Also, when pouring out liquids other than water, please do so away from the playing field. 2. Inclement Conditions: In the case of certain weather conditions, the fields at Dick’s Sporting Goods Park may not be used. Snow, steady rain, and severe weather such as thunderstorms and tornados, may all cause the complex to shut down. In any such event, games and tournaments hold rescheduling priority over practices. If you wish to be reimbursed for your field use, you can fill out a Weather Credit Form and an event manager within KSE will contact you. For thunderstorms, visitors must evacuate the fields for 30 minutes when a lightning bolt is seen or if a severe storm is detected by KSE technology, and 30 minutes for each additional bolt seen or predicted. Lightning detectors and a 24 hour weather tracking system will be used to determine the proximity of the storm. The delay can continue for up to 90 minutes, upon which KSE will make the decision of whether or not to continue the game or event or postpone/cancel the game or event. Rescheduled games are contingent on the availability of fields and the priority of the given event. (The lightning evacuation issue is discussed further in the facility “Lightning Policy.”) The fields will immediately close if standing water is visible on the fields, there is frost on the fields, or if the ground is severely saturated from heavy rain. If any of the aforementioned steps regarding inclement weather are ignored, clients will forfeit all privileges at Dick’s Sporting Goods Park and their permit could potentially be revoked. 14 3. Weather Hotline: Please first direct any questions regarding weather and field conditions to the facility hotline at (303) 727-3333 or the complex’s website at www.DicksSportingGoodsPark.com. KSE will immediately update each of these sources if/when changes are made regarding reservations taking place at the fields on any given day. If your questions are still unanswered, please contact any member of your Dick’s Sporting Goods Park staff. 4. Equipment: No metal cleats are permitted on the fields. Teams and players are responsible for their own equipment and supplies. Equipment that is rented from KSE must be returned in the same condition that it was loaned and must be turned in within one hour of the final event for a given client. This equipment must be signed out and signed back in by the Dick’s Sporting Goods Park staff member responsible for the rental. 5. Repairs: Any safety hazards found on the fields, such as holes, broken equipment, etc. should be immediately reported to KSE to ensure safe play. If a team causes any of the needed repairs, that team may be held responsible for the fees incurred to repair. 6. Field Procedure: Teams must conduct practices and pre-game warm-ups outside of the 18-yard box. This will ensure that the goal mouth will not sustain more wear and tear than necessary. Also, only players, coaches, and referees are allowed within the playing lines of the field. Any family members and other spectators must stay off of the field at all times. The hills around each field are designed for spectators to enjoy the game and for participants of the game to have a designated space in which to play. 7. Clean Up: Dick’s Sporting Goods Park is responsible for all trash removal. Therefore, teams are expected to dispose of necessary items into the designated waste stations. Excessive trash or required clean up by KSE may result in a fine to the responsible client. If a client chooses to bring their own tents/canopies, chairs, etc, these items must be cleared from the field prior to the next event, and these items cannot leave any sort of damage on the fields. 8. Limited Liability: Team waivers must be signed prior to participation on Dick’s Sporting Goods Park fields to release KSE from any accountability for situations for which it is not responsible. 15 9. Parking: Visitors can park in any designated parking lot within Dick’s Sporting Goods Park. Parking spaces are indicated by white lines. If there are no white lines, there is no parking. There is no parking on the grass or on the shoulders of the road. Emergency crews must have access to the fields via the shoulders at all times. Parking is free for all events except when there is an event being held within the stadium. KSE is not responsible for any lost or stolen items out of parked vehicles. 10. Payment and Cancellation Policy: A 10% deposit is due when a permit is accepted and the fields are reserved for a client. This 10% deposit is nonrefundable, and will be credited towards the client’s first month’s payment for the rented fields. Once the rentals begin, the client will be billed, with the balance to be due on the first of every month. If the payment is not received by the first of the month, the client is not authorized to use the fields for that month until the balance is received, including any late charges that are accrued. If a client needs to cancel their reservation, they must do so at least 30 days (one month) in advance to receive a full refund, excluding the non-refundable deposit. If the cancellation is made 15 business days (3 weeks) in advance, the client will receive 50% of their reservation fee back. If the reservation is canceled within 10 business days (2 weeks) of the reserved time, the client will receive 25% of the fee back. Any notice less than 10 business days (2 weeks) in advance, if KSE’s staff is unable to resell the said fields, no refund will be issued back to the client. 16 Emergency Procedure The following is a quick reference for what your response to specific incidents should be in regards to which pod you are currently occupying. Criteria for suspension and resumption of play: a. A 40 second or less Flash-to-Bang count calls for removal of the athletes/participants from the field to an appropriate shelter. b. Thirty-minute rule. Once play/practice has been suspended, wait at least 30 minutes after the last flash of lightning is witnessed or thunder is heard prior to resuming play. Common sense is the best rule of thumb when dealing with lightning. The default decision should err on the side of being conservative – lightning is not something that should be taken lightly. Inclement weather, especially lightning, can enter the area of Dick’s Sporting Goods Park very quickly. Therefore, it is mandatory that all visitors adhere to the lightning policy to ensure that all people are safe from harm. When using the Flash-to-Bang method, any lightning strike seen within 30 seconds of the last heard thunder should result in immediate evacuation. All visitors must seek shelter in either a permanent, grounded, enclosed structure or in an enclosed vehicle. In addition to this method, KSE will also have lightning detectors as well as a 24 hour weather monitoring system that will help determine the safety and urgency of the storm. Visitors must remain in the sheltered area for 30 minutes after the last seen or predicted lightning bolt. The delay can continue for up to 90 minutes, upon which KSE will make the decision of whether or not to continue the game oe event or postpone/cancel the game or event. Rescheduled games are contingent on the availability of fields and the priority of the given event. • All tournament directors, referees and club management will meet with KSE prior to the event to make sure that all parties understand the procedures and importance of this policy. • If a lightning bolt is seen prior to KSE’s technology recognizing it, it is the referees’ responsibility to evacuate the premises. • Under no circumstance should any team continue to play when a thunderstorm is within 20 miles and has been recognized as a threat to the location. • Seek immediate shelter in one of the following areas: enclosed, hard top vehicle or a substantial building such as a concession stand or permanent bathrooms. • Avoid standing near trees and/or water, staying in wide open areas, and avoid any contact with metal objects, phones, or running water. Call 911 immediately and notify the nearest KSE staff member if someone is struck or feels that they have been affected by the storm. 19 FAQ’S • Where is the complex located? 6000 Victory Way Commerce City, CO 80022 (at the intersection 60th and Quebec). • What are the complex’s hours of operation? 8AM – 11PM • Is there “drop-in” or “free play?” No. Anyone wishing to use the fields must obtain a permit from Dick’s Sporting Goods Park management. • Is there ample parking available at the complex?
