Staff Meeting January 9, 2013 Telenet Present: Gretchen Bartelson, John Cavanah, Kathy Cornwall, Rebecca Hannum, Ann Jenkins, Jean Kelly, Marni Kelso, Tracy Sleep, Theresa Zeigler, Zach Walker Proceedings Information and Discussion Items Preparations for the start of Spring term are going well. Marni Kelso is monitoring section size, updating enrollments frequently and sending emails when max enrollment nears. New sections are opened as needed. Ann Jenkins reported an increase in questions from instructors, which are being forwarded to the appropriate Mentor/Trainer. Tracy sleep described things as “busy but normal”. Kathy Cornwall said all is quiet among the bookstores. Upcoming Conferences League of Innovations conference will be March 10-13 in Dallas, TX. Tracy Sleep will attend and is presenting with former ICCOC Director, Steve Rheinschmidt. ICCOC Spring Conference is scheduled for March 24-26 at a new venue; Sheraton Hotel in West Des Moines. Speakers and sessions are being arranged. Tracy Sleep asked that Student Services employees be encouraged to attend and/or present. John Cavanah has invited 4-year colleges who have partnered with ICCOC to participate. Current registration is around 70, with 200 expected. Cite 2013 will be in Chicago April 2-4. Interested staff or faculty should inform Jean Kelly so group registration can be made for discount savings. Gretchen Bartelson will attend the Higher Learning Commission meeting April 5-9 in Chicago following Cite. Updates concerning the ICCOC Director hiring search remain elusive. Emails sent to SECC Human Resource personnel have not been returned. Interviews are to be held in less than a month. Those on the hiring committee have asked that if applications are not yet ready to review, instructions as to the process expected would be appreciated while they wait. Continued efforts to move the process forward will be made. Courses are being chosen for the Spring 2013 pilot comparing Completion and/or Retention rates of students in classes using the NGLC or PRD Dashboard, or using none at all. Ann Jenkins is preparing a video for instructor training. Webinars are set with Pearson for Jan. 22/23 and Jan. 29/30. Iowa Lakes has experienced issues pulling Grade Reports. Theresa Zeigler, Rebecca Hannum and Zach Walker are working together to resolve. To increase user security, Pearson has released a Password Reset enhancement. Users will no longer have to request a password reset through technical support. An email with a time sensitive link allowing the user to create a new password will be sent when the “Forgot your Password” link is clicked. . This will free up Technical Support personnel to help with other issues. Availability of the feature will be delayed until the Spring term is underway. Tracy Sleep will work with Zach Walker to prepare instructions to send out to all users to fully prepare them for the change. eTexts/eMaterials pilots are ready for Spring term. Course Connect, MyMathLab and CourseSmart are being utilized. There has been a mix of Content Managed and non–Content Managed course material. While this will not be a problem for Spring, Pearson will work to convert all to Content Managed by the May 27th start of Summer term. Testing of the EBSCO Library link was successful. It will be activated soon. The link will push out to all current and future duped courses which contain that content item. The process is made easier since it is updating an already existing link and not adding one. Zach Walker will demo the Faculty Admin Dashboard during a 9 am telenet tomorrow. Walker will also be present at the face-to-face Oversight Committee meeting on February 7th for a long-distance demo to show how all campuses will be affected. Staff was asked to come up with ideas for discussion at the Winter Workshop. Round Table Ann Jensen – asked that Zach Walker look into an issue concerning setting testing time. Marni Kelso – had questions for Zach Walker concerning duping Course Connect courses. She also said she will wait until more schools are enrolling for Summer before monitoring sections. At the moment, only Eastern Iowa is enrolling. Most schools will begin in late February or March. The Go/No Go information will be made available on Google Docs. Tracy Sleep – will email all instructors of eCompanion and Restricted courses on January 28th to let them know they have students enrolled. There are already over 600. Courses not yet having an instructor name associated with it will be sent to the school’s Dean or Director of Distance Learning. She will also be familiarizing instructors on the use of Writing Practice a tool provided by Smarthinking which “provides students with an immediate overall evaluation as well as feedback on specific traits, spelling, and grammar errors”. Smarthinking’s Implementation Services Team will host free webinars to share additional information about this service. John Cavanah and Tracy Sleep are hoping to interest advisors or anyone working with online components in hosting a session at Spring Conference. Kathy Cornwall requested a meeting time for Bookstores be set for Spring Conference. Theresa Zeigler thanked everyone for their efforts in getting the term ready.
