Partnership Handbook Guide About the Partnership Handbook The BIC World Missions department has an established global network of relationships and is the owner and initiator of the Partnership Handbook, which is used as an effective tool for communicating and partnering projects within the international BIC community. BICWM is privileged to inform its donors that at least 95 percent of their donation will be allocated to the project of their choosing. Only 5 cents or less of every donated dollar will be spent on administrative expenses. At this time, the Partnership Handbook has a capacity to receive Canadian and US donations. There are two methods currently available for donating toward projects. Donors with internet access can donate online at bic-church.org/wm/give/partnership or they may send a check to their respective BICWM office. For those writing checks, please include the project number in the memo line. Communication is important, so the Partnership Handbook provides yearly project updates to clearly communicate how donations are being used to advance the Kingdom of Jesus Christ. Project proposals may be submitted from within any Brethren in Christ context, including BIC General Conferences, BIC Associations, BIC Clusters, BICWM church plants, and BICWM outreach areas. The Partnership Handbook requires that proposal submissions have local support, local contributions, and consideration for local sustainability. Proposal Submission Process 1) Initial guidance: Project proposers should seek guidance from their appropriate General Conference leader, BICWM missionaries, and BICWM regional administrator. These individuals will have the necessary proposal documents and additional resources to help create a proposal. All Partnership Handbook related materials are available online or by request from PartnershipHandbook@bic-church.org. 2) Project Proposer’s Role: The proposer is responsible for clearly communicating his/her project through the creation and submission of the proposal. The proposer is the onsite authority who ensures that the ministry goals and project plan are achieved. Also, the proposer is held responsible for the completion and submission of the annual project reporting template. 3) Secondary guidance: After the project proposal is created and leaders have offered initial approval, the proposal should be submitted to the BICWM Regional Administrator (RA) for review. If the RA has any concerns with the proposal, these will be discussed with the proposer before proceeding. Each proposal must be suitable for Internet publication before submission to the Administrative Cabinet for approval. 4) Submission for approval: Each RA will submit their region’s project proposals to BICWM’s administrative cabinet for discussion and analysis before a final decision is made on the approval of each project. The administrative cabinet is a group comprised of the Executive Director, RAs, and senior support staff which meets on a regular basis. The administrative cabinet will assess project proposals based on the following: a.) Supporting documentation b.) Compatibility with vision and strategic priorities of BICWM c.) Projects which have national church participation – funds, labor, or material 5) Approval status: a.) If a proposal is not approved by BICWM’s administrative cabinet, the cabinet will offer the RA feedback. The RA will then communicate that feedback to the proposer, who may re-evaluate, make adjustments, and re-submit a new proposal to the next Administrative Cabinet meeting. b.) If a proposal is approved by BICWM’s administrative cabinet, the project will be sent to BICWM staff and posted online for one year. If funds are contributed, the financial secretary will inform the project manager that funds are available. The proposer can request the disbursement of available funds from the financial secretary. Reporting Process BICWM believes that people are more inclined to donate to an organization that is highly dedicated to communicating the results of each project. Therefore, it is essential that each project proposer submit a yearly Project Reporting Form, which will clearly communicate their project’s progress and results. The reporting form requires written information/details, but BICWM highly encourages additional updates including individual stories, pictures, or videos. Each approved project will have one year of activity beginning when it is posted online in the Partnership Handbook. An email will notify each proposer when their project has been active for 9 months. The proposer will then have 3 months to complete and submit their Project Reporting Form by email to their Regional Administrator and PartnershipHandbook@bic-church.org. Project reports are sent to Regional Administrators for review. Each RA will review the reports and submit them to the PH email for online publication. If a sufficient project report is not received prior to the end of the renewal period, the project becomes inactive and is removed from the website. All inactive projects may be renewed at a later date when a completed project report is received.
