Event organiser – Ikea Belfast Task Title: Event Organiser at Ikea Belfast Task summary The Woodland Trust works closely in partnership with IKEA across the UK. Your role will be to help support the Woodland Trust in Northern Ireland by promoting the partnership in store at IKEA Belfast by delivering arts and crafts workshops with a biodiversity theme to local families. You will have opportunities to use your people skills and interests in participation and event activities. You will work as part of a volunteer event team with support from the Regional Engagement Officer in Northern Ireland. Key contact Regional Engagement Officer Northern Ireland Timescale First event is Tuesday 17 February 12-4pm Each event lasts 4 hours and they are held on a regular monthly /bi-monthly basis. Please note that most of the events are held on a Saturday and Sunday (including Bank Holidays) with only occasional events during the week. This is an on-going role. Equipment required We will provide full event briefing/risk assessment and all equipment required. Equipment will include pull up stand, arts and crafts materials and display leaflets. Location IKEA Belfast with regular visits to the WT Bangor office to collect/return equipment Experience / Knowledge required Event experience is helpful but not essential Experience working with children (accompanied by an adult) Arts and crafts experience would be desirable Knowledge of the Woodland Trust would be desirable Ability to drive (desirable) Ability to work without supervision Qualities required The ability to work independently at a busy event proactively engaging with IKEA customers and promoting the Woodland Trust Physically fit – you will need to be able to carry equipment (including compost) into the store and erect a pull up stand Excellent communication skills with both adults and children Key duties Attend an induction and training session Liaise with your volunteer manager Attend the events Ensure you are familiar with the partnership between Woodland Trust and IKEA Ensure you understand how the event achieves the Woodland Trust’s aims. Physically fit and able to erect pull up display stand and carry equipment in store Provide information and answer simple public enquiries. Distribute promotional materials. Engage and interact with the public to represent the Woodland Trust Engage with children (accompanied by adults) and help complete simple arts and crafts activities such as seed planting, mask making etc. Collecting some personal data from participant families. Keep a record of the time you spend on the task using the diary of activity provided. This helps to report the value that volunteering has on the work of our organisation. You may have the opportunity to support the Trust at events in your area. We will contact you when these occasions arise to see if you are available to help. Expenses Expenses will be paid for return journeys from home based on public transport costs or mileage at standard rates for the woodland trust. Health & Safety Follow the risk assessment provided for this role. The Trust has a health and safety policy. We will provide risk assessments where necessary. You will have a responsibility to flag up any risks the task may pose to you and discuss with your task manager Hours Event support Please keep a record of the hours you are involved with the task and send them to your volunteer manager as agreed. This allows us to measure the impact your volunteering has on the work of the organisation. As a Woodland Trust volunteer you may have the opportunity to support the Trust at events in your area. We will contact you when these occasions arise to see if you are available to help. Conflict of Interest It is important that volunteers avoid situations that give rise to a personal or business conflict of interest while undertaking their volunteer role. If a volunteer is in a situation where they may end up gaining financially or where there own self-interest and the interests of the organisation might be in conflict, it is important that the volunteer speaks to speak to their volunteer manager as soon as possible.
