Glenmoor Country Club Wedding Policies
The following policies are intended to help you plan and execute your function smoothly.
Should you have any questions feel free to call the Catering Department at 330-966-3600.
1.
A $3,000 non-refundable deposit is required to hold The Chapel and date for weddings and receptions. This nonrefundable deposit will be applied directly to your final bill. (Glenmoor members do not have to submit a deposit until
another party desires the date they reserve)
2.
A $1,500.00 non-member room set-up fee will be charged for use of the Chapel. A room set-up fee will also be
charged for utilizing additional rooms/areas within the Club for part of the ceremony, cocktail hour, or reception.
3.
A $10,000.00 pre-tax food and beverage minimum is required to have an event in the Glenmoor Chapel.
4.
A set-up fee of $7.50 per person (with a MINIMUM of $1,500.00) will be charged to utilize Glenmoor for the wedding
ceremony. Please note that the Chapel is not guaranteed for rehearsals. If it is booked with another event at the time of
rehearsal, Glenmoor will make another space available for rehearsal space.
5.
Details for your function must be finalized at least two weeks prior to your event. Any changes to room set-up 24
hours or less prior to the event will require an additional setup fee. All private rooms must be vacated at the time
indicated on the function sheets/contract. Glenmoor will provide a reasonable amount of time prior to the arrival time
(as determined by Glenmoor) for set up of the room in conjunction with any other events.
6.
Arrangements for items such as audio-visual equipment, floral decorations, staging, special lighting, etc. can be made
through the catering department at an additional cost.
7.
Any additional fees incurred the day of the event must be paid that night by check, cash, or credit card (5% surcharge
applies).
8.
All food and beverage must be supplied by Glenmoor (including all alcohol and the cake). To respect family tradition,
homemade cookies and pastries may be brought into the club. Cookies must come trayed and ready for display.
Glenmoor does not provide plating service. Absolutely no commercially baked/purchased cookies or pastries will be
displayed. Any cookies/pastries violating this policy will be refused.
9.
To ensure the finest quality food and service we ask you to limit your selection to one entrée for all guests. Multiple
entrees are available with a maximum selection of three (all must be served with the same side dishes). If multiple
entrees are ordered, accurate guaranteed counts of each entrée are required. Multiple entrée selections are priced at the
highest entrée price for all guests. Clear and precise place cards must be provided to indicate entrée selection for each
guest. Specific color codes are used and must be followed; please ask wedding coordinator for specifics.
10. Final meal counts for all services must be received by noon 3 working days prior to the event. This final guaranteed
guest count is not subject to reduction after the 72-hour working deadline. If no number is given within this timeframe,
you will be charged for Glenmoor’s estimated guest count. No credit or refund will be provided if the number of guests
attending the event does not meet the final count. Any additional guests added after the 3-day guarantee or the day of
the event may be subject to a Chef’s choice entrée and pricing.
11. Prices listed do not include tax and service charge/gratuity. A service charge of 20% plus current sales tax will
automatically be added to all banquet functions. Credit card payments are subject to a 5% surcharge.
12. Prices quoted in the wedding packages are accurate at the time of printing. Due to market fluctuation and availability
of items, all quoted prices on menus are subject to change at any time without notice.
13. When you have chosen a wedding package, you are entitled to a menu tasting with two (2) appetizers, two (2) salads,
two (2) entrees, and two (2) cake selections. Any additional food or beverage may be served at an additional charge
and according to chef’s availability. Tastings are subject to the kitchen’s availability and must be scheduled with menu
selections confirmed at least two weeks in advance of the desired date.
14. 50% of the anticipated revenue will be due 60 days prior to the event. The balance will be due 30 days prior to the
event. Any final payments are due 72 hours prior to the event with the final guarantee. Should the final charges exceed
the anticipated amount, the party will be responsible for payment the day of the event. There is a 5% surcharge on all
credit card payments for events.
15. Cancellation Policy: In the event it is necessary to cancel the event, the following policies will apply: Glenmoor must
receive cancellations of an event in writing, and will result in the forfeiture of the customer’s non-refundable deposit.
You will agree to pay reasonable liquidated damages to Glenmoor for cancellation as a percentage, based on the dates
of cancellation listed below, of total anticipated gross revenue from all requested sleeping rooms, anticipated food and
beverage revenue, set up fees, ceremony fees, etc. “Anticipated food and beverage revenue” will be determined and
stated on contracts.

16. In the event of an act of God or an emergency the management will work with you to rebook in the same year with no
assessed penalties.
17. Any amounts unpaid to Glenmoor either through cancellation or after an event will accrue interest after the date such a
payment was due. Customer shall be responsible for and shall reimburse Glenmoor for any and all costs and expenses
incurred by Glenmoor in the collection of any amounts due; including, but not limited to attorney fees, court costs and
other related expenses.
18. In accordance with prevailing laws, we will refuse to serve anyone under the legal drinking age of 21. Guests will be
required to show a photo ID for proof of age. Glenmoor also reserves the right to refuse to serve alcohol to any
guest(s) as our staff deems appropriate.
19. Neither customer nor any guests are permitted to bring any beverages into the public area of the club or serve
themselves or other guests or such actions will result in the removal of those persons from the building. No shots,
shooters, or flaming cocktails may be served and Glenmoor reserves the right to refuse service at any time. No vendors,
including bands/musicians, DJ’s, wedding consultants, photographers, florists, videographers, etc. may consume
alcoholic beverages on the premises.
20. Glenmoor Country Club reserves the right to inspect and control all private functions. Banners or display items may
not be affixed to any stationary wall, floor, windows or ceiling with nails, staples, tape or any other substance in order
to prevent damage to the fixtures and furnishings. The client agrees to be responsible for any damage done to the
function room or any other part of the hotel by the client, invitee, employees, independent contractors or others under
his control. Liability for damages to the premises will be charged accordingly. Your group is liable for damages to
the club’s property and premises and will be charged accordingly.
21. The use of birdseed, glitter, rose petals, confetti, or bubbles must be cleared with Glenmoor and an appropriate clean
up fee may be assessed.
22. Glenmoor Country Club is not liable for damage to or loss of items, equipment or personal property belonging to your
group or its members. This includes, but is not limited to: gift packages or gift envelopes, bridal favors, bridal candles,
toasting flutes, guestbook, cake knife/server/topper, decorations, etc. All items must be picked up within 24 hours of
the event, including any items left by vendors.
23. Glenmoor shall not be liable for the non-performance of the event contract when it is attributable to a labor disputer,
strike, accident, government regular, unavailability of food and beverage, riot, national emergency, act of God and/or
other causes whether listed in these policies or not, which are beyond the reasonable control of Glenmoor. Customer
may not assign his/her/its rights under the event contract or these policies without the written approval of Glenmoor.
The event contract and these policies represent the entire agreement of the parties and supersedes any other agreements
or understandings, written or oral between the parties with respect to the event.
Hotel
We are pleased to hold 10 overnight rooms requested on a tentative basis until 4 weeks prior to your event. Due to a
limited number of overnight rooms all other rooms held are confirmed and guaranteed with signed contract and policies.
The guarantor will be responsible for the cost of the rooms whether occupied or not.
