Introducing the APCS Market Square
It is with pleasure that we invite you to exhibit at the 2015 Asia Pacific Cities Summit
(2015APCS) & Mayors’ Forum.
2015APCS represents your very best opportunity to meet the decision-makers of the
Asia Pacific’s leading cities, all in the one location and at the same time. If you wish
to profile your brand or products to the government and business leaders of these
important metropolises, there can be no better option than participating in the APCS
Market Square.
The Market Square will be an interactive space where sponsors and exhibitors will
present their organisations within the social hub of the event. Catering spaces, a
café and adjacent meeting facilities will ensure high delegate traffic throughout the
Market Square for the duration of the Summit.
The Market Square is an important and integral component of 2015APCS. This is
reflected in the very architecture of the Market Square, which is arranged to
compliment the 2015APCS program themes.
Innovation is a key feature of the Market Square. Entertainment events and displays
reflecting the business program themes will be staged in the Market Square during
morning and afternoon refreshment breaks and lunches. Special refreshment
breaks will be served to groups of delegates with like business interests in the
adjacent meeting area. The major sponsors and partners of 2015APCS are planning
major interactive and experiential displays within the Market Square – all of these
features will combine to make the Market Square a draw card for all 2015APCS
delegates.
The APCS Market Square will be staged within the Brisbane Convention and
Exhibition Centre (BCEC), the official venue for 2015APCS.
The Market Square will feature a precinct on the following 2015APCS program
themes:

Digital cities - the science and technology behind cities
Future cities - developing cities and smart communities
Cities for people - clean, green, accessible and inclusive cities
2015APCS Market Square Exhibitor Package
Market Square exhibition spaces are available at a cost of $4950 (each, AUD,
includes GST) and include:






1 (one) 3 metre x 3 metre exhibition space;
Standard partitioning (to 1.8 meters);
1 (one) x 240 V power point;
2 (two) x 100 W spotlights;
1 (one) fascia sign in your organisation’s name (up to 20 characters);
1 (one) x Exhibitor Registration Complimentary (ERC), which includes the
following for 1 (one) person:
- Name badge
- Entry to the 2015APCS Market Square exhibition
- Morning tea, lunch and afternoon tea on Monday 6 and Tuesday 7 July
plus morning tea on Wednesday 8 July, 2015
- For each exhibition space purchased, you may purchase up to 2 (two)
further Exhibitor Registrations (ERP) at the discounted price of $375
(each).
Furniture, display equipment and decorative effects are not included in the Exhibitor
Package but may be hired from the official exhibition contractor, ExpoNet.

Exhibitors Manual which will be issued to all registered sponsors and exhibitors.

Event history
An initiative of Brisbane City Council, the Asia Pacific Cities Summit and Mayors’
Forum drives economic growth for Brisbane, South East Queensland, Australia and
the wider Asia Pacific region. Held biennially, the host city alternates between
Brisbane and bidding international cities.

The most recent Summit held in Brisbane (2011) was attended by 1160 delegates.
The target for 2015 is to attract 1000 delegates from 100 cities.
Exhibitor Terms
Exhibitors participating in the 2015APCS Market Square exhibition agree to the
following terms when they register for the event:
1. It is necessary for exhibitors to complete the on-line Exhibitor Registration
Form. Exhibitor arrangements and/or packages can only be confirmed once
full payment has been received. Following approval by the managers and a
confirmation of exhibitor booking and a tax invoice will be sent to the contact
person provided in the Exhibitor Registration Form.
2. All communication from 2015APCS will be directed to the contact person
entered by exhibitors on their on-line Exhibition Registration Form.
3. Exhibition sites will be allocated in order of receipt.
4. Exhibitor fee payments are non-refundable, unless otherwise agreed to in
writing by the managers.
5. Exhibitor fees may be paid by credit card (American Express, MasterCard,
Visa and Diners Club) or by cheque or money order. A surcharge may apply
on payments made by credit card. All fees will be transacted in Australian
Dollars (AUD). Payments may also be made by Direct Deposit.
6. 2015 APCS, the host organisation and managers make no warranty as to the
number of sponsors, exhibitors, delegates and/or participants that will attend
the event.
7. Sub-letting or assignment of exhibitor sites and/or exhibitor benefits is not
permitted unless approved by the managers. Exhibitor sites may not be
shared with any other organisation/s unless this has been agreed to in writing
by the managers. In cases where such approval is granted, the managers will
communicate with the registered exhibitor. Only the name of the organisation
that appears on the Exhibitor Registration Form shall be listed as an exhibitor
in Conference publications and signage.
8. 2015 APCS, the host organisation and managers reserve the right to amend
and alter the exhibition floor plan, schedule and location of exhibitor sites as
circumstances may require.
9. Important information including access and build schedule, venue terms and
conditions, delivery details and other information will be provided to Exhibitors
in advance of the event. Exhibitors agree to comply with the schedule and
terms expressed in this manual.
10. Exhibitors must hold a Public Liability Insurance policy, current over the dates
of the event, with cover in the amount of $20 million (Australian Dollars) or
more. A Certificate of Currency of this policy must be provided to the
managers not less than 60 (sixty) days prior to commencement of the event.
11. Custom built exhibits must be approved by the managers not less than 60
(sixty) days prior to commencement of the event. To obtain this approval,
exhibitors must provide to the Conference managers with full details of the
proposed build, including full dimensions, content of the display and name
and contact details of the build contractor. The exhibitor warrants that the
build contractor complies with all applicable Workplace Health and Safety
regulations, is appropriately insured and will comply with the exhibition
schedule.
12. Exhibitors are responsible for any damage caused by themselves, their
agents, contactors and representatives.
13. Exhibitors receive 1 (one) Exhibitor Registrations Complimentary (ERC). This
ERC includes a name badge, in the name of one person only, and morning
and afternoon refreshments and lunches (per exhibition program). ERC’s are
not transferable and may not be shared. ERC’s are for use by exhibitor (and
sponsor) representatives required to staff exhibitor sites. Up to 2 (two)
Exhibitor Registrations Purchased (ERP) may be purchased per exhibition
space. ERP’s are not transferable and may not be shared.
14. Additional charges will apply in the event an exhibitor occupies more space at
the exhibition than detailed on the Exhibitor Registration Form.
