Thank you for choosing the AIS as your training centre. We hope that the facilities and services meet your expectations and that your visit is a rewarding and enjoyable one. To help you achieve the most out of your AIS visit and to assist in maintaining a harmonious environment around the AIS, we are pleased to provide you with this AIS Guest Information. The AIS Guest Information document contains important information about AIS rules and policies that apply to your visit, and serves as your guide to the AIS. We kindly ask that you read the information carefully and ensure that you relay relevant details to the attendees, athletes, coaches and officials of your visit. We also suggest that you keep the document on hand for easy reference throughout the duration of your visit. The registration form can be found following this link, and is located at the end of this manual. Briefing Video Please follow this link to watch an informative video about staying at the AIS. 9 CAMP MANAGERS INFORMATION Upon arrival each attendee will be issued with a swipe access card. The cards will allow access to the Australian Sports Commission (ASC) Residence Reception area, each camp attendees accommodation block and room, afterhours access to residence areas, access to the common laundry and to the AIS dining hall. Access to most of our training facilities will not require swipe access. For access to restricted areas you will be issued a camp managers access card. Cards are programmed and tracked for the duration of your program. Please ensure that camp participants only access the specific AIS facilities indicated in the program. Collection of your camp manager card is from the site security office located next to the ASC residence reception. For younger groups, the camp manager and camp officials may be provided with block master keys. If any camp attendees are locked out of their rooms the block master key will allow access to an individual’s room. Block master keys will be issued during check in. Before your arrival all AIS camp participants are required to complete a registration and indemnity form. Completed forms should be returned to your ESC Coordinator prior to the start of your camp or handed in at Residence Reception upon check-in. The registration and indemnity form displays the ASC Anti-Doping Search and Discovery Program – AIS Domestic Guidelines. Please ensure all camp participants read these guidelines before signing their form. Camp attendees under the age of 18 will need a parent’s or guardian’s signature on these forms. As a group your meal times (as shown on your program and on the information boards at both ASC residence reception and the dining hall entry) have been coordinated with AIS kitchen staff. Please adhere to these times. Please ensure that all camp participants adhere to the rules of the ASC residences, dining hall and facilities as detailed in this manual and as advised by AIS staff. Failure to comply may result in the removal of the group from site. As group manager, it is your responsibility to ensure your group behaves appropriately at all times at the AIS. At the conclusion of your camp you may be asked to complete an evaluation form. This form provides the AIS and Events and Sports Camps with feedback on your camp and facilities which is used to make improvements for future camps. Filming and photography within the ASC residence and dining hall is not permitted at any time without prior approval. To discuss filming or photography in the ASC residence or dining hall, please contact your ESC representative. 10 GUEST RESPONSIBILITY As a temporary resident of the AIS you will be expected to observe the rules and regulations as they relate to the ASC Residences, AIS dining hall and AIS facilities. These rules are outlined in this information pack. When on site you are expected to: - Respect the right and property of others. Respect the property, equipment, facilities and programs of the AIS and the ASC. Refrain from actions which endanger the health, safety and welfare of any member of the AIS community or guests. Comply with the normal standards, rules and regulations of the AIS as well as with the Federal and ACT Government laws. Maintain the good name of the AIS in the public forum. Practice good personal and food hygiene. Immediately advise AIS staff if you feel unwell prior to arriving at the AIS or at any time during your visit and avoid entering the Dining Hall. On arrival at the AIS all guests are required to complete our registration and indemnity form agreeing that you will comply with the code of ethics and rules and regulations of the AIS. Failure to comply with the conditions of the agreement, or in the event of any breach of discipline or misbehavior on your part, may result in your rights as a visiting athlete or official being terminated. Swipe Access Card (Proximity Card) Each guest will receive a Swipe Access Card (Proximity Card) on arrival. This card gives each participant access to the ASC Residences, the dining hall and designated AIS facilities. It will also be used for identification purposes and should be kept with you at all times. The cards are programmed to operate for the duration of the camp and become invalid at its completion. These cards must be handed into Residence Reception upon checkout and prior to 10am. Any lost or unreturned cards attract a $40 fee. 11 AIS FACILITIES AND SERVICES Facilities While staying at the AIS you may want to use our world class training facilities. These include: - Basketball, Netball and Volleyball Courts - 50m and 25m Pool - Recovery Facilities (Spa/Plunge Pools) - Conference/Function Facilities and Meeting Rooms - Football and Multi Use Fields - Combat Training Hall (Wrestling Mats and Fitness Room) - Athletics Complex - Indoor Synthetic Pitch - AIS Arena - Gymnastics Training Hall - Commercial Gym - AIS Strength and Conditioning Gym Each facility is close to change rooms and amenities. Please note that NSO High Performance sports programs are the primary users of these facilities. All bookings are subject to availability. AIS Performance Support If your visit to the AIS is likely to include access to AIS Performance Support services, please contact your ESC camp coordinator for information on servicing prices and how to book. AIS Sports Medicine will provide general medical services only to National Sporting Organisation (NSO) athletes and their staff during business hours. Outside of business hours, anyone that is ill or injured will require to be taken to a local medical practice or hospital by the NSO. WHAT’S ON OFFER AT THE AIS During your stay at the AIS you may like to access some additional services that are available. These include: - High Performance Athlete presentation or Trivia Night Trained by the best session conducted by a high level coach or athlete Fitness sessions with our elite training staff Sports Experience within our elite training facilities Onsite catering, snacks, lunch and dinner packs Transportation services and bus hire If these or any other additional services are required for your camp, please contact your ESC camp coordinator for more information. Please note that all services are subject to availability and that costs may vary depending on the size of your group. AIS Aquatic Centre (map ref # 5-F) The AIS Aquatic Centre offers a unique experience to the general public – utilising the same facilities that were first constructed for the development of high performance athletes. The Centre incorporates Aquatics Operations, Fitness Centre, Swim School at the AIS as well as National Sporting Organisations (High Performance teams). The AIS Aquatic Centre offers an Olympic size 50 metre eight lane heated indoor pool, a 50m 10 lane testing and training pool (High Performance access only), a 25m 6 lane heated indoor pool, spa and plunge recovery facilities, gymnasium as well as a comprehensive program of fitness and learn to swim classes designed to cater for all levels of experience and ages, including holiday programs for children aged 5 – 13. AIS Tours (map ref #5-I) Our 90 min tours run daily at 8.30am, 10.00am, 11.30am, 1pm and 2.30pm. We can also run specialised evening tours. 13 These tours are guided by an elite athlete visiting world class facilities including the AIS gymnastics hall, swimming complex, basketball/netball hall, volleyball courts and athlete gym. Your tour also includes Sportex, the hands-on interactive exhibit where you can challenge your athlete guide to sports such as rowing, basketball, rock climbing and downhill snow skiing. AIS Shop (map ref # 5-I) While staying at the AIS you may want to check out our great range of AIS-branded apparel, toys, souvenirs, accessories and more. Make your way to the AIS shop located in the AIS visitor Centre. The AIS Shop is open Monday to Friday 9am – 5pm and between 10am-4pm on Saturday, Sunday and Public holidays. The AIS café has a range of salads, gluten free products, sandwiches and hot food options available. Our caterers are dedicated to providing our clients, staff and athletes with quality catering options and will meet all of your catering needs. 14 For further information and to get a copy of our catering compendium please contact your ESC coordinator or check out our website for more information here. 15 National Sport Information Centre (NSIC) (map ref # 5-D) The National Sport Information Centre (NSIC) facilitates a comprehensive range of sport information services and resources. The NSIC is open to the public from 8.30am to 5.00pm Monday to Friday, and after-hours access is available upon request. NSIC services and resources include: - Meeting facilities and spaces suitable for small groups and larger teams - AV viewing facilities including large screen projectors and reception to Fox Sports, Eurosport, and ESPN - Access to a comprehensive range of sport related print and electronic literature, competition video collections, and DVD duplication and editing facilities - Gaming consoles, 3D plasma screens, and complimentary Internet access and - Sports Lounge with newspapers and magazines, iPads and other interactive media. Our staff can provide induction and training sessions to help ensure you make the most of your time within the NSIC. When returning home, be sure to stay connected and up to date with your sport information needs. Filming and Photographic Services The National Sport Information Centre provides filming and photographic services for some events and camps. If you are hosting a conference or a national team camp and are interested in these services, please contact the NSIC on (02) 6214 1240 or nsic@ausport.gov.au 16 GENERAL PARKING There are four main parking areas for visitors as indicated on the AIS Site Map included in this manual. Their locations are: Car Park 5-L - located adjacent to the Track and Field facility; in front of Canberra Stadium and at the end of Battye Street. This car park can accommodate buses. Car Park 1-H - located adjacent to the playing fields located on Masterman Street. Car Park 8-I - located across from the AIS Arena and at the corner of Leverrier Street and Battye Street. This car park can accommodate buses. Car Park 5-A - located at the northern end of the site, behind the ASC residence, off Leverrier Street. This is the staff car park and is available for residential guests. This car park is not suitable for buses. BUS AND COACH PARKING All Busses and Coaches must park in car parks 5-L or 8-I. BUS/COACH PICK UP AND DROP OFF ZONES There is a 15 min pick up and drop zone located along Leverrier Cres next to the ASC and AIS residence (7-C) as well as in front of the AIS Arena (6-J). These areas indicated on the AIS Site Map. Please note that these are not parking zones and any bus or coach parking in these zones may be fined. These areas are for pick up and drop off only. We request all bus and coach drivers to refrain from parking for pick-up far in advance of the time required as this blocks access to other vehicles that may need to use the bays for immediate pick-up or drop-off. 17 AIS VEHICLES AND TRANSPORT Approved guests at the AIS can access a range of vehicles from cars, taragos and 12 or 21 seater busses. ESC can also assist you with transport to and from the airport or various locations in Canberra by providing drivers. Please contact your ESC coordinator for details about availability, prices and how to book our vehicles. Vehicle Use Rules Any damage incurred to the AIS vehicles whilst under hire must be paid for by the hirer. The cost of any damage is capped at $500 which is the standard excess that applies. Vehicles parked illegally (eg. in walkways, emergency exits) will be booked and the camp liable to pay. Vehicles should be collected and returned to the AIS stores department during business hours. Collection and returning after hours is by negotiation. The 21 seater bus (Coaster) is classified as a heavy vehicle. Therefore a 100km speed limit applies when driving the vehicle. At no time should this limit be exceeded. All drivers of this vehicle must have a minimum of a light rigid (LR) license. Any mechanical difficulties with the vehicle should be reported to NRMA by telephoning 13 11 11 (the NRMA membership card is included in the vehicle pack). Please report any problems/defects with vehicles (eg. flat battery, tyre leaks etc.) to your ESC coordinator. Fuel is the responsibility of the hirer. Vehicles must be returned fully fuelled, if not, a refueling charge will apply. The cars and small busses require– Unleaded Fuel and 21 seater bus (Coaster) requires Diesel. Please ensure you check before filling your vehicle. Vehicles should be returned in a clean and tidy state, and full of fuel or the hirer will be liable for cleaning and fuel costs. 18 AIS RESIDENCES (MAP REF # 5-C) Our friendly Reception team are on duty from 7.30am to 10pm Monday to Friday (8am – 10pm Saturday and Sunday) located at the entry to AIS Residence of Champions. In addition to coordinating arrivals and departures for all guests, our Reception team provide a variety of information and administration services to assist you and your group during your stay. We encourage you to fill out a guest comment card at our Reception on departure to provide us some feedback about our services and facilities so we can aspire to serve you better. Please click on this link for further information on the AIS Residences RESIDENCES GENERAL INFORMATION What to bring to the AIS When you arrive at the AIS residences you will be required to make your bed. We provide fresh linen and a towel, and all rooms are serviced on a weekly basis. We also recommend that you bring: - toiletries including shampoo, conditioner, and toothpaste (not included in rooms) - additional soap (soap is supplied in your rooms) - a hat and sunscreen - camera - iPod with earphones - autograph book - alarm clock (if you have early sessions) - suitable sporting attire including bathers, training equipment, wet weather gear and non-marking shoes - A spare towel if you intend to use the AIS pool or recovery facilities - money for expenses including phone cards, washing powder, AIS merchandise, snacks etc - medication requirements including Ventolin inhalers (see declaration of medication page 18) 19 Check In Procedure Check-in at the ASC Residences is open from 1.00pm daily. If you require an earlier check-in please request this through your ESC coordinator who will liaise with Residence to determine if it is possible. When you check in, please ensure that all indemnity forms have been completed, signed and presented to our residence staff for review. Group Briefings After your group has been checked in by our friendly staff we will brief you on the rules and regulations of the AIS residence and campus. Your briefing will be conducted by either an ESC representative or an AIS Residence staff member. For those high performance groups guests staying in the AIS Residence, your briefing may be conducted by an AIS Residence welfare officer. All briefings are important and you should schedule at least 15 minutes in your program to ensure your group understand the rules that apply to all guests at the AIS. Out of Hours Arrivals If you are arriving to the AIS after 10pm and before 7.30am you may be required to check in with our security office if our reception is closed. The security office is located next to the AIS residences. Please inform your ESC coordinator who will liaise with the Residences team to ensure your out of hours check in is as smooth as possible. 20 Check Out Procedure The check-out time for the ASC Residences is 10.00am on the day of departure. Please note that a storage area for luggage can be arranged if your camp runs past the checkout time on the day of departure. Any late departures must be requested before arrival. Due to very busy arrivals and departures, late departures may not be possible and/or may incur additional charges. Bed Making and Linen Fresh linen is supplied for guests staying at the AIS however it is the responsibility of the guest to make their bed upon arrival. Please discuss this with your group to ensure that they are aware and that they know how to make their bed. You are supplied with two flat sheets, a doona, a pillow and pillow case and a towel. Bed making is available at a fee. Declaration of Medication When you arrive at the AIS you will be required to declare any medication you are bringing onsite. This is to ensure that all medication is recorded and listed for any ASADA representatives conducting athlete drug testing. Declaration of Illness If you or any of your group is unwell prior to arriving at the AIS, please urgently discuss this with your ESC contact for advice on whether or not it is appropriate to stay at the AIS. If you or any of your group feels unwell at any time whilst staying onsite, this needs to be reported to residence reception or your ESC contact immediately. After reception closing time, illness must be reported to security as soon as it occurs. If anyone has to be taken to see a doctor, go to hospital or needs an ambulance due to illness or injury, this must be immediately reported as well. As provided under AIS Vehicles and Transport (p16) and subject to availability (business hours only), ASC vehicles may be utilised by a group if they need to take someone to see a doctor or to hospital. Outside of business hours, personal arrangements need to be made by the group/group manager. For illnesses within residences, an established action plan (endorsed by ACT Health, AIS Sports Medicine) will need to be followed until there is a clearance provided by a medical doctor. Please follow the directions of residences staff who will put various actions and arrangements in place to ensure the comfort and well-being of the affected guest(s). This is to ensure that any spread of illness to your group or other guests is minimised and contained. 21 For example no ill person must enter the Dining Hall under any circumstances. Staff can assist with making arrangements to obtain light meals if required during meal periods. Some immediate measures to prevent illness are to observe good hand hygiene practices. It is highly recommended that everyone washes their hands with soap and water on a regular basis in addition to using hand sanitisers. Sharing of towels is discouraged. If anyone is ill, bathrooms used by the ill person must not be shared and they are best to be isolated into a different area. Residences will organise sanitisation of areas where anyone who has been ill is located. While only NSO athletes and staff are able to make an appointment to see AIS Sports Medicine staff, this is only available during business hours. Noise Curfew Many athletes are involved in heavy training and/or competition schedules and require plenty of rest. A 9.30pm noise curfew exists throughout the entire AIS Residences. The building design does create some problems in that normal conversations can be amplified throughout a block, so please keep this in mind after 9.30pm. Behavior Please remember that as camp managers and officials, you are responsible for the behavior and welfare of your group, not AIS staff. Please ensure that all members of your group are fully aware of their responsibilities during their stay at the AIS. As the camp manager your duty of care must ensure that supervision of athletes and students is observed at all times. This extends to all areas at the AIS including the dining hall and training facilities. Damage to Property Breakages or building defects should be notified to ASC Residences Reception immediately after check in. Willful damage to any part of AIS property will be paid for by the offender. Security of Your Property Always lock your room, and while your clothes are washing or drying in the laundry, stay with them. Don’t leave valuables lying where they can be seen. It is also recommended not to keep large sums of money in your room. 22 Doors should not be chocked open at any time. Care of Rooms All camp attendees are responsible for the tidiness and care of their rooms. Rooms will be cleaned professionally once a week with cleaners commencing from 8:30am. Floors and basins must be kept clear of clothes and other gear so that cleaners can operate effectively. Sheets and pillow cases will be laundered once a week. Used linen is to be placed neatly on the floor of your room on your blocks linen change day. Fresh linen will be placed in your room. Any food in rooms is to be kept in sealed containers or in the refrigerator. Maintenance Please advise residence reception of any mantenance requirements as soon as discovered so these can be rectified during the maintenance department’s operating hours. Whilst all efforts are made to fix things on the day, if reported after 3:30pm it may only be attended to if it is an emergency, or will have to wait untill the next business day. Roofs, Ledges, Window Sills No person is permitted to climb out of windows, onto roofs and ledges or use public areas for sunbathing. Please do not use ledges, roofs or window sills for hanging clothes, footwear or any personal items. Messages, Mail, Packages Messages, mail and packages for residents will be available at Residence Reception. Access and Mobility Please note that all single and bunk rooms at the AIS are accessed by some stairs. Flat accommodation at the AIS is generally wheelchair accessible. If you or anyone in your group has special access needs or mobility limitations, please discuss with your camp manager or ESC contact prior to arrival to at the AIS. 23 RESIDENCES FACILITIES AND SERVICES Group Accommodation Facts There are three styles of accommodation at the ASC residences - single rooms, bunk rooms and self-contained flats. Along with the first-class sporting facilities and the opportunity to interact with high profile athletes, you are sure to have a unique experience within our accommodation. Facilities at the residences include cable television, games/recreation room, healthy buffet-style meals, extended dining hours, free parking, wheelchair access (limited rooms) and free laundry facilities. All single/bunk rooms include: - fridge built-in cupboard fan heater sink mirror king single bed/or bunk bed bed linen and towel Each block of 12 single rooms has a common room with a television lounge area, ironing board and iron. Toilet and shower facilities are shared. Our self-contained flats comfortably cater for up to four guests. Most apartments contain: - kitchenette bathroom washing machine, drier, iron and ironing board king single beds for four people (no double beds are included) linen and bedding television heater and fan Laundry Facilities (map ref # 5-C) The AIS Residences has a laundry for visitors containing washing machines, dryers and a washing tub. Please remove your washing from the machines as soon as the cycle is complete so that others can use them. No responsibility is taken for leaving clothes or property unattended in any area. Access to the laundry is via your swipe access card. 24 Use of the machines is free, but you must provide your own detergent. This is available for purchase from AIS Residences Reception. Extra towels can be obtained from AIS residence reception for hire at $2.60 per towel. Lost or missing towels are charged at $16 each. Wheelchair Accessible Rooms The AIS Residences include limited wheelchair accessible rooms (in flats) for visitors. If you require a wheelchair accessible room(s), please contact your ESC coordinator at the early stage of your booking process to discuss your needs and find out availability. Common Rooms Common rooms are available for your use when staying at the AIS. Each block includes one air-conditioned common room fitted with couch, ironing board and TV where you can view all free to air channels, Fox Sports channels including ESPN and Euro Sports and a variety of Movie Channels. There is also a larger common room named Sweeteninies located in the ASC Residences. The room includes a large flat screen TV and comfortable couches. If you would like to book Sweeteninies please contact your ESC coordinator or see our friendly residence staff upon arrival. Please ensure when you are using the equipment in our common rooms that you obey the noise curfew from 9.30pm. Courtyard The courtyard within the ASC residences is a great place to muster groups as well as participate in leisurely activities. We do ask that common sense and safety first procedures are adhered to. Consideration for all residents should be taken into account. No ball games are allowed within the courtyard area. The cost of any damage incurred by poor behavior will be met by the guests concerned. 25 Wi-Fi Internet Access Public wireless is not available in the ASC Residence rooms, however the wireless network can be accessed in the residence courtyard as well as various other public spaces and venues throughout the AIS. Recreation Hut The recreation hut contains stools and round tables, table tennis and pool tables, a range of video games, a TV and DVD unit. The recreation lounge is open from 10am 9pm each day. Pool cues and table tennis equipment are available for hire at ASC Residences Reception for $5 each. A $20 deposit is required to borrow the equipment for 2 hours hire, with $15 returned after use. Any damaged equipment will incur a loss of the deposit payment. Additional Services and Equipment Extra towels (chargeable to group account, requires approval from group manager) Bed making (normally organised before arrival however if required, please inform Reception, charges apply) A wheelchair is available for temporary use if required. Please report all injuries and fill out an injury form provided by reception. Storage of luggage on departure day (only for residents, limits apply, please check with Reception) Receipt of mail and couriered packages Printing, copying and scanning documents. Items for Sale @ Residence Reception Miscellaneous: internet cables Snacks: Chocolates and Chips Toiletries: toiletry bags, miniature toothbrush/paste, deodorant, washing powder, 26 razors, shower gel, shampoo and conditioner. Towels: If your room towel needs changing you can swap old for new at Reception. Charges apply for extra towels. Please note, towels may not be taken out of the Residences. You will need to provide your own towels when using our pool and recovery facilities. 27 AIS RESIDENCE GENERAL RULES Main Residence Rules 1. No alcohol is to be brought into or consumed within the AIS Residence. 2. None of the following items are to be brought into the AIS Residences: - Weapons - Animals - Illicit drugs - Toxic substances - Anything that is likely to cause injury to a person or damage to property 3. Prohibited substances including illicit or performance enhancing drugs are not permitted within the AIS Residences. 4. Riding bicycles, skateboards or rollerblades within the perimeter of the ASC Residences is not permitted. 5. Fire equipment, such as extinguishers, hoses, room doors and door closers, must not be used improperly. 6. Smoking is not permitted anywhere within the AIS Residences (including the courtyard). Please ask our friendly staff to direct you to our smoke friendly areas. 7. Rooms must be maintained at an acceptable level of cleanliness and tidiness. Sheets and towels will be replaced on a weekly basis. Additional towels are available from reception for a small fee. 8. At all times residents remain subject to the general laws of the ACT. 9. Aerosol cans such as deodorant and hair spray, as well as hair straighteners can set off the fire alarms. Please use these responsibly to avoid setting of the alarm. Please be aware that if fire alarms have been set off deliberately or damaged in anyway a charge may be added to your account. 10. All residents are expected to control noise especially in public areas like the Dining Hall and on the way in and out of the residential complexes. Noise within the accommodation must be controlled so as not to disturb other residents especially as many are athletes who need a quality sleep and rest while training and preparing for important competitions. There must be no noise at all after 9:30pm. Any complaints will be handled immediately and may result in removal of individuals from the residences if there is no compliance. 28 Children in Residence The AIS Residences provide living and dining facilities for a wide range of individuals and groups including live-in athletes, visiting athletes and staff.. The ASC and the AIS does not exclude guests with family responsibilities; however the AIS residences have been established for athletes and do not fully cater for the needs of young children living within the residences. Children under the age of seven (7) years will not be eligible to stay at the AIS Residences except where all of the following criteria have are met: - The parent or guardian of the child needs to reside in residential facilities because they are an athlete or coach attending the AIS as part of an approved training program; - Alternative off-site accommodation is considered unsuitable in this case; there is an available 'flat' within the residences that has been designated by the ASC as being suitable for housing children; - The duration of the residential stay is a temporary, short term requirement; - The parent or guardian provides a constant and direct level of care and supervision for the child or children acceptable to the AIS. - Any child between the age of 7 and 12 years (including child athletes visiting the AIS for a period of less than 3 months) must be supervised and cared-for by an adult at all times within the ASC residences, including in the dining hall, and other on-site facilities. The ASC and the AIS will not provide this supervision. - Anyone wishing to have a child in the Residences must seek and obtain ASC/AIS approval prior to their arrival. Please contact your ESC coordinator to gain approval from ASC management. Late Night Access to Residences 1. At all times a security swipe card is required to go from AIS Residences Reception to your accommodation. 2. The front doors to reception will be locked at 10:00pm each night through to 7:30am the following morning (8:00am Saturday and Sunday). Residents entering or leaving between these times will need their security swipe cards. 29 3. A security guard is permanently stationed overnight at the AIS Residences. Any instructions from the security guard should be obeyed. The security guard is often patrolling the AIS site, and residents requiring afterhours access may alert the guard by pressing the button located beside the main door. 4. Residents should note that they will need their swipe access key to gain access to the AIS residences after 10pm. This is to ensure that the blocks are secure, quiet and free of unwanted visitors. The security guard will not access blocks or rooms for residents. We expect camp attendees to be thoughtful and responsible in carrying their security swipe card and keys for afterhours access. If locked out after reception closing time, residents can call security for assistance dialing 6214 1616 as well as for other assistance. For emergencies, dial (02) 6162 3333. 5. The gate between the laundry and residences is automatically locked each evening between 10:30pm and 6:00am. Your security swipe card will not allow access to the AIS Residences through the gate during this time period. Rules for Visitors 1. All visitors to the AIS residences must sign in and out via residence reception. 2. Visitors cannot stay overnight in the AIS Residences. 3. Visitors must leave the AIS Residences by 9pm. Visitors arriving after 9pm will not be granted entry nor will the guard contact the athlete/official. 4. The behavior of visitors within the AIS Residences is the responsibility of the manager/athlete/official they have come to visit and/or the athlete/official whose security swipe card opened the door. Athletes and officials must ensure that their visitors uphold the rules contained in this manual and they must escort their visitors around the AIS Residences at all times. 5. Visitors must not leave their property in the camp participant’s room. All property in a camp participant’s room is their responsibility and may be subject to a search and possible seizure. 6. No visitor will be granted swipe card access to a room The purpose of these regulations is to maintain a safe environment for all athletes and officials. We wish to avoid any dangers that may arise from allowing free access to visitors to the site. Some degree of inconvenience to athletes and officials is inevitable in order to achieve an acceptable level of security. 30 THE AIS DINING HALL (MAP REF # 7-C) The AIS Dining Hall is committed to providing all camp attendees with high quality nutritious meals. When using the dining hall please respect that there are many other groups and individuals using the facility. Each group has been allocated meal times that are listed in your camp program. Please adhere to these times, to ensure that all groups have an equal use of the dining hall facility. While you are staying with us please contact your ESC coordinator if you need to adjust your meal times. Each groups dining hall meal time is listed at Residence Reception and at the entrance to the dining hall facility. If you are unsure of your meal times please contact your ESC coordinator or see our residence staff when you arrive. Opening and Closing Hours The AIS Dining Hall is open at the below times: Breakfast Monday – Saturday 6.30am – 10am Sunday 7.30am – 11am Lunch Monday – Sunday 12pm – 1.45pm Dinner Monday – Sunday 5.45pm – 8.45pm Please adhere to the times indicated in your program. Access to the dining hall is by use of your swipe access card. Wheelchair access is through the gate to the left of the turnstile. Please alert the Residence Reception staff prior to entering the Dining Hall to unlock the gate. Athlete Priority Access The AIS is home to some of Australia’s best athletes. As part of their daily training regime, access to the nutritious food served in the dining hall plays an important part in refueling their body to be able to train and perform at the highest level. Guests to the AIS must ensure that all high performance athletes have priority access to the food servery area as well as seated areas. If you are unsure about this, please speak with a dining hall monitor. 31 Dining Hall Monitors Dining hall monitors are on duty during meal times. They control access and coordinate the flow of people during meal times; they also provide guidance with the appropriate locations for seating. Please ensure that you listen and respect the guidance given by the monitors on the day. If you have any questions regarding the use of the dining hall please ask our friendly dining hall monitors on duty. How to use the Dining Hall The AIS dining hall is a self-serve buffet. The buffet has 2 sides. Side one is usually allocated to high performance groups only. Side 2 is allocated to all camp groups. Please ensure you stick to the correct side of the buffet as directed by the dining hall monitor. Upon entering the dining hall each guest will be asked to use the hand sanitisers provided. Camp participants are requested to take small serves of food and return as frequently as desired to limit food wastage. Wasted food is not only costly but reduces the variety for those eating later. No food is allowed to be taken outside the dining hall at any time. Once you have finished eating each guest must take their cutlery, crockery and any rubbish to the wash station located at each side of servery. It is highly advisable to wash hands with soap after eating in accordance with good hand hygiene practices. The dining hall is not a place to hold team meetings. Please ensure noise levels are kept to a minimum so that everyone else can enjoy their meal. Plated Service From time to time, the AIS dining hall will have kitchen staff available to assist with the service of food to guests. This service is available when the dining hall is busier than usual. Catering for Special Diets at the AIS Dining Hall At the AIS, we are committed to providing a supportive food environment that caters to a range of dietary needs. 32 The AIS Dining Hall buffet contains fresh vegetables and a significant salad bar which contains a wide variety of salad ingredients individually presented, and a salad/s dish prepared fresh daily. Additional to this, we always provide at least 2 different protein options for selection. How the AIS Dining Hall Addresses Specific Food Allergies: All catering staff at the AIS Dining Hall are required to undertake and maintain training with regards to “Allergen Control Policy” and “Allergen Awareness” in the kitchen and meal preparation. All catering staff are trained with regards to the importance of allergies and the subsequent need to follow recipes closely and avoid cross contamination. This training is undertaken in collaboration with the AIS Foodservice Dietitian. All meals/prepared dishes have accompanying nutrition cards which will specify nutritional information, along with listing any allergens added in the dish (i.e. contains eggs, fish or shellfish, gluten, soy, milk, wheat etc.). Food Allergy: Food Allergy is a harmful immune system response to a food protein. The allergy occurs due to the body mistakenly identifying the food protein to be harmful. A food allergy is distinct from food intolerance. Intolerance is the inability to properly digest certain foods. Anaphylaxis: Anaphylaxis is the most severe allergic response, which can potentially be life threatening. It is a requirement that anyone with a known food anaphylaxis carry an Epipen with them at all times whilst in the AIS Dining Hall. The manager of the visiting group is responsible for ensuring that a person trained in issuing Epipen or other auto injector of adrenaline is in attendance with the visitor with food allergies to administer the medication as required. Bringing Your Own Food: If our current menu cannot accommodate your special dietary requirements, with prior arrangement, the AIS Dining Hall can accept guests individual ‘special’ foodstuff (pre-packaged meals, snacks) brought from home. Our chefs will accept / receipt the goods and store them appropriately in line with food safety standards and requirement. These will then be available as required by letting the Dining Hall staff know. This will purely be a reheating process, no cooking / meal preparation included. Notification: It is a requirement of those organising or managing a visiting group to notify the AIS of any special dietary requirements of members of the group. Special Dietary Needs at the AIS – Request Form (see page 5) will need to be completed and 33 signed by each person who has special dietary needs. Notification of Special Dietary Needs is required no later than two (2) weeks prior to your AIS visit. Please send all completed dietary forms for your group to your ESC coordinator, bookings@ausport.gov.au Below we have summarised what we currently do on a daily basis to help cater to some food allergies/intolerances. Further to this, we also ensure that all meals are accompanied by a nutrition card that clearly states all ingredients and any allergens that are present within that dish. If you have provided notification of your special dietary needs via the below form, but require further individualised dietary assistance beyond what is described below, please email foodservicedietitian@ausport.gov.au. This will allow our Foodservice Dietitian onsite to contact you directly to help meet your dietary needs. Reasons that you may need to contact our Dietitian outside of the details provided below may include: 1. Your allergy/intolerance is not included in the table descriptions below; 2. You have severe or multiple allergies that will require more in-depth Dietitian management to ensure that you are able to consume adequate nutrition from the menu; 3. You follow a strict Vegan diet; 4. You require a Kosher or Halal diet due to religious/belief reasons. The AIS will make every effort to cater for special dietary requirements as outlined above. Personal dietary preferences of likes or dislikes, on the other hand, are adequately catered for in the variety available in the standard meal offerings and hence no further special provisions will be made. AIS Dining Hall - Special Dietary Requirements Summary Please note that an information card is located for guests to refer to at each meal. These information cards will provide specific dietary information about the meal, as well as clearly state the ingredients and possible allergens present in the food. We urge all guests that have one of more of the below dietary requirements to refer to these information cards at each meal and speak to a dining hall staff member if further information is required. Dietary Requirement Vegetarian What We Provide Daily At each meal at AIS Dining Hall, we will provide a suitable Vegetarian Further Comments NOTE: This does not include vegan 34 option to choose from. This is accompanied by a range of vegetables and fresh salad bar (lunch & dinner only). Nut &/OR Seed Allergy (including anaphylaxis) Coeliac Disease (Strict Gluten Allergy) Gluten or Wheat Intolerance Peanut: We are a peanut free kitchen at all times – they are not used at all within the AIS Dining Hall. Tree Nuts (walnuts, almonds, cashews, pistachios, pecans): Our breakfast cereals contain no nuts in the ingredients, however do state that they are made on equipment that also produces cereals that contain ‘milk, soy and tree nuts’. Sesame: The AIS Dining Hall does receive some breads that have sesame seeds on the outside of the bread. No breads containing sesame seeds will be used in lunch packs. Gluten Free Cereals & Breads are readily available at the AIS Dining Hall for those with Coeliac Disease. This also includes the use of a Gluten Free toaster to avoid crosscontamination. Please see our Dining Hall monitor if you need help locating these. Dining Hall staff will be made aware of your arrival and we will also have Gluten Free protein options available at all meals, plus a range of vegetables & salads to choose from. Just ask the staff over the counter for your Gluten Free protein option to be served separately for you if preferred. Our menu will always ensure that there is always at least one gluten free meal option available, however if you need further assistance, please discuss with one of our chefs dietary requirements. If vegan, please contact our Foodservice Dietitian. If you need more clarification regarding our kitchen standards, please contact our foodservice dietitian. If you would like more information for food standards for Coeliac Disease, please contact our Foodservice Dietitian. 35 over the counter to clarify any ingredients or help source an alternative. Egg Allergy Lactose Intolerance Milk &/or Dairy Allergy Fish &/OR Shellfish Allergy If you require further assistance, please ask the chefs over the counter for further information or an alternative if needed. Soy milk and lactose free milk are provided as milk alternatives in our Dining Hall daily and will be easily accessible during your stay. Depending on your sensitivity to lactose, you may need to check the ingredients in our meals to ensure that you are comfortable during your stay. Above all of our meals in Dining Hall are our nutrition cards that clearly state all of the foods ingredients and also state any allergen alerts. This will include any dairy products. Soy milk is provided as a milk alternative in our Dining Hall and will be easily accessible during your stay. Above all of our meals in Dining Hall are our nutrition cards that clearly state all of the food’s ingredients and also state any allergen alerts. This will include any milk or dairy sources if they are present in any of the ingredients. If you cannot see a suitable option or require some ingredient clarification, please ask the chefs over the counter to arrange a suitable alternative if needed. Our menu will always provide at least one option that is free from any seafood. However, if you cannot see a suitable option or If your egg allergy is severe and airborne, please contact our foodservice dietitian so we can manage this appropriately during your stay. If you require other alternatives during your stay, please contact our Foodservice Dietitian to see what we can provide and what you may need to bring with you. If your allergy is severe (particularly if airborne) or if you require other dairy alternatives, please contact our Foodservice Dietitian to see what we can provide and what you may need to bring with you. We can cater for a Halal diet by ordering product from a certified Halal supplier on an as needs basis. Additional charges might apply. Dress Code All camp participants must be appropriately dressed when in the dining hall. The guidelines are as follows: - Tops must be sleeved (i.e. singlet tops for males are not permitted). Brief clothing and training gear is not permitted. Footwear must be worn at all times. Athletes must not come straight from training to the dining hall without showering. Athletes / officials are not permitted to wear caps / hats in the dining hall. No bags are to be brought inside the dining hall. They are to be left outside in the bag rack area. Any important equipment such as laptops or phones is able to be brought in. Anyone not observing these conditions will be asked to leave the Dining Hall and return when suitably attired. 37 Dining Hall Conduct The following conduct must be adhered to: - Residents and visitors must not sit on tables, or place their feet on chairs. - At certain times there may be congestion in the dining hall. In these situations non-resident guests are requested to give high performance athletes priority and follow all instructions given to them by AIS staff and the dining hall monitors. - No food is to be removed from the dining hall during meal times. Food is ordered to meet anticipated needs. Dining hall guests are permitted to eat as much as they wish within the dining hall, but wastage is strongly discouraged. Please take what you need, remembering that you may return for extra serves. Additional Meals During your stay at the AIS you will receive 3 meals/night stayed. Any additional meals past this amount will be charged. Please speak with ESC if you intend to have additional meals.. Meals for Offsite Camp Attendees If you require meals for outside attendees to your camp please provide the name and details of the attendees to your ESC coordinator. These will also be charged at $15/meal. Snacks While staying at the AIS you may want to organise nutritious snacks for your group. Our kitchens staff and Nutrition team can provide the following snacks for your group including: - Creamed Rice Fruit Tub K-Time cereal Bar Muesli bar Piece of fruit Muffin Yogurt Up and Go Up and Go Energize 38 If snacks are required please contact your ESC coordinator for information on ordering and prices. 39 ADDITIONAL EVENTS AND SPORTS CAMPS INFORMATION Spa and Plunge Bookings The recovery pool bookings are controlled through the ESC department at the AIS. It is the responsibility of group manager to make the appropriate bookings requests through ESC. During periods when no booking has been made, the spa and plunge facility is opened to the general public to utilize within the Aquatic Centre’s operating times. Public have both general entry and multi visit membership payment options. It is pool receptions responsibility to be aware of upcoming bookings and inform public members accordingly. Sauna Bookings Sauna use is prohibited at all times by general public members and is only available to NSO’s via the appropriate booking process through ESC. NSO bookings must be fully supervised by NSO personnel at all times. Pool attendants are responsible for checking upcoming sauna bookings and turning sauna on/off as needed. Spa and Plunge Facility Access Recovery pools and sauna access is restricted and strictly monitored by pool reception. Access is via either proxy swipe card or by electronic door release push buttons located inside pool reception. Swipe card access is controlled by AIS Security in conjunction with approval from Aquatic Centre Management. General visit patrons are required to make appropriate payments to pool reception, receive entry wrist bands and be granted access by the receptionist. Pool reception must continue to monitor the personnel that come in and out of the area. For group bookings, reception is required to contact pool attendants upon their arrival. Pool attendants are to communicate the conditions of entry and appropriate protocols of facility use before granting access. The conditions of entry, recovery pools and sauna protocols are also displayed in the area for referral. Facility Supervision The GSPO (released by Royal Life Saving Society Australia) and Royal Life Saving ACT annual facility audits have been considered in determining facility supervision. The GSPO recommendation can be found under ‘SU11- Supervision of Isolated Areas’. Given the area falls under “isolated Area” according to the GSPO, there are 40 alternate arrangements for supervision of the area in comparison to our general swimming pools. Pool attendants are responsible for the supervision and incident response of the area. Supervision entails ensuring the proper use of the facility to safeguard both the clients’ safety and damage to the facility. This includes ensuring the number of patrons utilizing the facility can be safely accommodated and that the conditions of entry are being upheld. The recommended appropriate number of patrons using the area at a single time is: Spa/plunge area Spa Pool Plunge Pool Sauna 15 people 8 people 4 people 8 people Physical area inspections are carried out every hour in combination with constant regular security camera monitoring. Inspections are to be recorded in the Pool Operations daily checklist. The security monitors are located in the pool attendant’s office and Pool Operations Supervisors office. Pool reception is also responsible in continuing to monitor the area and is required to inform pool attendants of any issues that arise. Emergency buttons are available to patrons and are located between both the spaplunge pools and inside the sauna. It is the pool attendant’s responsibility to attend the area immediately in the event the button is triggered and initiate appropriate responses. Remember: - You must shower beforehand. Most people are coming in from training and are still covered in sweat, this quickly kills off the chlorine which is in the water for disinfection and with large groups it is impossible for the automatic dosing to cope with the load. The chlorine not only disinfects but converts to chloramines which cause the stinging and sore eyes - You must hydrate regularly. There are guidelines posted on the walls in both spas which give the ideal recommendations for use, so read them before using the spas. - Occasionally the pools are closed due to the need for repair of equipment that may have failed, or the water in the pool being unusable from overuse. Please check with attendants or pool reception prior to use. 41 Spa and Plunge Pool Rules When using the AIS spas and plunge pool, please ensure you adhere to the following conditions of hire: 1. All persons using the spa and plunge pool must wear swimming costumes. 2. Patrons should shower and use toilet facilities before entering the spa and sauna. 3. Strapping tape must be removed prior to spa entry. 4. Follow the instructions for using the spa and sauna as outlined on the wall of the facility – patrons are encouraged to hydrate during the session. 5. Keep your head out of the water in the Spa. 6. Finish the spa with a shower. 7. Do NOT use the spa or plunge pool when you have any of the following: - A cold - A virus - Diarrhoea - Any cuts or bruising - A recent injury 8. Patrons may use a water bottle to hydrate during the session. No other drink or food is permitted in the facility. 42 Swimming Pool Rules When using the AIS Swimming Complex please ensure you adhere to the following conditions of hire: 1. All patrons must wear a swimming cap. These may be purchased from pool reception. 2. No T-shirts or foreign objects are permitted in the pools. i.e. streamers and paper. 3. No glass of any description is allowed on pool deck. 4. No chewing or bubble gum is permitted in the pool complex. 5. No sitting or standing on anti-turbulent lane ropes. 6. No running, jumping, spitting or bombing. 7. Food or drink is not to be consumed near pool concourse. 8. Abrasions, lesions and rashes are to be checked by First Aid attendants before entering pools. 9. Patrons should shower and use toilet facilities before entering the pool. 10. Pools have limit of 15 people per lane. Qualified Pool attendants supervise both pools. All Pool attendants are First Aid qualified should you require any assistance. Swimming Pool Guidelines - All users of the facility must adhere to the facilities conditions of entry. These are stipulated at the entrance to the facility. - Hirers should cooperate with any instructions issued by the Lifeguards on duty or that of an ASC/AIS employee in relation to the use of the facility. - No private coaching or swim teaching is allowed within the pool unless approved by ESC. - All setup, details, operations schedules are required at least 1 week prior to your booking. 43 - Hirers are only permitted to use the lane/s in which their booking has been confirmed by ESC; and only for the confirmed period of time. AIS sports programs are the primary users of the venue. All bookings must work around their scheduled training times and sessions - Change-rooms are accessible for use by the Hirer/s. The change-rooms should be left in a clean and tidy state. If any incidental or wilful damage arises, it must be reported to Lifeguards on duty or ESC immediately. When moving between the spa/plunge and change rooms please ensure that you are dry. For further information on the use of change rooms please contact your ESC coordinator. - As per the AIS Conditions of Hire, the AIS reserves the right to change confirmed bookings including at short notice. Should a booking change occur the AIS will relocate the Hirer to another facility (where available), amend the booking time (where available), or cancel the booking. Should a change be required, ESC will notify the hirer with as much notice as possible. 44 Medical Treatment Please note the following with regard to any pre-existing or acute injuries or illness encountered during camp at the AIS. All incidents, illness, injuries, potential causes of injury or a dangerous occurrence associated to visitors to the AIS site must be recorded on the incident and injury report form immediately. You should contact one of the following areas to complete an incident form: - AIS Aquatic Centre Staff ASC Residence AIS Site Security AIS Tours ESC Staff Venue Operations Staff Medical Treatment for Camp Groups Any acute injury or illness incurred by a guest while on camp must be reported immediately to staff (see under residences). They will be directed to an offsite medical practice/hospital. No bookings will be accepted at the AIS Sports Medicine office for commercial groups. Only NSO groups may be able to see a doctor during business hours only. All International groups must have appropriate funds to pay for any treatment. Travel insurance is highly recommended. DRUG TESTING ARRANGEMENTS Anti-Doping Search and Discovery Program The AIS has implemented an Anti-Doping Search and Discovery Program as one of the elements of its strategy to combat doping activities in sport. The Program aims to deter doping activities, ensure AIS premises are not used for doping activities and support and further develop the culture of accountability amongst athletes. Under the terms of each Guest Registration form, Search and Discovery Personnel may, at any time and without prior notice, enter any AIS Premises, conduct a search, and remove any material the possession of which may be a breach of any ASC/AIS policy, any applicable anti-doping policy of another organisation or any applicable law. Only targeted searches will be conducted of rooms of camp participants. Targeted searches may occur if the AIS receive information relating to the possession, use or attempted use or trafficking of prohibited substances and methods or the assisting, encouraging, aiding, abetting, covering up or any other type of complicity involving an anti-doping rule violation. Searches will be conducted by authorised Australian Forensic Services personnel. In the event that a targeted search is conducted, the camp participant should be present for the search. I acknowledge that, as a user of the AIS Facility, I am not authorised to make any statements on behalf of the ASC or AIS or to represent myself as being an “AIS athlete”, “AIS coach”, “AIS official” or the like. 9. I consent to the use by the ASC in any media for the purpose of promoting the ASC or the AIS Facility of any images or videos taken of me at the AIS Facility with my knowledge. 10. I acknowledge that closed circuit video security monitoring and recording devices are used throughout the AIS Facility and that information obtained from such devices may be used for investigations as to alleged breaches of these conditions, other security investigations and law enforcement purposes and may be provided by the ASC to third parties for such uses. 11. I agree to keep confidential any confidential information of the ASC disclosed to me during my use of the AIS Facility. 12. I agree to release the ASC, its officers, employees and agents from all liability to me, whether in contract or tort or under any statute, for: (a) (b) (c) (d) any illness, injury or death that I may suffer; any loss of or damage to my property or to property for which I am responsible; or any other loss, liability, cost or expense I may incur, as a result of or in connection with my use of the AIS Facility. This clause 12 survives the end of my access period. 13. I indemnify the ASC, its officers, employees and agents against all losses, liabilities, damages, costs and expenses (including legal costs on a solicitor and own client basis) that the ASC, its officers, employees or agents may sustain or incur arising out of or in connection with: (a) (b) any breach by me of any of these conditions; or any negligent, unlawful or wrongful act or omission by me in connection with my use of the AIS Facility. This clause 13 survives the end of my access period. 14.
