use your original username and password that you created to reenter the application once it has been “unsubmitted”. 13. When entering essays or activities or work experience, I am receiving an error message similar to: “Microsoft OLE DB Provider for ODBC Drivers error ‘80040e14’ [Microsoft}{ODBC SWL Server Driver][SQL server]Line 2: Incorrect syntax near ‘s’/applicant/common/data.asp, line 65 If you cut and paste, you will carry with you the HTML formatting tags which could result in unwanted gaps when you print your application. To avoid this problem, select and copy the headings you want, paste them into Notepad as plain text where they will lose all the unwanted formatting. Then re-select the headings from Notepad, copy and paste them into where you need them in the on-line application. 14. Who do I use as verification for my extracurricular activities? Please provide the contact name, email address, and/or phone number of your supervisor/instructor for that particular activity. (Email addresses are the preferred way of contacting your references). General Help Internet Explorer is the preferred browser to access the HBA application. This browser supports the formatting tools on the application and ensures the display of information on the online and printed copy of the application is correct. Ivey On-Line Application systems can function under all browsers, but in order to take advantage of the full set of editing features, you must use Internet Explorer. If you are encountering difficulties with any section of the application, please try the following before contacting the office for assistance: 1) use Internet Explorer as your browser to complete the application 2) ensure you do not have a ‘pop-up’ blocker turned on; the application needs to use pop-ups to function 3) ensure your firewall settings are set correctly; firewalls can prevent access to some/ all parts of the application 4) check that your internet security options are not set too high that they are preventing access to the application. For assistance with firewalls, turning off a pop-up blocker and/ or setting internet security levels, you can contact the Ivey IT helpdesk at 519.661.4196 Select ‘Save’ or ‘Update’ to save your entries to the application when you have completed each section. Use ‘Add’, ‘Edit’, and ‘Delete’ to make any changes to your information. Sections that utilize a large memo field will provide you with a lot of space to write your responses. Please use point form for these fields and do not use all capitals when entering the text. For time dated sections (scholarships, activities, etc.) only include information that has occurred during the past four years. Special instructions for copying headings: In the ‘Work Experience’ and ‘Scholarship’ sections, the headings provided in the instructions at the top of the page will be used as you enter information in to the text box at the bottom of the page. If you do a straight cut and paste, you will carry the ‘HTML’ formatting tags which could result in unwanted gaps in the layout of the information. To avoid this problem, select and copy the required headings, paste them into Notepad as plain text (this way they will lose all unwanted formatting). The headings can then be copied from Notepad and pasted into the text box in the application. Also note, when you press enter in the text box, it adds a double blank line. In order to get a single blank line, press ‘Shift/Enter’. International This section includes any education, employment, multi country tour, single country tour, travel and volunteer work completed abroad during the past 4 years. If you do not recall the exact day of your arrival or departure, please enter approximate dates outlining the total duration of the trip. For a multi country tour, please indicate the names of the other countries visited under details. Things such as place of employment, volunteer organization, and educational institution attended should also be listed under ‘Details’ where appropriate. Languages Select ‘Add Language’ to enter the languages you speak, read and write and ‘Edit’ and ‘Delete’ to make any changes to your information. Do not include the first language that was selected in Biographical section. Only answer ‘yes’ if you are completely fluent in reading, writing or speaking the language. For example, taking a senior level high school course in a language may not necessarily indicate fluency. Online Fee Payment Please enter the name of the card holder. Please ensure that the name is entered exactly as shown on the credit card. This includes any initials shown on the credit card; otherwise, the payment will be declined. Verify your credit card number is correctly entered, and ensure there are NO spaces when entering the credit card number. If you are paying by certified cheque, please do not complete any information on the ‘Online Fee Payment’ page. Before you can submit your application, however, you will be prompted to select a check box indicating you are sending in a certified cheque or money order for $100 on the ‘Signature/Submit’ page.
