TO BE KEPT FOR REFERENCE PURPOSES BY EVENT ORGANISER
In order to help you ensure the correct protocols are followed, here is some information for
your reference.
PRECEDENCE
Paragraph 2(5) Part I schedule 2 of the Local Government Act, 1972 states:- *”The Mayor of
a London Borough shall have precedence in the borough but not so as prejudicially to affect
Her Majesty’s royal prerogative.” Accordingly, subject to the proviso, the place at the table
to be reserved for the Mayor’s use should be on the immediate right of the Chairman or other
person presiding, unless the Lord Lieutenant of Greater London be present, in which case the
Mayor should be on the immediate left of the Chairman. The Mayoress should be seated on
the immediate left of the Chairman, except when the Mayor sits on the Chairman’s left, in
which case the Mayoress should sit on the Mayor’s left.
In further explanation due precedence must be accorded to The Mayor at any event to which
he/she is invited in an official capacity, be it civic or one held on privately owned premises.
In the case of the latter, arrangement should be made by the organiser for the Mayor to
receive the Guest of Honour and introduce him/her to the principal person of the
organisation concerned:
The Mayor in an official capacity is unable to accept an invitation where the organisation
feels, for whatever reason, unable to accept this procedure. If the Mayor decides to attend a
function in a private capacity he/she would be without regalia of office and he/she would be
treated as another private individual.
TITLE AND MANNER OF ADDRESS
The correct manner of address is:
The Mayor = Mr Mayor
The Mayoress = Madam Mayoress
The Deputy Mayor = Madam Deputy Mayor
The Deputy Mayor’s Escort = Mr Vaught
(This year, the Deputy Mayors escort is her son)
ARRIVAL
The Organiser is particularly requested to arrange for a responsible officer to meet the
Mayor (and Mayoress if attending) on arrival, and to conduct them to the reception point,
and afterwards to the hall or dining room.
TIME OF RECEPTION
Except in cases where the Mayor and Mayoress are asked to take part in the Reception,
the Mayor and Mayoress should be invited to arrive not more than ten minutes before the
commencement of the Dinner or other function. This arrangement will avoid
unnecessary waiting and permit them proceeding direct with the Chairman to the place
reserved for them without delay.
TOAST LIST OR ORDER OF PROCEEDINGS
If the function is a Dinner, Supper or Public Meeting, a copy of the Toast List or Agenda
showing the order of proceedings should, (if possible), be forwarded to the Mayors
office.
BAZAARS, SALES OF WORK etc.
The Mayor and Mayoress are willing whenever possible to open Bazaars, Sales of Work,
etc. for charitable purposes. They should not, however, be asked to open on the second
day (if any) unless the first day’s bazaar or sale is to be opened by a member of the
Royal Family or the Lord Lieutenant of Greater London.
* Please note that in the absence of The Mayor, The Deputy Mayor should be given the same
precedence.
