GPS Device Acceptable Use Policy
GPS devices (Global Positioning System) and any accessories that have been issued to
employees are the property of Trinity Hearth & Home, Inc. The GPS device must be
surrendered to your manager, or any other senior manager with Trinity Hearth & Home,
immediately upon request. In the event of termination of employment, the GPS device must
be returned to Trinity Hearth & Home prior to receiving your final compensation check. If
the GPS is damaged or otherwise deemed in need of repair/replacement, the costs associated
will be deducted from the employees final compensation check.
The GPS is on loan to the employee and must be used in accordance with the following
policies & procedures:
* Employees should have no expectation of privacy for any information stored in the GPS
devices.
* Trinity Hearth & Home, Inc. has the right to randomly inspect any GPS device or accessory
on a regular basis. This includes but is not limited to any and all location data, addresses,
stored routes, points of interest, and location audit data.
* Any peripheral devices or accessories used with the company-issued GPS devices must be
approved by the IT manager prior to use. Failure to obtain prior approval may be grounds for
disciplinary action. Damage to any GPS units caused from unauthorized peripherals or
accessories becomes the responsibility of the employee
* Each GPS device is assigned to an individual employee and names should be visible on
each device. Employees should never “swap” or “share” their GPS device with another
person. The GPS devices are never to be used by friends, family members, or other persons.
* Employees must have their GPS devices and chargers with them during their normal
working hours, or during the course of conducting business tasks. Employees will be required
to bring the GPS devices to the Trinity Hearth & Home main office on request for
maintenance, map and security updates, and synchronization of files to a server share for
periodic backup.
* Use of the GPS device for anything other than Employer directed or approved activity
is prohibited
* Employees are not allowed to download or install any software or other applications on the
GPS devices, or to attach the devices to personal computers. If updating is required, that
GPS unit should be returned to the IT manager to perform the updates
* Employees will not use the GPS device for illegal purposes. Employees will not
deliberately use the GPS device to stalk, annoy, harass, or bully others. Any such activities
will be reported to the appropriate local, state, or federal authorities.
* Appropriate and responsible use is expected of all users. Violation of any policies or
procedures outlined in the GPS Device Acceptable Use Policy will be subject to the
appropriate disciplinary action as outlined in the AUP, or in some cases, result in termination
of employment.
GENERAL USE AND CARE OF THE GPS DEVICE
* During the work day, employees must have the GPS device in their vehicle or on their
person at all times. During off days or non-working hours, the GPS device must be secured
either in the employee’s home, at the Trinity office, or within an appropriately secured room
that does not have access to the general public. DO NOT leave the GPS device in your
vehicle over night unless your vehicle is parked within a locked garage at your private
residence.
* It is the responsibility of the employee to charge their GPS device for the next day.
* GPS devices should be protected from extreme heat or cold. During summer months, heat
inside an enclosed vehicle or trunk can quickly reach temperatures high enough to
permanently damage the screen.
* GPS devices should be protected from the weather, water, liquids, and pets.
* The LCD screen is the most sensitive part of the GPS device. Heavy objects should never
be placed on or stacked on top of the GPS device.
* Each employee’s GPS device has his/her name displayed. This name should remain in
place and clearly visible.
* Employees may not deface the GPS device or accessories in any way with stickers, tape,
whiteout, markers, pens, engravings or any other items or marks.
* The GPS device should only be cleaned with a soft dry cloth. Never use sprays of any kind.
* Violations will be dealt with on a case by case basis.
In addition, all other appropriate consequences as outlined in the Employee Handbook may
be applied.
* Any GPS device or accessory that is stolen or damaged while in possession of the
employee will result in the employee being responsible for replacing or repairing the GPS
device or accessory at 100% of the cost.
*GPS devices should be removed from the employee’s

device at 100% of the cost.
*EMPLOYEES ARE NEVER TO ENTER DATA INTO THE GPS DEVICE WHILE IN A
MOVING VEHICLE. IT IS REQUIRED BY TRINITY HEARTH & HOME, INC. THAT
ALL EMPLOYEES USING A GPS DEVICE ENTER ADDRESS DATA AND ROUTES
INTO THE GPS DEVICES EITHER PRIOR TO ENTERING A VEHICLE OR WHILE
PARKED IN A SAFE LOCATION AWAY FROM OTHER TRAFFIC.
*IN THE INTEREST OF SAFETY TO EMPLOYEES, IT IS REQUIRED BY TRINITY
HEARTH & HOME, INC. THAT EMPLOYEES DO NOT STORE THEIR HOME
ADDRESSES, OR ADDRESSES OF PRIVATE RESIDENCES OF OTHER
INDIVIDUALS INTO THE GPS DEVICE. IN THE EVENT THAT YOUR GPS IS
STOLEN, THIS INFORMATION COULD BE USED BY OTHERS TO DETERMINE AN
EMPLOYEE’S HOME ADDRESS FOR THE PURPOSES OF HOME INVASION OR
ROBBERY. FOR THE PURPOSES OF DEVOLOPING ROUTES, IT IS SUGGESTED
THAT EMPLOYEES USE THE ADDRESS OF A PUBLIC RETAIL BUSINESS NEAR
THEIR HOME AS A STORED STARTING POINT FOR GENERATING ROUTES.
AS AN EXAMPLE OF THE POTENTIAL DANGER INVOLVED, THERE HAVE BEEN
NUMEROUS REPORTS OF VEHICLES BEING BROKEN INTO AND THE GPS
DEVICE BEING STOLEN. THE VISOR-MOUNTED GARAGE DOOR REMOTE WAS
ALSO STOLEN. WITH THESE TWO ITEMS, THE CRIMINALS EASILY
DETERMINED THE PERSON’S ADDRESS AND USED THE REMOTE FOR EASY
ACCESS TO THEIR HOME. BY SIMPLY NOT HAVING YOUR HOME ADDRESS
STORED IN THE DEVICE, AND INSTEAD USING A CONVENIENCE STORE
ADDRESS SEVERAL BLOCKS AWAY FROM YOUR HOME, YOU CAN AVOID
SUCH A SITUATION.
