Food Vendor Application and Agreement
This application must be filled out completely or it will not be processed.
Booth rates are available according to the scale on page 3. For odd shaped spaces or sizes not listed, please contact Two
Rivers Entertainment (T.R.E.) for availability. Odd booth sizes and shapes are subject to prior approval. All participants
are required to supply their own booths or tents, tables and chairs, and other accommodations. T.R.E. provides booth space
only! Space pricing includes work passes for vendor employees. Participants must provide a photograph of their booth,
products and sample photos of workers in costume. All booth applications will be screened for compatibility with this
event. While T.R.E. is not looking for absolute historical accuracy, all booths, merchandise, costuming, etc., should have
the LOOK AND FEEL of the European Renaissance Period circa 1200- early 1600 C. E. T.R.E. has the final say as to
appropriateness of booths, merchandise and costuming. There will be no appeal. Modern materials are allowed as long as
the merchandise has THE LOOK AND FEEL of the renaissance. (i.e. plastic figurines which look like stone or metal)
This is a family oriented event. Bawdy is OK, but err always on the side of caution. There will be a separate stage for
bawdy performances.
No pets are allowed on faire grounds. No exceptions except guide animals and hired acts.
No open fires are permitted per Yuma County Fire Regulations. Fireworks are expressly forbidden. All merchant's
vehicles must stay off the grass during set-up and tear-down. Small vehicles are allowed on the clay paths through the
park. Participants will unload completely and remove vehicle before setting up.

Food merchants must provide their own power. Potable water for drinking will be available, but no direct hook-up can
be allowed per park regulations. Holding tanks must be filled as needed. Modern food and water storage, i.e. coolers,
must be kept out of sight during business hours. There is a $25.00 fee for any RVs staying overnight imposed by the Parks
and Recreation Department. The permit provided is good for the duration of the event. Please go to our web site www.

Payment in full must be received no later than December 31, 2009. Deposits of 25% may be submitted with your
application and will hold your space until December 31, 2009 by which either full payment must be received or request
for refund received in our office. Deposits are forfeit after December 31, 2009. Late applications will only be accepted on
a case by case basis, and will be subject to a late processing fee of $50.00. Make checks or money orders payable to Two
Rivers Entertainment. All spaces are available on a "first come, first served" basis.

TERMS AND CONDITIONS FOR Food VENDORS
1. Fee Payment: Vendor shall submit the required fee no later than December 31, 2009. Fees will not be prorated in the event any
vendor cannot participant for the duration of the faire. Deposits to hold space will be forfeit after December 31, 2009 Fees include
passes for employees.
In addition to fees paid, food vendors are required to provide lunch for our performers. Performers will be given food vouchers of which
one per performer per day will be allowed. Food vendors may limit the number of lunches provided to 8 per day and to 20 in aggregate
for the event. Vendors are required to retain the vouchers until after the event to verify meals provided.
2. Business Hours: Vendor is required to be opened on Friday at 10:00 am and for the duration of the entire event. Gate is open
10:00 am to 6:00 pm. Faire closes at 6:00 pm, Friday and Saturday. 5:00 pm Sunday. Closing before the end of the event is grounds
for exclusion from participation at future events. Vendors are to unload vehicles quickly and move vehicle off-site before building booth.
All vendors must keep vehicles off the grass.
3. Pricing: All prices shall be posted in a legible manner and in a visible space on the vendor’s booth or merchandise. Vendors will
only sell items having the LOOK AND FEEL of renaissance period merchandise. T.R.E. shall have final say as to the appropriateness
of all merchandise.
4. Insurance: All Vendors must include T.R.E, and the City of Yuma, their agents, and employees under any existing insurance policy.
Vendors must obtain a rider from their insurance company naming T.R.E., The City of Yuma, their agents and employees as coinsureds.
In the event the Vendor has no insurance, paragraph 5 applies.
5. Indemnification: As contractor, vendors, performers and all participants agree, by accepting this agreement, regardless of coverage under any insurance policy, to pay all costs necessary to indemnify, defend and hold T.R.E., The City of Yuma, and The County
of Yuma harmless from all claims, demands, actions, attorney’s fees, costs and expenses based on or arising out of any acts, errors,
omissions, fault, or negligence of contractor or its principals, employees, subcontractors or other agents while performing services under
this contract.
All participants agree to indemnify, defend and hold harmless, T.R.E., The City of Yuma, The County of Yuma, and any of their sponsors, officers, employees, and agents from any loss, theft, damage or injury to any person or property during the festival.
6. Decency: T.R.E. will not allow the sale of merchandise at the event that offends community standards or depicts or suggests illegal
drug use or related paraphernalia. T.R.E. has final say as to the appropriateness of all merchandise.
Friday will be a school day. Vendors may wish to adjust merchandise accordingly for a younger market and staff their booths accordingly.
7. Fire Inspections/Fireproofing: All vendors will be required to have a fire extinguisher with a minimum rating of 2A10B:C and it
must have been serviced within the last year by a licensed state fire protection company. Each extinguisher will bear a tag with the
servicing information. Vendors using any type of frying appliance, including commercial grade deep fryers, woks, pots, etc., will need a
K class fire extinguisher in addition to a C class. No smoking signs must be posted in general eating areas. The beer garden/pub will
have a designated smoking section.
8. Subleasing: Vendors may not sublease their space. Sublease in this context includes renting, sharing, donating or in any way allowing another company or person to display, advertise or sell in an exhibitor’s space.
9. Cell Phones: In order to maintain the proper atmosphere and create the best renaissance faire experience possible for all -CELL
PHONES MUST BE USED OUT OF SIGHT OF PATRONS- . All cell phones must be out of sight and earshot during faire hours. Anyone
with an ongoing “emergency” requiring outside contact must notify T.R.E. in advance. Only administration and emergency personnel
such as security and First Aid station employees will be allowed cell phones while the gate is open.
9. Electrical Requirements: Any vendors requiring electricity must provide their own generators. All generators must be out of sight
and be as quiet as possible so as to maintain the integrity of the renaissance faire atmosphere and experience.
10. Permits: Vendors are required to obtain, and submit copies to T.R.E., all necessary permits on site in order to operate on the festival
grounds. If you are forced to close by any government agency for failure to obtain, or comply with, proper and necessary permits/licenses, T.R.E., The City of Yuma, and the County of Yuma are not liable for vendor’s losses. T.R.E. will not refund fees. NO EXCEPTIONS
WILL BE MADE. All vendors not already in possession of a City of Yuma business license participate under the special event business
permit. Contact T.R.E. at (928) 580-6704 if you have questions.
11 Sales Tax: All vendors are responsible for keeping track of their sales and paying Arizona State Tax. A list of all vendors will be
submitted to the Arizona Department of Revenue following the event.
12. Alcohol/Controlled Substances: The sale of alcoholic beverages is strictly licensed and controlled. No sale of alcoholic beverages outside of designated pub areas will be permitted. Minors under the age of 21 years of age are prohibited from consuming or
purchasing alcohol.
Consumption of alcoholic beverages by vendors at their booth is prohibited during business hours. Under no circumstances are any
controlled substances allowed on the festival site. Anyone with controlled substances in their possession on the festival site is subject
to immediate expulsion and arrest. A zero tolerance policy will be in effect for the protection of all vendors, patrons and the reputation
of this event.
13. Animals: No pets are allowed on faire grounds except for those from hired animal acts and guide animals. Pets found loose will be
turned over to the humane society for the safety of all participants and patrons.
14. Water/Beverages/Food: Potable water will be accessible. Vendors will NOT be able to hook up directly to water with a hose.
Vendors are to fill a holding tank as needed. Please contact T.R.E. at (928) 580-6704 for the latest information concerning availability.
There will be an official Coca-Cola beverage booth which will have the exclusive right to sell carbonated beverages as a fund raiser
for a local non-profit organization. Food vendors may sell non-carbonated beverages such as tea, coffee, water, lemonade or other fruit
juices. Contact T.R.E. regarding any other beverages.
15. Business areas: All business or other activity for which the vendors have rented space must be conducted within the designated
space contracted for. There may be strolling vendors and vendors with carts. Strolling vendors are to use discretion in hawking wares
around stages (DON’T).
16. Set Up/Tear Down: All vendors will be set up and ready for business by the scheduled gate opening, (10:00 am) Friday morning.
Vendors will be allowed onto the grounds starting 9:00 am Thursday. Vendors arriving after 10:00 pm Thursday night are asked to be
considerate of their fellow vendors and do the minimum amount of set up required for lodging, making as little noise as possible. All
vendors are to vacate the park grounds by 12:00 noon Monday. Vendors are allowed to camp on the grounds for the duration of the
event.
17. Business Structures/Participant Costumes: Vendors must provide their own tents, tables, chairs, shade cover/tent, lights, etc.
Booths, regardless of type, must have the LOOK AND FEEL of structures from Europe circa 1200 C. E. to early 1600 C. E. YOUR
BOOTH MUST BE DECORATED TO CONFORM TO THE LOOK AND FEEL OF THE RENAISSANCE. Any pop-ups must have ALL
MODERN LOOKING METAL, INSIDE AND OUT, COVERED WITH FABRIC. T.R.E. is the final judge of appropriateness. A photo of
your booth must accompany this application. Participants shall be in costumes circa 1200-1600, C. E. and should at all times strive to
emulate the speech and mannerisms of the era.
18. Security: Security will be provided for faire grounds starting at 10:00 pm on Friday, Saturday, and Sunday, until 6:00 am the following
mornings. Notwithstanding, this is not meant as a guarantee. T.R.E. The City of Yuma, The County of Yuma, their sponsors, officers,
employees, and agents are not responsible for any loss, theft, damage or injury to any person or property
19. Returned Checks: Any checks submitted to T.R.E. that are returned by the bank for insufficient funds will be run the maximum
number of times allowed by the bank. If the check still does not clear, a $25 dollar fee in addition to any bank fees, will be attached to
the account of the sender.
20. Inclement Weather/Acts of God: By signing this document, parties agree that in the event of inclement weather, natural disaster
or act of God, T.R.E. will be responsible only for the return of booth fees and only if the entire three day event is cancelled. The Two
Rivers Renaissance Faire is scheduled to be open rain or shine.
21. No MODERN political signs are permitted.
22. ALL WEAPONS MUST BE SHEATHED AND PEACE-TIED AT ALL TIMES. ANY PERSON FOUND BRANDISHING A WEAPON
OTHER THAN FOR A SCHEDULED PERFORMANCE OR SCHEDULED RE-ENACTMENT WILL BE SUBJECT TO IMMEDIATE
EXPULSION FROM THE FESTIVAL.
23. Code of Conduct: In all things let common sense and chivalry prevail. Protection of the weak, honesty in all things, pursuit of virtue are
the order of the day– everyday.
