For example, one member could provide location and catering and another member takes care of program coordination. BEFORE THE MEETING Select speaker (s) based on education topic and confirm availability Select date and book meeting room (ensure, if possible, that the room is accessible and has capacity for around 40). Prepare an agenda to be emailed out to members 4 weeks in advance. – Sample agenda attached. Be sure to include: Location, include full address Date and time Agenda Parking information Send final agenda and email to Lise Carbonneau who will send out to all members. whirlwind@shaw.ca or Fax: 897-8094 Confirm if speaker is using powerpoint and he/she can provide handouts. Remind Agencies of the time limit for their presentations. Agency is invited to bring copies of their literature for attendees. Arrange for coffee, donuts/muffins. Arrange for individual to meet and greet. Ensure additional copies of previous meeting minutes are available. Arrange for someone to take minutes of the meeting Arrange for a table that members and agencies can use to display equity & diversity related materials. Lise Carbonneau, MEEPA Administrator, will take registrations for all MEEPA events. DURING THE MEETING Chair the meeting, going through agenda items. AFTER THE MEETING Have minutes typed and either sent to Lise Carbonneau by fax 897-8094 or email whirlwind@shaw.ca within 5 days following the meeting. Advise members that the General Meeting Minutes are available on the MEEPA web site at www.meepa.ca. CORE GROUP MEMBER - RESPONSIBILITIES Ensure the host has the host check list and a draft agenda template. Ensure that a date is selected at least 6-8 weeks before the actual meeting will take place (the ideal is to announce the date and location of the next meeting at the general meeting). Ensure that this date is communicated to the MEEPA Administrator (Lise: whirlwind@shaw.ca), so that she can send out an advance notice to members. Assist the host if necessary to develop an appropriate agenda that meets the education topic. Work with the core group to identify someone to do an agency presentation; then communicate this to the host so it can be added to the agenda. Review the draft agenda with the host and ensure that the final agenda is sent to the MEEPA Administrator who will send out to members.
