BOARD OF DIRECTORS MEETING MINUTES JANUARY 15, 2013 Board of Directors Meeting was held in the Delray Racquet Club Association’s conference center, located at 610 Egret Circle, Delray Beach, Florida 33444, and was called to order by President Don Walis at 7:00 PM. Proof of Notice of meeting was posted in accordance with the Florida Law for 48-hour notice requirement. PRESENT: Don Walis, President Frank Harrison, Vice President Gene (Frosty) Proctor, Treasurer Fred Gless, Director Chris Stoyan, Director Absent from Meeting: Lucille Lovrich, Secretary Ohan Andonian, Director Patricia A. Kelly, Property Manager (Campbell Property Management) There was a quorum present to conduct the meeting. MINUTES OF December 5, 2012 Motion made by Gene Proctor, seconded by Fred Gless to approve the Minutes of December 5, 2012. All in favor motion approved with no objection. TREASURERS REPORT January 15, 2013 Our Operating Cash accounts as of December 31, 2012 total $478,954.63 Our Reserves stand at $1566240.91., in CDs and in cash. MONTHLY MANAGER’S REPORT JANUARY 15, 2013 First notice of Annual Meeting mailed on December 27, 2012. Cut all branches from growing into the railings on each floor at every building. 12 tiles removed in Lobby b2 and replaced. 56 tiles removed on catwalk and replaced by 2505 72 tiles removed on catwalk and replaced by 4409 Some buildings are requesting to have the ashtray/garbage containers returned. Bldg 1 1202 Vacuumed out dryer vent leading to catwalk. 1102 sprinkler problem repaired 1411 kitchen plumbing leak into 1311, owner responsibility 1105 sprinkler replaced. 1105 Bulbs on staircase where replaced. East stairwell door, lubricated lock. 1311 leak in stairwell on ceiling. Plumbing to repair sink in 1411. Bldg 2 Patio in 2406 repaired crack and small hole. Checked stack of 2101-2501. Owner in 2501 complaining of loud noise from A/C. I had Javier on the roof, Tom in every unit below, and me in 2501. The unit 2101 determined to be the problem. Notified the agent at Aspen Leaf to bring in A/C Tech. Unit on the roof makes noise, it is twisted, causing the noise. Bldg 3 3205 Bulb on catwalk replaced. Replaced Emergency lights that were hanging. Replaced light outside unit. 3411 Slab Leak, Replaced all damaged drywall. Checked the stack of 3110-3510. Owner complaining of noise from top floor. Javier on the roof, Tom in the units, and me in the top unit. No noise could be heard in the entire stack. On the roof all A/C’s are running smoothly. Bldg 4 Reported by owner water came in from storm. No leak found, windows need to be caulked. DELRAY RACQUET CLUB ASSOCIATION, INC. Extra care and cleaning in b5 stairwells. Clean up of spill substances, and sprayed for ants. Bldg. 6 6107A/C Vacuumed out main condensation line. Light bulbs in elevator. Replaced crates. 6111 replaced basket striper and pee trap in kitchen sink. 6111 replaced a/c. Air handler and condenser. Association unit. Cost $2,000. Renter in the unit. 6204 Vacuumed out dryer stack. 6210 Patio concrete popped up and exposed rebar. Tom & Javier used rebar bonding agent and hydraulic cement repair. There were a couple of patches on the patio. Complete. Expense $80.00 for product plus labor. Bldg.7 Cleaned stairwell door at the lobby, and painted. Cleaned up the area of cigarettes. 7304 Master bath shower leaking. Leak found to be coming from 7404, tub drain. Owner to repair. Bldg 8 8107 Replaced sprinkler in courtyard. Bldg 9 5th floor garbage chute door hard to open, repaired. 9401 Mailbox lock installed. Lobby door lock needed to be repair. 2nd floor emergency sign light knocked off wall. Removed, will replace. Kelly Property Manager January 15, 2013 President’s Report and Comments: I would like to thank the Board members for their help on the various committees this past month. I would like to thank Pat and her staff for their efforts in keeping the property in fine order. DELRAY RACQUET CLUB ASSOCIATION, INC. Also, a special thanks to Marge for her help in the office during these very busy months. It is greatly appreciated. As Pat mentioned, at our next Board meeting on February 19th., there will be an opportunity to meet the candidates who are running for the Board. It is important to come to this meeting and ask questions of the candidates. Old Business 2013 Insurance Frank Harrison reported that the process for obtaining our Association Insurance Policies has begun and that, the first week of February, information packets will be sent to selected agencies to bid our business. Committee Reports Landscaping Fred Gless commented on improvements in landscaping. The replacement of hedges in front of Buildings, 6,7,8 are doing well. There are new planting around property and we have started to install lighting to highlight some of these areas in the evening. Hedges in front of Building 9 at the ball field are filling in nicely, but will need replacement in some areas. Hedges between building 4,5, & 6 need replacement and B1 by Jaeger. Parking lot between building 6 and 7 needs new retaining wall to prevent runoff from tennis courts. Pools Pool 4 appearance looks good with new decking and replacement of plants at entrances. Pool 7 appearance need a cleanup of dead and dying plants to be replaced with other plants. Dead hedges adjacent to ladies room need to be replaced. Will work with Pat and our landscaper, Bob to go over items that need work. Delinquent Accounts The Association has only two units in the foreclosure process at this time. And, in the next few months two to three more units may go into foreclosure for non payment of maintenance dues. DELRAY RACQUET CLUB ASSOCIATION, INC. Minutes of January 15, 2013 Board of Directors Meeting Page 5 of 6 Accelerated Broadband Discussion of the recent receipt of the 5 additional channels that the Association has been missing since 2007 when the Contract was signed. The Association requested from the company (Opticaltel) to retain the original 50 channels, and add the following new channels; 1. National Geographic 2. Hallmark 3. TBS 4. ID 5. Documentary The five additional channels only apply to the analog package. It should be noted that this has nothing to do with any channel package obtained via individual receivers. President Don Walis asked Director Chris Stoyan to compose a letter regarding the overpayment of funds by the Association for the five (5) channels that have not been part of the line-up for many years. These channels are now installed as of January 14, 2013. Once we get this situation settled we will advise owner’s on the web-site and post in the lobby’s as to how to program via the remote for these additional 5 channels. New Business Catwalk Project Motion by Frosty Proctor, seconded by Fred Gless to contract with Howard J. Miller Engineer as Association Consultant for Specifications and selection of Contractor to do the Catwalks. All approved, motion carried. Members Forum Remove the tree branches form in front of each building, blocking the visual address. Check the enunciator for elevator in Building 9. Have complaint that it is too loud as it reaches each floor. Check out decorative ash/trash containers for front of buildings. Check out laundry stack, second floor building 1. Check with Jim at Sprinkler America Bldg 9. Pay off the line of credit. Motion made by Don Walis to adjourn the meeting at 8:20 p.m., seconded by Gene Proctor. Motion carried.
