Posting for Administrative Assistant/Receptionist

(6 month contract, 3 days per week)

CMHA/Peel is recruiting for the contract position of part time Admin Assistant/Receptionist.

The Incumbent will provide reception coverage and administrative support to CMHA Peel’s 7700

Hurontario Street, Suite 314.

The position reports to the Program Manager (Access Programs). This is a public facing position that requires constant interaction with the public, clients and visitors to CMHA/Peel’s main office. This is a 0.6 FTE position for a 6 month contract, 3 days per week (22.5 hours per week); 9 am to 5 pm.

Key Responsibilities:

1. Creates client files and updates the Client Record Management System (CRMS) database.

2. Writes correspondence letters to clients.

3. Maintains confidentiality of client files

4. Follows up on monthly timesheets and mileage expense claims for program staff, as per

Agency Policy.

5. Supports the Access Program Administrative Assistant in booking boardrooms, filing, meeting organization and logistics, supply inventory etc.

6. Works at CMHA Peel main “Front Door” Reception, supporting the full time Receptionist, including greeting and directing clients, visitors to CMHA Peel’s main reception directing them to the appropriate department/individual.

7. Performs other duties and tasks as assigned by the program manager

Skills and Qualifications:

1. Post-secondary diploma in Business/Office Administration is required.

2. Minimum 3 years of Reception and office administration experience

3. Proficiency in additional language(s) that reflect the diversity of Peel is an asset

4. Possess open, non-judgmental attitude towards people with mental illnesses and/or disabilities

5. Excellent verbal and written communication skills in person and on phone

6. Pleasant, professional, and courteous manner

7. Comfortable interacting with CMHA/Peel clients and members

8. Superior knowledge and understanding of administrative role supporting senior management.

9. Strong organizational skills, able to manage competing priorities and deadlines in a fast paced environment

10. Enthusiastic problem solver and dedicated team player, who demonstrates initiative and independence

11. Strong computer skills – Microsoft Office Suite, Visio, Client Record Management

Systems.

12. Experience working in the non-profit sector is an asset

13. Satisfactory Vulnerable Sector Police Check is required.
