Greensboro AHEC Information Technology Work Statement 2005-2006 1. Introduction Information Technology activities at Greensboro AHEC reflect the mission and goals of the North Carolina AHEC Program, the Greensboro AHEC Strategic Plan, and the NC AHEC Information Technology Statewide Plan. The mission of the Education Technology Division is to support the advancement of communication, information, and educational technologies throughout the NC AHEC system by facilitating cooperative planning, collaborative decision-making, and the implementation of local system architectures that are compatible, cost-effective and contribute to development of AHEC as a statewide electronic network. The 2005-2006 statement of work for Education Technology Services at Greensboro AHEC includes: Leadership: The Greensboro AHEC Director of Education Technology Services will provide direct oversight and project management for the Educational Technology Service staff who in turn coordinate the integration of technologies into the education and business processes of the AHEC. The Director will also works extensively in collaboration with four other Leadership Directors under direct report to the AHEC Executive Director to establish, implement and evaluate strategic planning efforts and daily operational activities of the AHEC workforce (exclusive of the graduate medical education departments). Hardware Support: The AHEC Network System Analyst will maintain and support 5 network servers, 83 desktop units and associated peripherals both on campus and in student housing, along with 60 pocket PCs utilized by faculty and staff of the residency programs. This year will include the purchase and configuration of two upgraded servers. Coordination for Media 100 digital editing equipment, the MCHS Satellite receiving dishes and videoconferencing equipment, and audiovisual equipment in MCHS classrooms will also be provided. Moses Cone Health System MIS department will support wiring and WAN connectivity issues, except for the service to the AHEConnect web server, scheduled to be managed independently by a third party provider in 2006. Help Desk & Audio-Visual Support: The Network System Analyst will provide primary application support and training for standard office automation software and special education applications (such as the Media 100 Video Editing equipment; Diatrends, ERAS. LDMS, CASCE etc.). The Moses Cone Hospital Management Information Systems ASSIST desk will provide primary help-desk support on a 24-7 basis for those services not specifically assigned to the AHEC Network System Analyst. The AHEC Events Coordinator will provide audiovisual troubleshooting, training and support for all equipment utilized in MCHS classrooms. The AV production coordinator will manage the AHEC photography studio and digital video production /editing as a fee-based service for marketing, communication, and education efforts. Network & Messaging (Email) Administration: The AHEC Network System Analyst will be responsible for the daily administration and support of five network servers including upgrading, monitoring, troubleshooting, daily backups, security, and anti-virus protection. The AHEC Programming Coordinator will provide secondary backup. The MCHS MIS will oversee Exchange Email services, with local troubleshoot and installation provided by the AHE Network Systems Analyst. Business Applications Support: The AHEC Programming Coordinator will provide primary support and development for integration of CE fee transactions with the MCHS financial system. The AHEC Network System Analyst will provide primary application support and training for invoicing software (such as QuickBooks) and a wide range of graphic, design, media, and programming applications that facilitate educational technology productions. Primary business application support for payroll and other human resource activities, purchasing and receipts payable, and other business application support services not specifically assigned to the AHEC Network System Analyst will be provided through close relationship with the Moses Cone Health System Information Systems. Clinical Applications Support (only where applicable) Network System Analyst will provides support for two clinical database applications: Diatrends - diabetes software - and LDMS (Laboratory Data Management Software)- prescription software. Web-based Technologies: The local AHEC intranet is database driven, allowing for automatic addition and editing of content from any staff member. The AHEC Computer Programming Coordinator will develop and maintain the functionality of the programming code as well as monitor and train end-users. The cross-trained ET development team, which includes the Digital Graphic Design Coordinator, Audiovisual Production Coordinator, Computer Programming Coordinator, and others, will distribute database development, webpage or FLASH development, graphic design, or multimedia production as time, availability, and project specification allows to maintain the Greensboro AHEC’s website Internet marketing and information presence, as well as AHECKIDS, and NCHealthCareers.. Web design and development services for AHEConnect portals, special projects and fee-based services for other educational partners is managed similarly, The Network System Analysts provides the back-office support for the Web applications including troubleshooting of connectivity issues, Web certificate renewal and security for the Web servers. Videoconferencing Scheduling and Operations: Scheduling and operational support of the MCHS video videoconferencing service and the NCVision service will be coordinated by the AV Production Coordinator. Telephony Support: The Network system analyst is responsible for support and configuration of three laptops that will be voice over IP and video over IP workstations. Data Analysis: The Computer Programming Coordinator, using SQL Server, APS, Visual Basic, VBS script, will provide database development, user interface for data collection, and subsequent data analysis as a fee based service that is offered in this capacity for online course enrollment, learning and financial transactions. The Network System Analyst will conduct data analysis from the perspective of optimizing network performance and the Director from the perspective of project management and employee workflow issues. 2. Health Workforce Development (optional) The AHEC ET departments supports the AHECKids and NCHealthCareers database and interactive website through graphic design, database development, and end-user support. 3. Continuing Education (optional) The AHEC ET development team supports the development and delivery of contracted online continuing education through the AHEConnect Learning Management System. This team consists of the following staff positions: Network System Analyst for monitoring and managing the AHEConnect web server traffic; Programming Coordinator, responsible for coding, maintenance and support of SQL databases and end-user interfaces; Digital Graphics Coordinator, responsible for graphics, animations, FLASH object design; AV Production Coordinator, responsible for videography /audio capture and editing; Project Manager, responsible for coordinating customer requests and production flow; Instructional Designer, responsible for working with subject experts to convert content into online medium. The AHEC Video Production team will provide contracted digital videography and editing services for education and marketing efforts to include monthly production of the MCHS Code Vu communications bulletin. 4. Student Support (optional) The IT department will support a .2FTE medical librarian to support student’s and preceptor’s practicing at regional ambulatory training sites with connectivity, troubleshooting, and training support to the ADL. The Network System Analyst will provide hardware and software support at MCHS housing. 5. Statewide Collaboration (Note: adjust numbering accordingly) The ETS team will actively participate in meetings and conference of the AHEC Chief Information Officers, Information Technology Group, and any hosting organization IT leadership. The ETS Development team will provide statewide leadership in online instructional design methodologies through the AHEConnect Learning Management System. 6. Professional Development Demonstrated evidence of learning in field of specialization will be required of each staff member during performance evaluation.
