ROYAL COLLEGE OF PAEDIATRICS AND CHILD HEALTH Job Title: Recruitment and Careers Assistant This post is fixed term for 12 months in the first instance. Responsible To: Recruitment and Careers Manager Division: Education and Training Grade: 3 Hours: 21 per week Place of work: 5-11 Theobalds Road. Background The Royal College of Paediatrics and Child Health sets and maintains standards for the education and training of all doctors working in paediatrics and child health in the UK. Additionally, through a variety of activities, it influences the quality of medical practice for children in hospital and in the community. The College has over 12000 members and fellows and employs around 100 staff. The Education and Training Division The Education and Training division is responsible for the strategic management and day to day delivery of all aspects of the education and training of all doctors working in paediatrics and child health in the UK. This includes promoting paediatrics as a career, setting and maintaining standard of education and training, supporting and assessing training doctors to become specialist paediatricians, and supporting the continuing professional development (CPD) and revalidation process for all paediatricians. The work of the division is managed by the Director. Divisional staff work closely with the College Officers (elected clinicians). The officers are led by the Vice-President for Training and Assessment and the Vice-President for Education, and supported by an Officer for Assessment, an Officer for Examinations, an Officer for Training and an Officer for CPD. The Recruitment and Careers Team The Recruitment and Careers team set standards and guidelines for paediatric trainee recruitment in the UK, ensuring that all of our schemes are fit for purpose and follow the principles of best practice. In particular the team manages the selection process for Specialty and Sub-Specialty training posts in Paediatrics, in addition to administering the Medical Training Initiative (Paediatrics), which offers temporary training opportunities for overseas doctors wishing to spend a fixed period of time in Paediatrics in the UK. The Recruitment and Careers Team also provides career advice for both medical students and Foundation Doctors considering a career in paediatrics together with those already undertaking paediatric training, who are considering further career options. Purpose of the Post The role-holder will provide administrative and clerical support to the Recruitment and Careers Manager and wider team as appropriate including: Diary management, processing purchase orders, invoices, booking of hotels and making travel arrangements. Assist with general administration for the team to include photocopying, scanning, faxing, mail shots etc. Arrange catering and room bookings for both internal and external events managed by the team. Maintain records of expenses, ensuring they are passed to finance for payment in a timely manner. Assist with queries coming in to the department forwarding to the relevant staff member as appropriate. Ensure maintenance of computer/paper records and the filing of paperwork related to the activities of the team. Creation and maintenance of records on the ePortfolio and Asset systems as required. Maintain the Recruitment and Careers section of the college website. Liaise with various stakeholders about their attendance at interviews, meetings etc managed by the department. Assist with the planning and participate in various careers events as required. Maintain contact information for various stakeholder groups used by the team, including medical societies. Attend regular team and divisional meetings/ training sessions, working with others to contribute to the effective working of both the team and the division. The duties outlined in this job description will vary in range reflecting the cyclical nature of the recruitment process. The role-holder will occasionally be required to travel both inside and outside of London, with overnight stays needed as appropriate. In addition, due to the nature of the work of the Recruitment and Careers Team, it will sometimes be necessary to work outside of the core College hours of 9am to 5pm, Monday to Friday. Terms and conditions Fixed term contract for 12 months (21 hours per week excluding lunch breaks). Salary grade 3: (£22398 - £27250, per annum, pro rata) please note new employees will usually be offered an appointment on the first point of the scale. This post will be 21 hours per week. The working pattern will be discussed with the successful candidate and is flexible. 27 days annual leave, rising by one day every two years to a maximum of 29 days plus additional days for College closure between Christmas and New Year. Additionally the College closes between Christmas and New Year New employees are subject to a six month probationary period Interest-free season ticket loan after the satisfactory completion of probation. Contributory pension arrangements attracting a College contribution of up to 10% of gross salary. PERSON SPECIFICATION WHERE EVIDENCED APPLICATION INTERVIEW FORM TEST General & Professional Education Essential Educated to GCSE standard or equivalent. Experience Essential Relevant experience of working in an administrative/clerical role. Managing a high volume of material (e.g. written, electronic). Previous experience in the NHS/medical administration/higher education administration Desirable Experience of committee work/event management.
