University examinations taken at locations other than Bradford Policy, Fees and Application Guidelines 2015/16 Policy 1. The University expects all students to take formal examinations here in Bradford. Occasionally circumstances beyond one’s control prevent students from returning to Bradford at the time that the examinations are scheduled to take their examinations here due to medical or other extenuating circumstances. 2. The University has developed a policy for such circumstances to enable students to apply for approval to undertake University examinations (normally supplementary) away from the University campus, either in other UK locations or overseas in their home country. 3. The University’s policy is that students will only be granted permission to take University examinations at a location other than Bradford due to the following extenuating circumstances, serious illness of the student concerned; serious illness of a close relative; death of a close relative; visa expiry. 4. Circumstances such as holidays, paid employment, financial hardship and/or the inconvenience of returning to Bradford before the start of a new academic session are not regarded as acceptable reasons for taking University examinations away from Bradford. 5. Arrangements for taking examinations at a location other than Bradford are co-ordinated by the central Exams Office. Students should discuss any potential problem with attending examinations at Bradford with their academic Faculties in the first instance so that further advice and/or support may be provided. 6. Students will normally be expected to take University examinations at a British Council Office http://www.britishcouncil.org/ in their home country or at a recognised institution of further or higher education. 7. Students will only be permitted to take examinations at locations other than Bradford if the University can obtain satisfactory assurance that the host will ensure that the relevant University of Bradford regulations will be observed. 8. Any University examination taken at another location other than Bradford should normally take place at the same time as the examination in Bradford. If this is impossible (e.g. due to time differences), before an application can be approved, alternative arrangements acceptable to the University must be in place. 9. Academic Faculties may be required to produce a different examination question paper as part of any alternative arrangements that are put in place in order to safeguard the security and integrity of the examination. 10. See: http://www.bradford.ac.uk/exams/invigilation/regulationson-invigilation/ 11 The University reserves the right to decline a student’s application if it is deemed that there is insufficient evidence of extenuating circumstance or time required to make satisfactory arrangements before the examination start date. Exchange students/study abroad programmes 12. Exchange students who are required to return to their course of study at their home institution and/or home students who are going abroad to start a period of study in a host institution do not need to apply for approval to sit University examinations at a location other than Bradford. Such students should discuss any potential problem with attending examinations at Bradford with their academic Faculties in the first instance so that further advice and/or support may be provided. 13. Exchange students and/or home students who are going abroad to start a period of study in a host institution who obtain approval to take their examinations at a location other than Bradford will not normally be charged by the University for this examination service. However a local fee charged by the host institution may still apply. 14. Academic Faculties should notify the Exams Office of all exchange students and/or home students who are going abroad to start a period of study in a host institution at the start of the academic year and supply full details of these students and any examination that they will be expected to take. Fees 15. Costs incurred for the administration required to arrange this examination service is paid by the student. Current fees are £85 per examination. This charge is payable to the University after the examination has been taken by the candidate. 16. In addition to the University’s fees, the host institutions (British Councils) also charge students a local fee for the examination services they provide. These range from £17 to over £70 per examination. This charge is payable before the examination is taken by the candidate. 17 Students who, without prior notice, fail to attend University examinations after arrangements have been made for them to take their examinations away from Bradford will be charged the full fee by the University. Application Guidelines 18. Students must make their application by email exams@bradford.ac.uk addressed to the University’s Exams Officer without delay as soon as examinations are known and by no later than 12:00 noon (GMT) on the deadline date for approval by the University’s appropriate review panel or representative acting under delegated authority. 19. Applications received after the deadline closing date will NOT be processed and students will have to discuss their situation with their academic Faculties 20. a) Students must supply the following information as part of the application process by completing the Application Request Form available on the Exams Office website at http://www.bradford.ac.uk/exams/examinations-at-locations-other-thanbradford/ Full name, course of study and UB Number; Contact details – email address The module code(s) and title(s) of the examination(s) requested to be taken away from Bradford The Country requested to host the examination(s) The location of the British Council or recognised institution http://www.britishcouncil.org/ b) Students must also provide the following documentary evidence as appropriate in English as part of the application process Medical report from a doctor or hospital consultant Death certificate of close relative Photographic image of passport showing visa expiry date 21 The University’s Exams Officer will notify the student of the decision of the review panel (approved or not) and provide further details as appropriate by no later than three working days after the deadline closing date and will also inform the relevant academic Faculties of approved applications. 22. The Exams Office will contact the host institution on behalf of the candidate in the first instance to request the examination service and provide details of the candidate(s) and examination(s) in question. 23. Following University approval for a student to take examinations at a location other than Bradford due to extenuating circumstances it is the responsibility of the student to contact the host institution without delay to discuss the financial and practical arrangements.
