SAINT ANNE’S ON THE SEA TOWN COUNCIL NOTES FOR GRANT APPLICATIONS About Saint Anne’s on the Sea Town Council Grants Saint Anne’s on the Sea Town Council grants are made for the benefit of people and projects local to Saint Anne’s on the Sea. Applications will be considered for financial assistance towards a specific project or activity from community associations, cultural, educational and charitable organisations, which are non-commercial and whose membership and field of activity is centred in Saint Anne’s on the Sea. The scheme provides grants for new organisations as well as grants to existing organisations. The maximum figure payable for grants will be £1000. Process Applications for grant are considered by the Town Council up to three times each year and the date for returning a completed application is the 30th April, 31st August and 31st December each year. Application forms are available from the Town Clerk whose address appears at the end of these details and to whom completed applications must be returned. On receipt of a completed application form together with supporting documents the application will be considered by a Grants Working Party who will make recommendations to the Town Council. We will look at: how well the grant will meet the needs of the community how effectively your group will use the grant whether the costs are appropriate and realistic level of contributions raised locally whether the applicant can reasonably have been expected to obtain sufficient funding from a more appropriate source how the group is managed The Council will always give a reason for rejecting an application. Please note all applicants will be required to give grant feedback six months from the grant allocation date. You can apply if: you are a not for profit group operating for the benefit of the community in Saint Anne’s on the Sea. your aims and objectives are clear and well defined and are a real benefit to the community of Saint Anne’s on the Sea. you have a constitution or set of rules which you must include with your application form. you have a bank or building society account with at least two joint signatories. you have annual accounts or a statement of income and expenditure, which you must include; with your application (the last two years are required). you are a school association/PTA applying for a grant which is for an extracurricular activity subject to funds being ring-fenced and to applicants establishing separate bank accounts and constitution. Branches If you are a branch of a larger organisation you must have: a constitution or set of rules of your own; a separate management committee; your own bank account; your own annual accounts approved by the management committee; control over your own income and how it is spent; a specific brief for activities benefiting the community of Saint Anne’s on the Sea What will not be funded? For day-to-day running costs Retrospectively (where money has already been spent or committed) If the organisation was awarded a grant for the same reason within the past twelve months When a grant may have to be repaid The Council can reclaim the grant in part or in full if: The organisation ceases to operate or exist within twelve months of the grant being spent; The grant is used for any purpose other than that agreed without prior permission; Any changes within the organisation or its activities occur within twelve months of the grant being spent, which would make the organisation ineligible under the awards criteria; The organisation breaches any of these terms and conditions, including the requirement to submit monitoring information and evidence of expenditure when requested to do so. Data Protection Act 1988 Information In signing the application form, you give permission for Saint Anne’s on the Sea Town Council to use the information that you provide: for establishing your entitlement to a grant; inclusion on a computerised register maintained by Saint Anne’s on the Sea Town Council; and during the life of a grant, if awarded, to administer and analyse applications and grants. Terms and Conditions of Receiving A Grant Please read carefully……. This section is important because it is a condition of any application that you have read, understood and accepted it. Grants must be used for the purpose they are awarded. Grants must be spent within 12 months of the date of the award. The contribution of Saint Anne’s on the Sea Town Council must be acknowledged in all publicity for the project/event/equipment for which the grant was awarded. Successful applicants must agree to the monitoring of the use of the award by the Town Council. The organisation must be open and accessible. If it does not already have an equal opportunities policy, it must agree to adopt & implement one. The organisation must meet statutory health and safety requirements relating to the use of premises, provision of services and employment of staff where applicable. The organisation must ensure that all necessary permits and licences have been obtained for any event or project funded by the grant, and that the event or project complies with all relevant regulations. We may ask you to attend a reception organised by the Town Council to receive the cheque. Recognition of the grant from Saint Anne’s on the Sea Town Council must be made in any publicity and in the group’s accounts. We will use the name of your Group (not personal data) and its project in our own publicity material. The Council will request grant feedback six months from the grant allocation date. When a grant expires, the Town Council has no commitment to provide any further funding for the project.
