Access Information for Private Biomedical Research Industry (PBRI)
Vendors Conducting Business at the UNM HSC
General guidelines:
1. All Vendors must register with the UNMHSC Office of Research, where they will
sign an agreement acknowledging their understanding of UNMHSC policies
regarding access.
2. Vendors must sign in at the Office of Research, at each visit, to obtain a badge.
Procedures:
1. PBRI representatives are restricted to certain areas of the HSC, and must follow
existing policies concerning these restrictions. UNMHSC policies are available online at
http://www.unm.edu/~purch/. Please refer to the sections listed under Information for
Suppliers.
• Vendors must sign in and out for each visit at the front desk in the Office of
Research, Basic Medical Science Bldg., Room B61. Office phone 505-272-6950.
• Vendors will be given a badge (valid for one day) which they must wear at all
times to distinguish them from HSC employees and research personnel.
• Access is restricted by appointment only to Faculty offices, Department offices,
Administrative offices (except Purchasing Office), and Conference rooms
(invitation only). Vendors may require escort services to sensitive areas.
2. Device representatives: Vendor representatives providing on-site training in new
technologies or equipment will have laboratory access by appointment only and these
activities will be clearly differentiated from sales activities.
3. Compliance responsibility: The Office of Research will have authority to monitor and
enforce procedures and violations. Procedures are defined above. Failure to comply can
result in the loss of access privileges for variable periods of time depending on the
severity of infractions and recurrences. Letters of reprimand may be sent to supervisors or
corporate offices.
4. Samples and demonstrations of equipment or supplies: Vendors may leave samples of
disposable supplies or equipment for the laboratory investigator to try. The quantity
should be sufficient only for comparative or evaluation purposes and not serve as a
financial inducement to purchase the product. Free equipment or supplies cannot be
offered as bonuses for use of the product.
5. Gifts, gratuities and entertainment: In order to maintain compliance with federal and
state law and to avoid any potential conflicts of interest, UNMHSC will not knowingly
accept anything of value (including gifts, gratuities, food or entertainment) offered by a
supplier.
6. Vendor Fairs: At predetermined times, the HSC may allow vendors fairs where
industry representatives can display and demonstrate their products to the research faculty.
These events will be announced in advance and invitations issued after vendors apply for
space at the fair. As described above, no free gifts of any kind can be accepted by
attendees of the fair, including food. Product brochures and specification sheets are
allowed.
I hereby acknowledge my understanding of the guidelines for vendor access to facilities
and personnel at the University of New Mexico Health Sciences Center. I agree to review
the University’s online guidelines and comply with the policies and procedures as stated.
